Confirming or canceling stock transfer receipts
This page allows you to confirm or cancel stock receipt transfer. Tell me more.
Select the “Confirm Stock Transfer Receipt“ link under the “Stock Receipt” business component.
The “Confirm Stock Transfer Receipt” page appears.
The system displays the following:
Date Format |
The format in which the date fields are displayed .This format is displayed from the "User Preferences" business component based on the login user ID. In case the format is not defined, the system displays the date format from the “Enterprise Modeling” business component by default. |
Enter the following fields in the “Search Criteria” group box, to search for the transfer receipt:
Transfer Receipt # |
The number identifying the transfer receipt to be confirmed or canceled (Alphanumeric, 18) You can enter the number in full, or specify it partially using the “*” character. The system lists all the transfer receipt numbers similar to the one entered here. Leave the field blank, to retrieve all the transfer receipts in fresh status created in the system. |
Stock Transfer # |
The number identifying the stock transfer of the part to be confirmed or canceled (Alphanumeric, 18) You can enter the stock transfer number in full, or specify it partially using the “*” character. The system retrieves all the transfer receipts whose stock transfer numbers are similar to the one entered here. Leave this field blank to retrieve all the transfer receipts in fresh status, irrespective of the stock transfer. |
Issue # |
The number identifying the issue to be confirmed or canceled (Alphanumeric, 18) You can enter the issue number in full, or specify it partially using the “*” character. The system retrieves all the transfer receipts whose issue numbers are similar to the number entered here. Leave this field blank to retrieve all the transfer receipts, irrespective of the issue number |
Receipt Warehouse # |
Use the drop-down list box to select the warehouse for the “Transfer Receipt” transaction. If you are working in the main base, the system lists those Active warehouses defined for the Transfer Receipt transaction in the Storage Administration component that are not currently offline. However, if you are working in a field base, the drop-down list box displays all Active warehouses defined for the Transfer Receipt transaction in the Storage Administration component that are mapped to the offline area. |
Receipt Category |
Use the drop-down list box to select the receipt category. The system lists all the quick codes of the “Receipt Category” type defined in the “Create Quick Codes” activity and that are in the “Active” status. |
User Status |
Use the drop-down list box to select the user status of the transfer receipt. The system lists all the user status of the “User Status” type defined in the ‘Create Quick Codes” activity of the current business component and that are in the “Active” status. |
Part # |
The number identifying the part available in the transfer receipt, for which you wish to confirm or cancel (Alphanumeric, 40) |
Part Type |
Use the drop-down list box to specify the part type in the stock transfer transaction. The part types are predefined in the system. The various part types are “Raw material”, “Expendable”, “Tool”, “Consumable” "Miscellaneous"and “Kit”. The part type must be allowed in the warehouse, as defined in the “Create Warehouse Information” activity of the “Storage Administration” business component. |
Trading Partner Type |
Use the drop-down list box to select the trading partner for the stock transfer, which could be “Supplier” or “Customer”.
The system retrieves stock transfer receipts that have part ownership set to “Internal”, if you leave this field blank. The system leaves the field blank by default. |
Trading Partner # |
The unique code identifying the supplier or customer (Alphanumeric, 45). You can enter the trading partner code in full or specify it partially using the “*” character. The system retrieves all the reference document numbers with the trading partner code entered here. |
Click the “Search” pushbutton, to retrieve the search results.
The system displays the following in the “Search Results” multiline based on the search criteria entered:
Note: The system checks for the rights of authorization for the user in the “Workflow Management” business component and retrieves all those stock receipt documents for which the current user is assigned the rights of authorization.

The user status of the stock transfer receipt |

The date on which the stock transfer was raised |
Check the box in the “Select” column of the multiline, to mark a transfer receipt for confirmation or cancellation.
Note: At least one row must be selected for confirmation or cancellation
To modify the transfer receipt details before confirmation or cancellation
Select the “Edit Stock Transfer Receipt” link at the bottom of the page, to modify the details of the selected transfer receipt.
To record the HAZMAT compliance information
Select the “Record HAZMAT Compliance” link at the bottom of the page to record HAZMAT compliance information for the HAZMAT parts in the receipt.
To record inspection information
Select the “Record Inspection Details” link at the bottom of the page to record the inspection information for unplanned receipt.
To confirm stock transfer receipts
Click the “Confirm Stock Transfer Receipt” pushbutton, to confirm the selected transfer receipts.
The status of the receipt(s) is updated as “Confirmed”.
Note: This action is workflow-enabled. Notification messages can be sent and you can configure further processing of this document in the "Workflow Management" business component.
The system performs the following on clicking the “Confirm Stock Transfer” pushbutton:
Stores the login user ID and the server date along with the confirmation details.
Generates the lot number and the serial number for the part.
Updates the receipt details in inventory.
The system ensures that the HAZMAT Compliance is recorded for all the HAZMAT parts in the Stock Transfer Receipt document. This is applicable only if “HAZMAT Compliance” is set as “Enforce Compliance” for the transaction Stock Transfer Receipt in the “Set Inventory Process Parameters” activity of the “Logistics Common Master” business component.
When the Stock Transfer receipt is confirmed with Quarantined parts and if the Option Setting 'Automatic creation of Stock Transfer Receipt for Quarantined Parts' is set as '1' in the “Set Inventory Process Parameters” activity of the “Logistics Common Master” business component, the system creates a new receipt for the Quarantined Parts in ‘Fresh’ Status.
The system ensures that for all the parts that require inspection in the Unplanned Receipt document, the “Inspected Status” is set as “Inspected” in the “Inspect / Re-certify Parts” activity of the “Stock Maintenance” business component.
The system generates an issue document for the parts received through the “Stock Transfer Receipt” transaction, if the reference Stock Transfer Order is associated with an “AOG” or “Normal” material request, and updates the quantity details in the “Stock Demand Management” business component. If there is a pending material request of “Low” priority for the received part, the system replenishes the stock level of the part in the “Stock Maintenance” business component and updates the quantity details in the “Material Request” business component. Status of General/Maintenance stock transfer issues
Note: For “AOG” and “Normal” material requests if the preferred condition for the requested part is available, then only those parts with the specified condition will be allocated.
Note: The system allocates parts against material requests in the order of “AOG” priority, “Normal” priority and “Low ” priority.
If the parameter “Confirmation of General Issue generated during Receipt pegging to an Open MR”/”Confirmation of Maintenance Issue generated during Receipt pegging to an Open MR” under the category “Process Automation” in the Set Warehouse Process Parameters activity of the Storage Administration is ‘1’, the status of General/Maintenance stock issues automatically generated to cover the open General / Maintenance MRs will be in ‘Confirmed’ status. However, parameter “Confirmation of General Issue generated during Receipt pegging to an Open MR”/”Confirmation of Maintenance Issue generated during Receipt pegging to an Open MR” is ‘0’ the status of the stock issue is set as ‘Fresh’.
The system automatically generates the MMD reports for ‘Confirmed’ General/Maintenance issues, if the parameter “Print MMD for General Issue generated in Confirmed status during Receipt pegging to and open MR”/ “Print MMD for Maintenance Issue generated in Confirmed status during Receipt pegging to and open MR” under the category “Stock Management Report” in the Set Inventory Process Parameters is ‘1’.
The system automatically prints the corresponding “Material Movement Document” on creation of the stock transfer issue document for the parts.
If there are no pending material requests for the received part, the system moves the parts to the specified warehouse.
Updates the stock account details in the Finance Books for parts with Stock Status, for which Status Attributes is set as ‘Yes’ for “Ownership-Internal” and “Valuated”. Similarly, for receipts owned by supplier (group company) for which stock valuation is mandatory, if “Enable Automatic Accounting for Inventory Transactions on behalf of Dest. Company” is set between the login organization and the group company, account entries are posted in finance books of the group company.
Note: This setting for stock status is done in the interacting “User Defined Stock Status” business component.
For none-controlled parts with ownership set to "Customer" or "Supplier", the system ensures the following:
The specified warehouse is mapped to the trading partner as an exclusive storage category in the “Maintain External Stock Allocation” page of the “Storage Administration” business component. This is applicable, if the type of the warehouse is "Free".
The warehouse-zone combination is mapped to the trading partner as an exclusive storage category in the “Maintain External Stock Allocation” page of the “Storage Administration” business component. This is applicable, if the type of the warehouse is “Normal” and the type of the zone is “Free".
The warehouse-zone-bin combination is mapped to the trading partner as an exclusive storage category in the “Maintain External Stock Allocation” page of the “Storage Administration” business component. This is applicable, if the warehouse and the zone are of type “Normal” and if the bin is specified.
For serial number-controlled, lot number-controlled, or both serial number-controlled and lot number-controlled parts with ownership set to "Customer" or "Supplier":
The specified warehouse is mapped to the trading partner as exclusive or shared storage category in the “Maintain External Stock Allocation” page of the “Storage Administration” business component. This is applicable, if the type of the warehouse is "Free".
The warehouse-zone combination is mapped to the trading partner as exclusive or shared storage category in the “Maintain External Stock Allocation” page of the “Storage Administration” business component. This is applicable, if the type of the warehouse is “Normal” and the type of the zone is “Free".
The warehouse-zone-bin combination is mapped to the trading partner as exclusive or shared storage category in the “Maintain External Stock Allocation” page of the “Storage Administration” business component. This is applicable, if the warehouse and the zone are of type “Normal” and if the bin is specified.
To cancel stock transfer receipts
Click the “Cancel Stock Transfer Receipt” pushbutton, to cancel the selected transfer receipts.
The status of the receipt(s) is updated as “Canceled”.
Note: This action is workflow-enabled. Notification messages can be sent as per the settings you have defined in the "Workflow Management" business component.
Ensure the following, if the status of the receipt is “fresh” and the warehouse is of the “Normal” type and the zone is of the “Normal” type:
The storage category and rule must be defined in the “Maintain Storage Allocation and Strategies” activity of the “Storage Administration” business component
The storage category of the part selected can be either “Shared” or “Exclusive” at the bin level.
The storage rule of the part selected can be either “Also At” or “Only At” at the bin level.
Ensure the following, if the warehouse is of the “Normal” type and the zone is of the “Normal” type:
The storage category and rule must be defined in the “Create Warehouse Information” activity of the “Storage Administration” business component.
The storage category of the part selected must be “Exclusive” in the bin.
The storage rule of the part selected must be “Only At” in the bin.
Ensure the following, if the “Capacity Constraint” of the warehouse selected is “Volume” and the type is “Free”:
The “Capacity Constraint” set as “Volume” must be defined in the “Create Warehouse Information” activity of the “Storage Administration” business component.
All the parts of the stock receipt is in “Volume” and must be defined in the “Create Parts Main Information” activity of the “Part Administration” business component.
For conversion of the “Volume UOM” in the warehouse to the “Volume UOM“ in the stock receipt, ensure that the conversion factor is defined in the “Maintain UOM Conversion” activity of the “Part Administration” business component.
The volume UOM of the part and the volume UOM of the warehouse must be different. Also the conversion factor of the two must be different, as defined in the “Create Parts Main Information” activity of the “Part Administration” business component.
Multiply the “Quantity” with the UOM of stock receipt for each part. Convert the value to “Volume UOM” of the part. Again, convert the “Volume UOM” of the part to “Volume UOM” of the warehouse using the standard rounding options.
Ensure the following, if the “Capacity Constraint” of the warehouse selected is “Weight” and the type is “Free”:
The “Capacity Constraint” set as “Weight” must be defined in the “Create Warehouse Information” activity of the “Storage Administration” business component.
All the parts of the stock receipt is in “Weight” and must be defined in the “Create Parts Main Information” activity of the “Part Administration” business component.
For conversion of “Weight UOM” in the warehouse to “Weight UOM“ in the stock receipt, ensure that the conversion factor is defined in the “Maintain UOM Conversion” activity of the “Part Administration” business component.
The “Weight UOM” of the part and the “Weight UOM” of the warehouse must be different. Also the conversion factor of the two must be different, as defined in the “Create Parts Main Information” activity of the “Part Administration” business component.
Multiply the “Quantity” with the UOM of stock receipt for each part. Convert the value to “Weight UOM” of the part. Again, convert “Weight UOM” of the part to “Weight UOM” of the warehouse using the standard rounding options.
Ensure the following, if the “Capacity Constraint” of the warehouse selected is “Volume” and the zone type is “Free”:
All the parts of the stock receipt are in “Volume” and must be stored in the zone of the “Free” type .These parts must be defined in the “Create Parts Main Information” activity of the “Part Administration” business component.
For conversion of “Volume UOM” in the zone to “Volume UOM“ in the stock receipt, ensure that the conversion factor is defined in the “Maintain UOM Conversion” activity of the “Part Administration” business component
Multiply the “Quantity” with the UOM of the stock receipt for each part. Convert the value to “Volume UOM” of the part. Again, convert ““Volume UOM” of the part to Volume UOM” of the zone using the standard rounding options.
Ensure the following, if the “Capacity Constraint” of the warehouse selected is “Weight” and the zone type is “Free”:
All the parts of the stock receipt are in “Weight” and must be stored in the zone in the “Free” Type. These parts must be defined in the “Create Parts Main Information” activity of the “Part Administration” business component.
For conversion of the “Weight UOM” in the zone to the “Weight UOM“ in the stock receipt, ensure that the conversion factor is defined in the “Maintain UOM Conversion” activity of the “Part Administration” business component
Multiply the “Quantity” with the UOM of the stock receipt for each part. Convert the value to “ Weight UOM” of the part. Again, convert “Weight UOM” of the part to “Weight UOM” of the zone using the standard rounding options.
Ensure the following, if the “Capacity Constraint” of the Zone selected is “Volume” and the Zone type is “Normal”:
All the parts of the stock receipt are in “Volume” and must be stored in bin. These parts must be defined in the “Create Parts Main Information” activity of the “Part Administration” business component.
For conversion of “Volume UOM” in the bin to “Volume UOM“ in the stock receipt, ensure that the conversion factor is defined in the “Maintain UOM Conversion” activity of the “Part Administration” business component
Multiply the “Quantity” with the UOM of the stock receipt for each part. Convert the value to “Volume UOM” of the part. Again, convert “Volume UOM” of the part to “Volume UOM” of the bin using the standard rounding options.
Ensure the following, if the “Capacity Constraint” of the Zone selected is “Weight” and the Zone type is “Normal”:
All the parts of the stock receipt is in “Weight” and must be stored in the bin. These parts must be defined in the “Create Parts Main Information” activity of the “Part Administration” business component.
For conversion of the “Weight UOM” in the bin to the “Weight UOM“ in the stock receipt, ensure that the conversion factor is defined in the “Maintain UOM Conversion” activity of the “Part Administration” business component
Multiply the “Quantity” with the UOM of the stock receipt for each part. Convert the value to “Weight UOM” of the part. Again, convert “Weight UOM” of the part to “Weight UOM” of the bin using the standard rounding options.
