Initiating Employee Separation: Separation refers to the process of the employee’s services getting terminated or the contract of employment getting over due to resignation, dismissal, disciplinary action, death, retirement or any other reason. The HR user can initiate the separation process, for employees for whom he/she has the necessary data level security permissions. The separation process can be initiated only for regular employees.
To initiate separation process for an employee, you are to specify the following details:
Notified Date – the date on which employee informs the organization about his impending resignation or the date on which the employer initiates the separation process.
Last Available Date – The date and time until which the employee is willing to work in the organization. Otherwise, it is the date until which the employee is allowed to work in the organization.
Separation Date – The date on which the employee will be separated from the organization.
For example, Mr. X informs the organization that he will resign on 9th of April (Notified Date) and will work till 30th of April (Last Available Date). Typically in the business scenario, the employer, subject to the employment terms and conditions, will decide the relieving date (Separation Date)
Recording Separation Reason: The reason for separation must be recorded, as this reason will form an input to the subsequent activity. The separation reason can be either employer or employee reason. The employer reasons could be dismissal, or retrenchment, while the employee reasons can be retirement, or better opportunities elsewhere. The employer and employee separation reasons are user defined through the Quick Codes component interacting with the specified employee movement unit.
Exit Interview: The process of separation leads to the process of exit interview, wherein relevant information regarding the reasons for separation and other feedback is sought from the employee and recorded. The data collected in the exit interview can be used for further improvisation of HR processes and other systems in the organization.
