The status of employees in the hierarchical structure of an organization is dynamic owing to promotion, transfer or promotion with transfer consequent to performance related, administrative and other reasons.

Through this activity, the HR user, based on the recommendations of the supervisor concerned, can initiate the promotion, transfer or promotion with transfer process, for employees for whom he/she has the necessary data level security permissions. This process can be initiated for all types of employees viz., contract,  regular employees, trainees etc.

To initiate the promotion/transfer process you are to specify,

Key Details: The key details to specify would be to indicate if the employee is being promoted, transferred or promoted with transfer. This conditions the other information you are to provide. For example, the promotion of an employee may not necessarily entail changes in his/her employment unit, work location, reporting to details etc. Accordingly the current values for these details can be retained. In the same way transfer may not require modifications in the base salary details of the employee.

Initiating Promotion: An employee can be promoted to a new position or job. In case of promotion to a new position, you are to identity the new position by specifying the unique position code. Subsequently, you are to provide the other details pertaining to the new position like the department to which the new position belongs and the details of the job applicable to it etc. Likewise, in case of promotion to a new job, you are to specify the unique code of the new job code, the department to which it belongs and the codes of the grade set and grade applicable to it. Note that since the promotion does not entail a change in the employment unit details of the employee, the existing values for these details can be retained as such. Note that during promotion there will be a change in either the grade or job level of the employee.

Initiating Transfer: An employee can be transferred to a new position, job, department or employment unit. If the transfer is to a new position or job with or without a change in the employment unit and department, you are to specify the details accordingly. Similarly, transfer can be to a new employment unit or department with or without a change in the position or job details. Note that an employee can be transferred within the same job level. Also, the system facilitates performing demotion of an employee if the process parameter for demotion has been set accordingly during deployment.

Initiating Promotion with Transfer: An employee may be promoted to a new position or job while being transferred to a new employment unit or department at the same time. In such an instance, you are to specify the details of the new position or job to which the employee has been promoted as well as the details of the new department or employment unit.

Note: In all the three instances, you are to specify the reason for which the employee is being promoted, transferred or promoted with transfer and the date and time on which it has been effected.

Modifying Base Salary Details: If the HR user who initiated has the relevant data level security permissions, he/she can effect the necessary changes in the base salary details of the employee consequent to promotion, transfer or promotion with transfer. Note that while making necessary changes to the base salary details, the user will not have permissions to modify the existing compensation details or request for deletion of the record. 

Viewing Internal Equity: Through the internal equity feature, you can compare the compensation details of the selected employees with the compensation drawn by other employees having the same job, department-job combination, grade set-grade combination or number of years of work experience. This basically helps in rationalizing the changes to be effected in the employee’s base salary details consequent to promotion, transfer or promotion with transfer.

Employee At A Glance: This feature enables you to view the complete profile of the employee such as, the unique code and name, the employee type which indicates if he/she is a regular or contract employee,  the synopsis of his/her educational qualifications and work experience,  the current work details, the assignments handled by the employee etc.

Data Level Security permissions set for the login user.

Definition of Employment Units interacting with the Employee Movement Unit.

Definition of Date Formats in the ADMIN component.

Definition of promotion/transfer or promotion with transfer rules if the said promotion/transfer or promotion with transfer is rule based.

Definition of Position IDs, Positions and Jobs through the interacting Unit Structure Setup Unit.

Definition of department, grade and grade set through the interacting Organization Structure component.

Codes assigned for available position IDs, departments, jobs, grades, grade sets, supervisors and scales.
