Recording Shipping Note
This page enables you to record/edit shipping note details. Tell me more
Select the “Record Shipping Note” link at the bottom of the “Select Reference Document” page, OR
Select the “Record Direct Shipping Note” from the left pane.
The “Record Shipping Note” page appears.
Note: If the page is launched from the “Select Reference Document” page, at least one record must have been selected from the previous page.
Note: If the page is launched from “Edit/Confirm Shipping Note”, the system displays all the details corresponding to the Shipping Note # and the details can be edited, if required. However, you cannot edit the shipping note of “Cancelled” status.
Note: On launch of this page, the system ensures that the Hazmat Parts with different Hazmat Id are not allowed in a Shipping Note, if it is set as “Not Allowed” in the “Set Inventory Process Parameters activity in the “Logistics Common Masters” business component.
Shipping Document Details
The system displays the following in the “Shipping Document Details” group box:

The unique code generated by the system for identification of the shipping note. |
Status |
The status of the shipping note. |
Enter the following in the “Shipping Document Details” group box:
Numbering Type |
Use the drop-down list box to select the active numbering type. Mandatory. The system lists the default numbering types as defined for the transactions “Maintenance Issue”, "General Issue", "Stock Transfer Issue", "Repair Order Issue", “Loan Order Issue”, “Exchange Issue”, “PBH Exchange Issue”, "General/Express Issue" or “Rental Order Issue”. The system lists all the numbering types created in the “Create Numbering Type” activity of the “Document Numbering Class” business component. If there is only one value available, the system displays the value by default. If there is more than one value, the system defaults the default numbering type identified for the transaction. If there is more than one value and the default numbering type for the transaction is not defined, the system loads the numbering types in alphabetical order and defaults the first value. |

Shipment Category |
Use the drop-down list box to select the shipment category. The system loads the drop-down list box with all the active quick codes defined for the Quick Code Type "Shipment Category" in the “Create Quick Code” activity in the current component. The system leaves the field blank by default. |
User Status |
Use the drop-down list box to select the user status. The system loads the drop-down list box with all the active quick codes defined for the Quick Code Type "User Status" in the “Create Quick Code” activity in the current component. The system leaves the field blank by default. |
Shipping Warehouse # |
Use the drop-down list box and select the warehouse from which the parts are shipped. The system lists all the warehouses mapped to the 'Shipping Note' transaction in “Warehouse - Transactions Allowed” screen of the “Storage Administration” business component. |
Shipment Date |
The date of shipment (Date Format). The system displays the current date by default. Mandatory |
Shipment Time |
The time of shipment (HH:MM:SS). Mandatory. |
Ref. Shipping Note # |
The number identifying the reference shipping note. This Shipping Note will be used as Reference for the Demobilization Shipping note process. Note: This field is visible only if the process parameter “Temporary License Management Required” under category ‘Trade Compliance’ is set as “Yes” in the “Set Inventory Process Parameters” activity of the “Logistics Common Master” business component. |
Select the “Recipient Info” tab to record the recipient details.

Freight Details
Enter the following in the ”Freight Details” group box:
Carrier Code |
Use the drop-down list box to select the code identifying the carrier through which the stock must be shipped. The system lists all the Carrier / Agency codes defined in the “Manage Carrier / Agency Codes” page of the “Logistics Common Master” business component. By default, the system leaves the field blank. |
Shipping Payment |
Use the drop-down list box to select the shipping payment applicable for the carrier. The system loads the drop-down list box with the values “Account”, “Collect”, “Recipient”, “Sender” and “Third Party”. The system leaves the field blank by default. An editable field is provided alongside to enter the Shipping Account Code. You must enter the Account Code, if Shipping Payment is selected as “Account”. |
Service Type |
Use the drop-down list and select the type of the service. The system lists all the all the service types applicable for the Carrier selected in the “Maintain Carrier Account Info.” page of the “Logistics Common Master” business component. |
Freight Terms |
Any terms of the freight. |
Shipping Method |
Use the drop-down list box and select the shipping method. The system lists all the “Active" Shipping Methods applicable for the carrier. You must select the Shipping Method if the Carrier Code is selected as 'FedEx' in Record Shipping Note and if at least one ‘Active’ Account exists for the Carrier code 'FedEx' in the “Maintain Carrier Account Information” page. By default, the system leaves the field blank. |
Note: The ‘Shipping Method’ drop-down list box provides the following values for freight services, in addition to the existing values, if the carrier code is selected as ‘FedEx’: ‘FEDEX_1_DAY_FREIGHT’, ‘FEDEX_2_DAY_FREIGHT’, ‘FEDEX_FIRST_FREIGHT’, ‘FEDEX_FREIGHT_ECONOMY’, ‘FEDEX_FREIGHT_PRIORITY’, ‘FEDEX_NEXT_DAY_FREIGHT’, ‘FEDEX_EXPRESS_STANDARD_OVERNIGHT’, ‘FEDEX_EXPRESS_2_DAY’, ‘FEDEX_EXPRESS_2_DAY_AM’, ‘FEDEX_EXPRESS_SAME_DAY’, ‘FEDEX_EXPRESS_SAME_DAY_CITY’, ‘FEDEX_GROUND_HOME_DELIVERY’.
Sender / Recipient Account # |
Use the drop-down list box and select the sender / recipient account number. The system lists values based on the selection of Shipping Payment.

The account number to be entered when the Carrier is other than “FedEx”. |
Dry Ice |
The amount of dry ice used during shipment of parts. |
Dry Ice UOM |
Use the drop-down list box and select the unit of measurement of dry ice used as “Kg” or “Lb”. By default, the system leaves the field blank. |
Drop Of Type |
Use the drop-down list and select the method by which the package is to be tendered to FedEx. The system lists “Regular Pickup”, “Drop Box”, “Business Service Center”, “Request Courier” and “Station”. By default, the system leaves the field blank. |
Special Services |
Use the drop-down list box and select the Special Services as “Saturday Pickup”, “Saturday Drop”, if the ‘Carrier Code’ is selected as “FedEx”. By default, the system leaves the field blank. |
Check the following boxes:
Note: The check boxes are visible only if the Carrier Code is selected as other than “FedEx”.
Alcohol |
Check this box to indicate that the part being shipped includes alcohol. |
Collect on Delivery |
Check this box to indicate that the shipment charge and the cost of the parts shipped will be collected on delivery of the parts. |
Email Notification |
Check this box to indicate that e-mail notification is sent to recipient to confirm shipment of parts. |
Signature Required |
Check this box to indicate that signature is required from recipient on receiving the parts. |
Note: “Sender / Recipient Account”, “Other Account”, “Dry Ice”, “Drop Of Type”, “Special Services” fields and the check boxes other than “Collect on Delivery” are visible only if the Carrier Code is selected as “FedEx”.
Enter the following:
Collect Amount |
The Collect on Delivery (COD) value. If the ‘Collect on Delivery’ check box is selected then the system will compute the Collect Amount based on the parameter "Shipping Payment Codes applicable for COD Shipment" defined for the Category "Shipping Note" in the “Set Inventory Process Parameters” activity, as follows:
COD Value = Quote Value + Freight Charge + Admin Fee
COD Value = Quote Value + Admin Fee Note: The quote value will be derived from the Reference Document i.e., CO Quote, and the Admin Fee is defined in “'Set In Inventory Process Parameters” activity. The system displays the currency drop-down alongside which lists all the Currency mapped to the company, and defaults the Base Currency. |
Collection Type |
Use the drop-down list box and select the collection type. The system lists the following:

Bill of Lading # |
The unique Bill of Lading number. |
Freight Charge |
The sum of freight charges that has been levied (Decimal). The freight charges value must be greater than zero. Use the adjacent drop-down list box to select the currency. The system loads the adjacent drop-down list box with the base currency and all other active currency codes, which has conversion to the base currency. The system loads the base currency by default. |
INCO Terms |
Use the drop-down list box to select the code identifying the International Commercial terms for the stock to be shipped. All the values defined in the Logistics Common master business component are displayed. |
Vehicle #/ Flight # |
The number identifying the vehicle / flight to be used for transporting the stock to the specific warehouse (Alphanumeric, 20). |
Vehicle / Flight Date |
The date when the stock was transported to the specific warehouse. The date is mandatory if the Vehicle #/ Flight # is entered or vice versa. |
Freight Billable? |
Use the drop-down list box to indicate whether the freight charges are billable to the shipping note. |
Way Bill # |
The unique number identifying the Way Bill. |
Way Bill Date |
The date of creation of the way bill (Date Format. The Date is mandatory, if Way Bill # is entered and vice versa. |
Purpose |
Use the drop-down list box to specify the purpose for shipment of stock. The system lists all the values defined under the Quick Code Type 'Purpose' in the “Create Quick Code” screen in the current business component, along with a blank value. The system leaves the field blank by default. |
User Defined-1 |
Use the drop-down list box to specify the user defined detail. The system all the values defined under the Quick Code Type 'User Defined-1' in the “Create Quick Code” screen in the current business component, along with a blank value. The system leaves the field blank by default. |
User Defined-2 |
Use the drop-down list box to specify the user defined detail. The system all the values defined under the Quick Code Type 'User Defined-2' in the “Create Quick Code” screen in the current business component, along with a blank value. The system leaves the field blank by default. |
User Defined-3 |
Any user defined value for the shipping Note. |
Note: You must specify ‘Drop Of Type’, ‘Shipping Payment’ ‘Way Bill #’ and ‘Way Bill Date’, if Carrier Code is selected as “FedEx” and if at least one "Active" Account exists for the Carrier code 'FedEx' in “Maintain Carrier Account Information” page of the “Logistics Common Master” business component.

Pack Slip # |
The unique Pack Slip number in the first field. |
Pack Slip Date |
The date on which the delivery note was raised (Date Format). The Date is mandatory if Pack Slip # is entered and vice versa. |
Note: If both Packslip Date and Way Bill Date are available, ensure that Packslip Date is lesser than or equal to Way Bill Date.
Shipping Payment |
Use the drop-down list box to select the shipping payment. The system loads the drop-down list box with all the active Shipping Cost Codes defined in the interacting Logistics Common Master. The system leaves the field blank by default. |
Freight Charge |
The sum of freight charges that has been levied (Decimal). The freight charges value must be greater than zero. Use the adjacent drop-down list box to select the currency. The system loads the adjacent drop-down list box with the base currency and all other active currency codes, which has conversion to the base currency. The system loads the base currency by default. |
Freight Terms |
Any terms of the freight (Alphanumeric, 150). |
Insurance Details
Enter the following in the “Insurance Details” group box:

Use the drop-down list box to indicate who should bear the insurance amount. The options available are:

Packaging Details
Enter the following in the “Packaging Details” group box:
No. of Packs |
The number of packs of the goods (Decimal). The number of packs value must be greater than zero. |
Gross Weight |
The sum of gross weight of all packs (Decimal). Use the adjacent drop-down list box to select the UOM (Unit of measurement. The system lists the adjacent drop-down list box with all the active UOM codes defined in the interacting UOM business component. You must enter Gross Wiight, if Carrier Code is selected as “FedEx” and if at least one "Active" Account exists for the Carrier code 'FedEx' in “Maintain Carrier Account Information” page of the “Logistics Common Master” business component. |
Note: If the carrier code is selected as ‘FedEx’ and integration with FedEx is enabled and if the shipping method selected is of type Freight such as ‘FedEx 1 Day freight etc’, then the gross weight UOM must be in ‘LB’ (pounds.)
Net Weight |
The sum of net weight of all packs (Decimal). Use the adjacent drop-down list box to select the UOM (Unit of measurement). The system loads the adjacent drop-down list box with all the active UOM codes defined in the interacting UOM business component. |
Note: If the carrier code is selected as ‘FedEx’ and integration with FedEx is enabled and if the shipping method selected is of type Freight such as ‘FedEx 2 Day freight etc’, then the net weight UOM must be in ‘LB’ (pounds.)
Note: If the carrier code is selected as ‘FedEx’ and integration with FedEx is enabled then
if the shipping method selected is ‘freight’, then the net weight entered must be greater than 150 lbs
if the shipping method selected is other than ‘freight’, then the net weight entered must be less than 150 lbs
Packaging Code |
Use the drop-down list box to select the packaging code. The system lists all the 'Active' Packaging Codes applicable for the carrier. You must enter Packaging Code, if Carrier Code is selected as “FedEx” and if at least one "Active" Account exists for the Carrier code 'FedEx' in “Maintain Carrier Account Information” page of the “Logistics Common Master” business component. By default, the system leaves the field blank. |
Note: If the carrier code is selected as ‘FedEx’ and integration with FedEx is enabled and if the shipping method selected is of type Freight such as ‘FedEx First freight etc’ then the packaging code must be selected as ‘YOUR PACKAGING’.
Packaging Dimension (L*B*H) |
The dimensions of packaging. Use the adjacent drop-down list box to select the UOM (Unit of measurement) if you enter the Packaging Dimension. The system loads the adjacent drop-down list box with all the active UOM codes defined in the interacting UOM business component. Data entry in field is mandatory and you must enter the Packaging Dimension in (Length * Breadth * Height) format, if the following statements are true:

Note: The RMA date for a shipping note is mandatory, if RMA # is available and, if the process parameter “RMA Date for RMA #” under category Shipping Note in the Set Inventory Process Parameters” activity of Logistics Common Master is set as ‘1’. |

The system displays any one of the following options from the “Planning Information” page of “Part Administration” business component:

Hazmat ID |
The hazmat ID of the part. For the Hazardous part with Hazmat ID defined, the system displays the Hazmat ID corresponding to the part from the “Part Administration” business component For the Hazardous part with Hazmat ID not defined, the system displays “Not Applicable” in this field. For the Non-Hazardous part, the system leaves the field blank. Hyperlink available. Hyperlink launches the “View Hazmat Information” page to view the hazmat details. |
Enter/Edit the following in the “Part Details” multiline:
Exp. Auth. # |
The number identifying the export authorization of the part. Note: If the shipping note does not have trade compliance data, user can then manually enter the Exp. Auth. # for the Document. However, you cannot modify the data in this field, if it has been defaulted /already available for the shipping note. |
Ext. License # |
The external license number of the part. Note: If the Shipping Note does not have trade compliance Data, then user can manually enter the Ext. License # for the Document. |
Comm. Inv. Value |
The value of Materials/Parts available in the package. The system defaults this field based on the set option defined under the Category 'Trade Restriction' in the “Set Inventory Process Parameter” activity of the “Logistics Common Master” business component.

Note: If the direct issue has reference to a Scrap Note then the “Scrap Note” is displayed as the “Parent Ref. Doc. Type” and “Scrap Note #” as the “Parent Ref. Doc. #”. |

Reason for Rejection |
The reason for rejecting the part as given by the supplier in the goods receipt. |
Shipping Area |
The shipping Area where rejected parts are available in the warehouse. Note: If the Ref. Document Type is 'Receipt' and if the Shipping Details Recording Option is ‘Part’ Level, then the Shipping Area field displays the concatenation of the distinct Area IDs mentioned in the ‘Movement Details’ tab for the given Part # in the selected Ref. Document #. If the Ref. Document Type is 'Receipt' and if the Shipping Details Recording Option is ‘Serial #/Lot #’ Level, then the Shipping Area field displays the Area ID mentioned in the Movement Details tab for the given Part # - Serial/Lot # combination in the selected Ref. Document #. If the Ref. Doc. Type is ‘Issue’, the system leaves the Shipping Area field blank. |

The unique code identifying the Customer PO as specified in the goods receipt. |
Group Ship ID |
The group ID under which the reference documents (customer orders) are grouped. This field is hyperlinked to invoke the ‘Group Ref. Documents for Shipping” page. |
Hold Code |
The hold code specified in the customer order. |
Container Details
Enter the following in the "Container Details” group box:

The unique code identifying the container in which the goods are shipped. Mandatory. |
Packaging Code |
Use the drop-down list box to select the type of packing that is used to pack the goods. |
Length |
The length of the pack. |
Width |
The width of the pack. |
Height |
The height of the pack. |
UOM |
Use the drop-down list box to select the UOM (Unit of measurement) for packaging. The system lists all the active UOM codes defined in the “UOM” business component. This field is mandatory when Length, Width or Height is entered. |
Gross Weight |
The gross weight of the pack (Decimal). The value entered must be greater than zero. |
UOM (Gross Wt.) |
Use the drop-down list box to select the UOM (Unit of measurement) for the gross weight. The system lists all the active UOM codes defined in the “UOM” business component. This field is mandatory when a value is entered in “Gross Weight”. |
Net Weight |
The total weight of the pack (Decimal). The value entered must be greater than zero. |
UOM (Net Wt.) |
Use the drop-down list box to select the unit of measurement for the total weight. The system lists all the active UOM codes defined in the “UOM” business component. This field is mandatory when a value is entered in “Net Weight”. |
Packaged by Employee |
The ID of the employee who packed the goods. Help facility available. |
Packaging and Handling Terms |
Any packaging / handling terms associated with the pack. |
Enter the following in the “Other Details” group box:
File Name |
The name of the file associated with the transaction (Alphanumeric,50). |

Any remarks pertaining to the shipping (Alphanumeric,255). |
To record shipping note
Note: Ensure that at least one record is available in the multiline.
Click on the “Record / Update” pushbutton.
Note: The system ensures that the Hazmat Parts with different Hazmat Id are not allowed in a Shipping Note, if it is set as “Not Allowed” in the “Set Inventory Process Parameters activity in the “Logistics Common Masters” business component.
The system generates the Shipping Note # in the header and updates the Status to “Fresh”.
The system displays a warning message for shipments with Shipment Readiness as “Group Shipment – Awaiting Parts”, if issue has not been generated for few of the parts in the Customer Order belonging to the Group Ship ID.
If the parameter “Alert required during the shipment of Trade Restricted Parts?” in the “Set Inventory Process Parameters” activity of the “Logistics Common Master” business component is set as “1” and if atleast one of the Part # entered is trade restricted as defined in the “Maintain Planning Information” activity of the “Part Administration” business component, then an alert pop-up appears with two pushbuttons 'Continue' and 'Cancel'.
On clicking “Continue” pushbutton, the alert Pop-up closes and the system performs the record/update action.
On clicking “Cancel” pushbutton, the alert Pop-up closes and the system does not perform the record/update action.
The system displays the following in the “Record Statistics” group box:
Created By |
The name of the user who created the shipping note. |
Created Date |
The date on which the shipping note was created. |
Last Modified By |
The name of the user who last modified the shipping note. |
Last Modified Date |
The date on which the shipping note was last modified. |
To confirm shipping note
Click on the “Confirm” pushbutton.
The system ensures the following:
The Shipping Note # must not be blank .
The Shipping Note must be of “Fresh” status.
If the option for Hazmat Compliance for Shipping Note is set as "Enforce Compliance" in “Set Inventory Process Parameter” activity of “Logistics Common Master” component, the system ensures that Hazmat Compliance details are recorded for the Hazmat parts in the shipping note.
If there are any Mandatory Supplementary Information codes available, then ‘Supplementary Entity Value’ in the “Manage Supplementary Information” screen must not be blank. Ensure that mandatory Supplementary information codes are entered.
The system updates the Status to “Confirmed”.
The system ensures that the Hazmat Parts with different Hazmat Id are not allowed in a Shipping Note, if it is set as “Not Allowed” in the “Set Inventory Process Parameters activity in the “Logistics Common Masters” business component.
The system performs the following:
Updates the status to "Confirmed" .
Generates and saves the Way Bill #, if Carrier Code is set as “FedEx”.
On successful generation of the Way Bill #, the system generates and prints the Shipping Label in PDF format in the printer configured for printing FedEx Shipping Label.
The Shipping Label is saved automatically in “Upload Documents” with reference to the Shipping Note #.
The system displays a warning message for shipments with Shipment Readiness as “Group Shipment – Awaiting Parts”, if issue has not been generated for few of the parts in the Customer Order belonging to the Group Ship ID.
The system displays the following in the “Record Statistics” group box:
Confirmed By |
The name of the user who confirmed the shipping note. |
Confirmed Date |
The date on which the user confirmed the shipping note. |
To cancel shipping note
Enter the following in the “Other Details” group box:
Cancellation Comments |
Any comments pertaining to the cancellation of the shipping note (Alphanumeric,255). Mandatory to cancel a shipping note. |
Click on the “Cancel” pushbutton.
The system sets the status of the stock issue as 'Cancelled'.
The system ensures the following:
The Shipping Note # must not be blank .
The Shipping Note must be of “Fresh” status.
Note : You can only cancel the shipping note of Fresh status.
To reverse shipping note
Click on the “Reverse” pushbutton.
Note: Only those Shipping Notes that are in “Confirmed” status can be “Reversed”.
On clicking “Reverse” pushubutton, the Status of the Shipping Note is updated as “Fresh”.
If the Carrier is "FedEx" and if the Account information is saved for the Carrier code 'FedEx' in “Maintain Carrier Account Information” screen, the system verifies the package picking status and performs the following:
If the Package is yet to be picked (Pending For Shipment), the generated Way Bill # is cancelled.
If the Package is already picked (Shipment is created), the generated Way Bill # considered as void.

Select the "Record Hazmat Compliance" link at the bottom of the page to record the hazmat compliance details.
Select the “Attach Documents” link at the bottom of the page to attach documents.
Select the "Generate Shipping Note Report" link at the bottom of the page to generate shipping note report.
Select the “Upload Documents” link at the bottom of the page to upload necessary documents pertaining to shipping note.
Select the “View Associated Doc. Attachments” link at the bottom of the page to view all the necessary documents associated with the shipping note.
Select the View Shipping Rate / Delivery Schedule to view the shipping rate and delivery details.
Select the “View Part Main Information” link to view the part details.
Select the “View Planning Information” link to view the planning information of the part.
Select the “Manage Supplementary Information” link to record and manage the supplementary Information for the shipping note.
Select the “Generate Commercial Invoice Report” link at the bottom of the page to view the Trade Compliance and Commercial Invoice details of the Shipping Note.

Recording shipping note details: The “Record Shipping Note” page allows you to record the shipping note details for the selected Issue #. You can record the following key details:
Shipping Document Details
Recipient / sender address details and contact details.
Freight Details and Insurance Details
Packaging Details, Part Details, Container Details and Other Details
You can record a shipping note by invoking “Record / Update” and the system updates the Status to “Fresh”. You can cancel the shipping note by invoking the “Cancel”, if required. Note that you can only cancel the shipping note of “Fresh” status. You can confirm the shipping note by invoking “Confirm”. The system updates the status to “Confirmed”.
