What you can do in this activity?

 

Through this activity you can create a position. Every job is associated with a department. Position is a combination of a department and a job. If defining a position is set to mandatory  in the system parameters, the user can define a position as well as its various attributes through this activity.

The position you create can be a combination of a department and a job or use a more comprehensive definition process.

To create a position with only the job and department details, you are to indicate the job and department for which the position is  created. For example, if the job and the department for which the position  created is “Manager” and “HR” respectively, the position would be Manager HR. You can access the help feature on the department code and job code, in order to specify the codes.

There can be two scenarios for the position.

 Position Control ‘Off’ Scenario: The combination of department and job results in a position but there would be no specification of the requirement. For example, the recruiter would indicate that the requirement is for Manager HR, but the exact specification like the grade set or grade or the employment unit or business unit etc., are not decided in advance as the position control is set to ‘Off’. Moreover no position control IDs will be generated.

To create a position in a more comprehensive way you are to specify the other details such as, title, description, number of posits, effective dates . You can also specify the required qualifications and competencies for the position and view the employment units for which the position is applicable.

Position control ‘On’ Scenario: You can also create position control IDs for the position. The system verifies whether or not the position control feature is active , for the job specified for the position. The position control is set to active or otherwise, for different jobs in the organization based on need. If the position control is set to active for the job for which the position is created, you are to specify the number of posts required for the position. Based on this, the system generates a position ID for each post. For example, if the number of posts specified is six, the system generates six position IDs.

You can specify the required position control ID series to the position IDs generated by the system. The position control ID series indicates the organizational and employment attributes of the position. The organizational attributes comprise details such as, regulatory region and work location for the position and the employment and business units. The employment attributes consist details such as,  reporting to position, maximum headcount, Current head count, FTE and also the details whether the corresponding position is regular or temporary, and full time or part time. You can also set the status of the position control ID to active or inactive status.

The Position control Id can be mapped only to one Employment Unit. The competencies and qualifications are mapped to the Position Control Id.

The combination of job, department, number of posts for the position and user defined position IDs, consequent to position control being active for a job, provides information which helps an organization in manpower planning, budgeting and estimation of the resources required for the employees and various position budgets. It also provides vital data to frame overall organizational policy, while facilitating to accommodate changes such as increased headcount or new positions . It also makes defining employee-assignment details less time consuming. The organization can also make precise projection of future costs.
