Record Response Details- A summary of the activity
Through this activity, the grievance administrator can record the responses for the grievance, on behalf of those employees to whom the grievance was forwarded.
Employee receives message notification on the grievance through e-mail: When the “Record Grievance “ activity is completed, the employees receive the message notification on the grievance through e-mail.
Selecting the grievance: In this activity, you are to first select the grievance for which a response must be recorded.
Recording the response: After selecting it, you can enter the response as free text and the date of the response. You are to submit this information.
For example, the grievance of the employee could be that he is not able to access the Internet facility in the organization. The response could be that he is a trainee, and therefore should not be given access to the Internet. The system updates the response details in the “Record Grievance” page.
Current status: The current status could be any one of the following:
“Submitted”. This indicates that the grievance has been submitted.
“Responded”. This indicates that the grievance has been responded
“Resolved”. This indicates that the grievance has been resolved.
Once the grievance is closed, the current status will not have the aforesaid status.
Grievance status: The grievance administrator could set the grievance status in the “Record Resolution Details” activity. It could be one of the following
“Open“: The administrator can keep the grievance in the “open” status until the grievance is resolved. All the grievance activities can be performed in this status.
“Closed”. The administrator can close the grievance when the grievance is resolved or can close the grievance at a later point of time. A closed grievance cannot be reopened but it can be viewed.
Note: The “Current Status” field can show “submitted”, “responded” or “resolved”, only if the grievance status is “open”.
Viewing the grievance summary: You can view the summary of the selected grievance. The summary displays exhaustive details about the grievance, such as follows:
The employee code and assignment details of the employee who recorded the grievance
The response date and response of each employee to whom the grievance was forwarded
The details of the legal suit, if a suit was filed
The details of the resolution
The current status of the grievance
The grievance details
