Prerequisites

Using online help

The “Update Findings” page appears.

Note: The system does not allow the following:

1. Deletion of a row in the multiline if it has been saved in the Summary of Observations or Final NC Report tab pages.

2. Deletion of all the rows in the multiline which has Ques IDs with the “Mandatory?” field marked as “Yes”.

3. Deletion of checklist questions which are marked as “Mandatory”.

The system displays the following field:

Line #

A system generated number indicating the line number of the entry in the multiline.

Note that this number is used as a cross reference for the  entries in the “Summary of Observations” and the “Final Entry Report” tab pages.

Ques ID

A user defined identification number for the questionnaire

Requirement

The question text.

Audit Observation

Any observation other than negative recording during the audit.

Audit Findings

Any negative audit observation to be recorded during Audit which can lead to a Non conformance.

Auditor #

The employee number of the auditor who leads the audit team.

Ensure the employee code entered in this field:

  • Is a valid employee number which has Employment Status as “Current” in the “Employee Information” business component

  • Is mapped to a user name as on the current date.

Help facility available

Auditee #

The employee code of the primary auditee

Ensure that the number entered in this field:

  • Is a valid employee number which has Employment Status as “Current” in the “Employee Information” business component

  • Is mapped to a User Name as on the current date.

Note: The system displays the Auditor # and Auditee # columns in the multiline only if the Audit Observation and Audit Findings columns are specified.

Document / Record Reviewed

Reference of any document or record in a document supporting the observations and findings of the audit.

Remarks

Any remarks regarding the questions.

Audit Notes

Any information pertinent to the audit.

The system generates the following.

Mandatory?

Indicates whether the given question is mandatory to be responded while auditing which could be “Yes” or “No”.

Audit Instruction

Step-by-step instruction on how the audit must be conducted.

Check Point

The broad classification based on which question is asked like for example, Safety, Security and so on.

Checklist #

A unique code identifying the checklist used for auditing

Question Type

The type of question in the checklist.

Question Category

The category to which the question belongs

Reference Details

Any details regarding the reference document number.

Seq #

The sequence number in which the questions need to appear in the checklist.

The system updates the Audit Status in the Audit Report Details group box as “Findings Recorded”.
