Defining Document Routing
This page can be used to define document routing for the selected task.
Select the “Define Document Routing” link at the bottom of the ‘Define Document Routing - Choose Task’ page.
The ‘Define Document Routing’ page appears.
The system displays the following fields:
Date Format |
The format in which the date fields must be entered in this page. The specified format is DD-MM-YYYY. |
Component Name |
The name of the component in which the task is present. |
Activity Name |
The name of the activity in which the task is present. |
Task Name |
The name of the task for which document routing is to be defined. |
Enter the details in the following field:
Org. Unit |
The component deployed organization unit for which the document routing is to be defined (Alphanumeric, 16). Click on the lens icon near the ‘Org. Unit’ field to launch the ‘Help on Org. Unit’ page. The org. unit can be selected from this page. |
Click the "Get" pushbutton to retrieve the organization unit details.
Modify the details in the following fields, if required:
Effective From |
The date from which the document routing is effective (Date format). |
Effective To |
The expiry date of the document routing (Date format) Mandatory. |
Click the ‘Previous’ pushbutton to view the details of the previous set of "Effective From" and "Effective To" details.
Click the ‘Next’ pushbutton to view the details of the next set of "Effective From" and "Effective To" details.
Enter the details in the following field:
Path ID |
The unique id for every path defined for the selected task (Alphanumeric, 30). If the path is already defined, select the lens icon near the ‘Path Id‘ to launch the ‘Help on Path‘ page and to choose an appropriate path. |
Click the "Get" pushbutton to retrieve the path details.
Modify the details in the following fields, if required:
Rule-driven Process Identification |
Check this check box to indicate that the path defined will be selected only after evaluating the given rule. It helps to emphasize the rule evaluation for a path. |
Process Rule ID |
The ID of the process rule (Alphanumeric, 30). Click on the lens icon near ‘Process rule id‘ to launch the ‘Help on Process Rule‘ page. The process rule id can be selected from this page. |
Path Description |
The description of the path (Alphanumeric, 40). |

The system displays the mapped and unmapped document routing details in the following multiline:
Component Name |
The name of the component in which the task is present. |
Activity Name |
The name of the activity in which the task is present. |
Task Name |
The name of the task for which document routing is to be defined. |
Org. Unit Code |
The organization unit code to which the document must be routed. |
Org. Unit Description |
The description of the organization unit to which the document is to be routed. |
Execution Type |
The type of execution. This can be ‘System Enacted’ or ‘User Enacted’, ‘Workflow Enacted - Synchronous’ and ‘Workflow Enacted - Asynchronous’. |
Enter the following details in the multiline:
Elapse Time |
The time after which the task is to be performed if the "Execution Type" is “Workflow Enacted - Asynchronous (Time format). |
Unit |
Use the drop-down list box to select the unit of elapse time. It can be "Hours", "Days", "Months" or "Years". |
Map |
Use the drop-down list box to indicate task mapping. Select 'Yes' to allow mapping else select 'No'. |
Click the ‘Save’ pushbutton to save the document routing details.
Click the ‘Delete’ pushbutton to delete the document routing details.
To Proceed
Select the “User Identification” link at the bottom of the page to define the user identification basis across area document routing.
Select the “Enable Notification” link at the bottom of the page to attach notification messages.
You can define the document routing for the selected task in this page.
You can define the document routing specific to the deployed org. unit.
You can also define different routing for various periods by specifying the effective'from and ‘to’ dates. The rules will be evaluated and based on the paths defined,the document routing will be decided. If no rule is specified, then the document routing identified directly will be considered. Normally, the document routing is specified for a task from another area or for any task that has more than one forward task.
