Training Administration and Evaluation – An Overview

 

Getting familiar with the activities

Training administrator is an employee of the organization who will be largely in charge of the training activities in the organization. It could be one single individual who is handling all the activities or a team. The training administrator will have rights to most of the training activities in the system. A HR user can also be configured as a training administrator and given access to all the activities of training in the system.

This component facilitates trainee enrollment, capturing training attendance, trainee evaluation, capturing trainee and faculty feedback and updating the employee personal records with the competencies and the qualification acquired by a course. Apart from these functions the set up of the evaluation process could also be carried over in this component.

Enroll Internal Trainees: Through this activity, you can enroll internal trainees for various training courses, modules or programs. The candidates can be enrolled to the training either at a program level, module level or just for a particular course. If all the trainees cannot be accommodated in the training program, they can be waitlisted so that they can be accommodated in the next training program. Also, details pertaining to the number of candidates attending the trainee program and the number of candidates who requested for the training program can be viewed in this activity. The training administrator can view the ‘Time schedule’ of the employees who have enrolled for the training.              

Register External Trainees: Through this activity, you can register the details of the external trainees who want to attend the training program. You can record all the details pertaining to a external trainee, such as, the name of the trainee, ID of the trainee, the organization to which the trainee belongs and so on.

Enroll External Trainees: Through this activity, you can enroll external trainees from different organizations who want to attend the various training courses, modules or programs. The candidates can be enrolled to the training either at a program level, module level or just for a particular course. If all the trainees cannot be accommodated in the training program, they can be waitlisted so that they can be accommodated in the next training program. Also, details pertaining to the number of candidates attending the trainee program and the number of candidates who requested for the training program can be viewed in this activity.

Record/Validate Training Attendance: Through this activity, the training administrator can record the attendance of the trainee. Also, the training administrator can validate the attendance of the trainee, if the trainee had already entered the attendance. 

Record Training Cost: Through this activity, the expenses incurred during the training program are recorded and also the expenses allocated to the employees who have undergone the training program are maintained. The payments for the expenses incurred can be made by the organization through banks or cash payments.

Record Training Evaluation Setup: Through this activity, you can record the evaluation of the trainee who has undergone training on a particular course. Once the training administrator enters the trainee evaluation, the overall rating of the trainee on the course is computed. Evaluation set up can be done at the time of defining a course. Evaluation set up is the process of deciding the various tests, which trainees must undergo for successful completion of training. For example, while defining a course called personality development, the user can decide that writing skills, oral communication and group discussion are three tests, which the trainee must take up. The minimum rating which the employee is expected to obtain in the tests can also be captured.

 Record Trainee Evaluation: Evaluation of trainees is done to assess their performance during the training program. Through this activity, you can set up the method by which the trainee must be evaluated. The training evaluation method can be carried out by means of conducting a test, questionnaire or quiz. The weightage for the evaluation is also set in this activity. Post evaluation training setup is also facilitated through this activity, so that you can specify the evaluation criteria for the same.

Record Feedback by Trainee: Through this activity you can record the feedback given by the trainee on a particular course for which the training has been conducted.  This helps the training administrator to analyze the feedback on the training methods, infrastructure and other features pertaining to the training program, which can be used in the decision making process of the next training program.

Record Feedback by Faculty: Through this activity, you can record the feedback given by the faculty on a particular course. The feedback can be based on various aspects of the training program like the infrastructure, participation of the trainee etc. Update Competency/Qualification of Employee: The employees acquire certain competencies or qualification by attending certain training programs. These competencies or qualifications need to be updated in the personal information of the employee. This is achieved through the “Update Competency/qualification” activity of the “Administration and Evaluation” component of training.

Authorize Update of Employee Competency/Qualification: Through this activity, you can authorize the updated details pertaining to the employee’s competency/qualification or achievement. Authorization is done only if the training administrator approves the update of competency or achievement acquired by the employee. The training administrator can also reject the authorization of the update of competency or qualification achieved by the employee.

View Employee Training Details: This activity allows you to view the training details of an employee. The details of the training programs such as the module name, the course name, the start and end dates of the training, the person who conducts the training, and the venue for the program can be viewed. You can also view the institution that is conducting the training and the overall score obtained by the employee in the various tests conducted during training.

View Enrolled Internal Trainees: Through this activity, you can view the internal trainees who have enrolled for various training courses, modules or programs. The candidates can enroll themselves for the training either at a program level, module level or just for a particular course.  If all the trainees cannot be accommodated in the training program, they are waitlisted and the status of the training program can be viewed through this activity. Also, you can view the employee schedule for the training program and the list of employees who have requested for a particular training program.

View Trainee Evaluation: The training programs imparted to the trainees must be evaluated in order to know the actual competencies acquired by the trainee after the training program. Through this activity, you can view the details pertaining to the evaluation of a trainee who has undergone a particular course. The overall score secured by the trainee in the evaluation tests and the comments pertaining to the same can be viewed through this activity.

View Enrolled External Trainees: Through this activity, you can view the external trainees from different organizations who attended the various courses, modules or training programs. The candidates may have enrolled for the training either at a program level, module level or just for a particular course.  If all the trainees cannot be accommodated in the training program, they are waitlisted and the status of the training program can be viewed through this activity. Also, details pertaining to the payment of fee for the training program and the number of candidates attending the trainee program can be viewed in this activity.

View Feedback by Trainee: Under a given training administration and evaluation component, you can view the feedback given by the trainee on the course. This facility has been facilitated using the “View Feedback By Trainee” component. Using this activity, the training administrator can view the feedback from the trainees on the faculty, training methods, infrastructure etc.
