This activity allows you to process claims.
Select the “Process Claim” link under the “Claims” business component.
The “Process Claim” page appears.
The system displays the following field:
Date Format |
The format in which the date field is displayed. This format is displayed from the “User Preferences” business component based on the login user ID. In case the format is not defined, the system displays the date format from the “Enterprise Modeling” business component by default. |
To search for claims
Enter the following details in the “Search Criteria” group box:
Click the “Search Criteria” tab in the “Process Claims” page:
Refer to the topic “Entering search criteria for processing claims” to proceed further.
Click the “Additional Search Criteria” tab in the “Process Claims” page.
Refer to the topic “Entering additional search criteria for processing claims” to proceed further.
To proceed carry out the following:
Click the "Search" pushbutton to retrieve the claim details in the multiline.
The system displays the following details in the “Search Results” multiline:
Claim # |
A unique number identifying the claim that is to be processed. |
Claim Status |
The status of the claim. |
Supplier # |
The number identifying the supplier on whom the claim to be processed is raised or initiated. |
Supplier Name |
The name of the supplier. |
Click the hyperlinked Claim # to view the claim details.
Enter the following:
Processing Comments |
Any additional comments pertaining to the claim processing (Alphanumeric, 255). |
The system displays the following:
Total Expense Amount |
The total expense amount for the claim. |
Expense Currency |
The currency in which the total expense amount is transacted. |
Total Claim Amount |
The total amount claimed for the loss or damage. |
Claim Currency |
The currency in which the claim for the loss or damage is raised. |
Total Accepted Amount |
The total claimed amount that is accepted by the supplier. |
Payment Reference |
The reference of the supplier payment. |
Claim Description |
The textual description of the claim. |
Claim Category |
The category to which the claim belongs. |
Claim User Status |
The user status of the claim. |
Click the hyperlinked claim number in the multiline to view the claim details.
Note: Ensure that at least one record is selected in the multiline.
Click the “Register Claim(s)” pushbutton to register the claim with the supplier.
Note: This action is workflow-enabled. Notification messages can be sent and you can configure further processing of this document in the "Workflow Management" business component.
Note: You can register only those claim documents that are in “Confirmed” status.
Note: For the claim document that is to be processed, the system ensures the “Ack. Reference” and “Ack. Date & Time” is specified in the “Processing Details” tab page of the “Record/Update Claim” activity. If not, the system does not allow further processing of the claim document.
The system updates the status of the claim document as “Registered”.
On registration of the claim, the system updates the processing comments with the registration comments defined in the “Registration Details” group box under “Claim Details” tab page. Also, the system updates the login user name in the “Registered By” field and the current system date in the “Registered date” field in the “Record Statistics” group box.
Click the “Release Claim(s)” pushbutton to release the claim.
Note: This action is workflow-enabled. Notification messages can be sent and you can configure further processing of this document in the "Workflow Management" business component.
Note: Only those claim documents that are in “Confirmed” or “Registered” status can be released.
Note: For the claim document that is to be processed, the system ensures that the “Ack. Reference”, “Ack. Date & Time”, “Total Expense Amount” and “Total Claim Amount” is specified in the “Processing Details” tab page of the “Record/Update Claim” activity. If not, the system does not allow further processing of the claim document.
The system updates the status of the claim document as “Released”.
The system updates the processing comments with the “Released Comments” specified for the claim in the “Processing Details” group box under “Processing Details” tab page, and also updates the login user name in the “Released By” field and the current system date in the “Released Date” field in the “Record Statistics” group box.
Click the “Accept Claim(s)” pushbutton to accept the claim.

Note: The system allows further processing of the claim document, only if the claim is in “Released” status and the “Total Accepted Amount” is specified in the “Processing Details” tab page.
The system updates the status of the claim as “Accepted”. Also, the system updates the processing comments with the accepted comments defined in the “Acc./Rej. Comments” field in the “Processing Details” group box under “Processing Details” tab page.
On claim acceptance, the system creates a purchase order automatically, if the Claim Remedy is set as "Part Replacement" and if the permitted value of the parameter "Auto PO for Part Replacement Claims" is other than "Not Required" as defined in the “Set Options” activity of the current business component. This is applicable only if the current business component interacts with the “Purchase Order” business component.
On acceptance of warranty claim, the system automatically generates a Debit Note on the supplier for the claim accepted amount, if the Claim Remedy is set as "Credit Request" and if the “Auto Generation of Debit Note for Warranty Claims” drop-down list box is set as “In Authorized Status” in the “Set Function Defaults” activity of the “Supplier Debit Credit Note” business component.
Click the “Reject Claim(s)” pushbutton to reject the claim.

Note: You can reject only those claim documents that are in “Released” status.
The system updates the status of the claim as “Rejected”. Also, the system updates the processing comments with the rejected comments defined in the “Acc./Rej. Comments” field in the “Processing Details” group box under “Processing Details” tab page.
Click the “Close Claim(s)” pushbutton to close the claim.

Note: You can close only those claim documents that are in “Accepted” status.
Note: The system ensures that the “Payment Reference” and “Payment Date” are specified in the “Processing Details” tab page under the “Record/Update Claim” activity.
The system updates the status of the claim as “Closed.
The system updates the processing comments with the payment comments defined in the “Payment Details” group box under “Processing Details” tab page, and also updates the login user name in the “Closed By” field and the current system date in the “Closed Date” field in the “Record Statistics” group box.
Click the “Reverse Acceptance / Rejection” pushbutton to reverse the claim.
Note: You can only reverse claim documents that are in “Accepted” or “Rejected” status.
Note: The user must have the rights to reverse a particular claim.
The system updates the following based on the conditions defined below:
When a claim is a credit request, the finance postings are reversed.
When a claim is a part replacement, any open purchase orders are checked for the selected claim reference and the following status updates occurs:
For a purchase order in “Draft” or “Fresh” status, the status is updated as “Cancel”.
For a purchase order in “Open” status without any goods receipt, the status is updated as “Short Closed”.
For a purchase order in “Closed”, “NT Closed”, or “Open” status with good receipt, an error message is displayed.
When a claim is reversed from “Accepted” or “Rejected” status, the status is updated as “Released”.
To proceed carry out the following:
Select the “Update Claim Details” link provided at the bottom of the page to update the claim details.
Select the “Generate Claim Report” link provided at the bottom of the page to generate the report containing claim details for the record selected in the multiline.
Select the “Create Component Repair Order” link at the bottom of the page to navigate to the entry page, using which the user can create a repair order for components.
Select the “Create Piece Part Repair Order” link at the bottom of the page to navigate to the entry page, using which the user can create a repair order for pieces in a part.
Select the “Edit Repair Order” link at the bottom of the page to navigate to the entry page, using which the user can edit a repair order.
Select the “View Repair Order” link at the bottom of the page to navigate to the entry page, using which the user can view a repair order.
Select the “Edit Purchase Order” link at the bottom of the page to navigate to the entry page, using which the user can edit a purchase order.
Select the “View Purchase Order” link at the bottom of the page to navigate to the entry page, using which the user can view a purchase order.
