Modifying stock transfer receipt
This page allows you to modify the selected transfer receipt. Tell me more.
Select the “Edit Stock Transfer Receipt” link in the “Select Stock Transfer Receipt ” page. Alternatively, select the hyperlinked transfer receipt number in the multiline of the same page.
The “Edit Stock Transfer Receipt” page appears.
The system displays the following:
Date & Time Format |
The format in which the date and the time fields are displayed in this page. This format is displayed from the "User Preferences" business component based on the login user ID. In case the format is not defined, the system displays the date format from the “Enterprise Modeling” business component by default. |
The system displays the following in the “Stock Transfer Receipt Information” group box

The number identifying the transfer receipt to be modified |
Enter the following:
Status |
Use the drop down list box to select the status of the stock transfer receipt .Mandatory. The system lists the options as “Draft” and “Fresh” · Draft - The status of the transfer receipt, when all the mandatory information has not yet been entered. · Fresh - The status of the transfer receipt, when all the mandatory information has been completely entered. The system sets “Draft” by default |
Receipt Date |
The date on which the receipt is raised (Date Format).Mandatory. |
User Status
|
Use the drop-down list box to modify a user-defined status of the transfer receipt. The system lists the status that are in the “Active” status, which are created in the “Create Quick Codes” activity of the interacting business component. |
Receipt Category |
Use the drop-down list box to modify the category to which the stock receipt belongs as defined in the “Create Quick Codes” activity of the interacting business component. |
Costing Usage |
Use the drop down list box to select the costing usage . The system lists all the “Active” user defined “Usages” as defined in the “Cost Center Rule Definition” business component. The system displays “Blank” by default. |
The system displays the following in the “Trading Partner Information” group box:
Trading Partner Type |
The trading partner for the stock transfer, which could be “Supplier” or “Customer”. |
Trading Partner # |
The unique code identifying the supplier or customer. |
Trading Partner Name |
The name of the supplier or customer. |
Note: The system retrieves and displays the trading partner details from the reference stock transfer order document, if available.
The system displays the following in the “Reference Document Details” group box:
Issue # |
The number identifying the issue, for which the stock transfer receipt is to be done |
From Stocking Point |
The location from where the stock is issued |
Stock Transfer # |
The number identifying the stock transfer of the part |
Created At |
The organization unit from where the stock transfer is made, as defined in the “Stock Transfer” business component. |
The system displays the following in the “Part Information” multiline:

The sequential number generated by the system for the parts entered in the multiline. |
Part # |
The number identifying the part. |
Stock UOM |
The unit of measurement of the stock stored, as defined in the “Part Administration” business component and must be in the “Active” status. |
Enter the following:
Quantity |
The quantity of the part (Decimal). Mandatory. Ensure that the value entered here is greater than zero. |
Note: Quantity can be in fractions only if the UOM has been set as “Allow fractions” in the “Create UOM” activity of the “Unit of Measurement Administration” business component.
The system displays the following:
Stock Status

The user-defined stock status of the receipt. The stock status of the part must be allowed in the warehouse, as defined in the “Create Warehouse Information” activity of the “Storage Administration” business component.

The textual description of the part. |

Part Type |
The type of the part. The part type must be allowed in the warehouse, as defined in the “Create Warehouse Information” activity of the “Storage Administration” business component. |
Note: At least one row must be entered in the multiline.
Enter the following in the “Receipt Details” group box:
Gate Pass # |
The number identifying the gate pass to be modified (Alphanumeric, 40). The Gate Pass No is the one recorded during the issue of the stock from the Stocking Location. |
Unloading Document # |
The number identifying the document, which is prepared at the time of unloading of the goods and captures information like Vehicle no, the weight of the truck when it is entering the premises of the receiving location etc. (Alphanumeric, 40). |
Received Date & Time |
The date and time of the stock received in the warehouse, which can be either specified during Creation of the Transfer Receipt and modified during Edit. Mandatory. |
Packaging Condition |
The packaging condition of the part, which can be modified. For example, open, torn, partly opened etc (Alphanumeric, 25). |
Received By |
The name of the person who receives the stock as stored in the HR Component (Alphanumeric, 30). |
Reference Document # |
User can enter the any Reference Document Number information he wants to, the same will not be validated for existence in the system. (Alphanumeric, 40). |
Enter the following in the “Other Details” group box:
User-defined Detail – 1 |
Additional details defined by the user, pertaining to the modification of the stock transfer receipt (Alphanumeric, 25). |
User-defined Detail – 2 |
Additional details defined by the user, pertaining to the modification of the stock transfer receipt (Alphanumeric, 25). |
Remarks |
Additional comments pertaining to the modification of stock transfer receipt (Alphanumeric, 255). |
Enter the following in the "Attachments" group box:
File Name |
The name of the file used for the reference document that is associated with the stock transfer receipt (Alphanumeric, 50). Help facility available. |
Select the “View File” link provided alongside to view the required file.
Check the box in the “Select” column of the multiline, to mark the part number for deletion.
Click the Delete icon in the toolbar above the multiline, to delete the part number selected.
Click the “Edit Stock Transfer Receipt” pushbutton, to modify stock transfer receipt.
The system updates the status of the receipt as “Fresh”
Note: This action is workflow-enabled. Notification messages can be sent and you can configure further processing of this document in the "Workflow Management" business component.
Note: If the received part is of type "Component", the part condition must be allowed in the stock transfer receipt warehouse, as specified in the "Edit Warehouse - Stock Status / Condition Allowed" page of the "Storage Administration" business component. For example, if warehouse ‘W001’ is defined to store parts in “New” or “Overhauled” condition, only parts in this condition can be moved to the warehouse.
Click the “Cancel Stock Transfer Receipt” pushbutton to cancel the stock transfer receipt.
The system updates the status of the receipt as “Cancelled” .
Note: This action is workflow-enabled. Notification messages can be sent as per the settings you have defined in the "Workflow Management" business component.
The system displays the following in the “Record Statistics” group box:
Created By |
The name of the user who created the transfer receipt. |
Created Date |
The date on which the transfer receipt was created. |
Last Modified By |
The name of the user who last modified the transfer receipt. |
Last Modified Date |
The date on which the transfer receipt was last modified. |
To proceed, carry out the following
Select the “Edit Storage Details” link at the bottom of the page to enter the storage details for the transfer receipt.
Select the “Edit References” link at the bottom of the page to enter the references pertaining to the stock transfer receipt.
Select the "Confirm Stock Transfer Receipt" at the bottom of the page to confirm or cancel the stock transfer receipts.
Select the “View Shipping Details” link at the bottom of the page to view the shipping details for the transfer receipt.
Select the “Upload Documents” link to upload documents/files associated with the stock receipt into the common repository.
Select the “View Associated Doc. Attachments” link to view documents/files associated with the stock receipt from the common repository.
Modifying stock transfer receipt – An overview
This page allows you to modify the selected transfer receipt. Only receipts that are in the “Draft” or the “Fresh” status can be modified. This page allows you to modify the receipt details of stock transfer such as the date, the status, the category and the user status. You can also modify the part details such as quantity of the part and part type.
You can also modify other details such as the gate pass number, the unloading document number, the packaging condition and the remarks.
You can select and modify a receipt
Use the “Select Stock Transfer Receipt” page to select a receipt and modify it.
Use the “Edit Stock Transfer Receipt” page to modify the receipt.
You can modify the category of the transfer receipt that is already defined in the system.
Select the appropriate category in the “Receipt Category” field.
You can specify the storage details of the transfer receipt based on the part number selected. The storage details such as the warehouse number, the zone number and the bin number of the part is captured.
Use the “Edit Storage Details” page to allow the part in the warehouse, the zone or the bin selected.
You can ship the stock from one location to the other during stock transfer.
Use the “Edit Shipping Details” page to enter the shipping information.
