Benefits Enrollment – An overview
Enrolling Employees in the Benefits Plans is the main objective of the entire benefits administration process. The basic prerequisites for enrolling an employee are that the plan definitions are done and the security permissions are given for enrollment. The important factor to be noted in this component is that the enrollment is handled by the Benefit Administrator and not the normal user or the employee. Enroll employee in plan
This activity enables you to enroll an employee for different plans. An employee can be enrolled for various plans like the Health plan, Disability Plan, Savings Plan etc. However the employee must be eligible to be enrolled in that particular plan. This activity can be used to select a plan for enrollment, enroll dependants, declare beneficiaries and enroll in various types of plans. The following are the prerequisites to enroll an employee in a plan,
The various plans available for the employee must have been defined in the “Create Benefit Plan” activity
The eligibility of the employees for the various plans must have been defined in the “Create Participant Eligibility” activity
Plan level security permissions are given to users for enrollment
Enroll COBRA acceptance
This activity enables the user to enroll an employee in the COBRA acceptance plan. In order to record COBRA acceptance the following have to be specified,
Select a plan for COBRA acceptance for which enrollment must be made.
Specifying an employee who has to be enrollment.
The qualifying event, which entitles the employee for enrollment in the cobra, enabled plans. The qualifying events can be instances like “termination other than gross misconduct”, “death”, “loss of dependent child status” etc.
The acceptance date, which is the date from which the enrollment in the plan must take effect.
Set Automated Enrollment Process Status
This activity enables the user to abort an automated enrollment process for a particular session ID. The processing of the automated enrollment must have been initiated in the “Perform Automated Enrollment” activity, for a single or multiple plan under a program and a plan category.
Set Eligibility Participation Process Status
This activity enables the user to abort an eligibility participation process for a particular session ID. The processing of the eligibility participation must have been initiated in the “Perform Eligibility Participation” activity, for a single or multiple plans under a program.
Record COBRA Premium Receipts
This activity enables you to record COBRA premium receipts for the plans in which you have enrolled for a specified premium period. In order to record COBRA premium receipts the user needs to select an employee and specify the following details in the “Record COBRA receipts” page.
The premium period for which premium for the plan is paid.
Record Highly Compensated Employees
This activity enables you record the employees who have been highly compensated in the company for a benefit year.
Authorize Automated Enrollment
This activity enables you to authorize/unauthorized/reject an automated enrollment process for a given program and plan category. Authorizing / Unauthorizing / Rejecting an automated enrollment process involves specifying,

An auto enrollment id that identifies the automated enrollment process
Authorize COBRA Acceptance
This activity enables you to authorize or reject COBRA acceptance of an employee which is entered through Employee Self Service. The employee must have recorded COBRA acceptance plan in the “Record COBRA acceptance” activity of Benefits Employee Self service component.
Authorize COBRA Premium Receipts
This activity enables you to authorize or reject COBRA premium receipts of an employee for all the plans in which he/she is enrolled for a program. The prerequisite for authorizing COBRA premium receipts is that the employee must have recorded COBRA premium receipts activity of Benefits Employee Self Service component.
Authorize Eligibility Participation
This activity enables you to authorize/ unauthorize /reject eligibility participation. Apart from authorizing the eligibility participation details, you can view the employee participation details and participation process details.
Authorize Plan Enrollment
This activity enables you to authorize the enrollment of an employee in plans. Authorizing a plan enrollment involves specifying the search criteria based on which the system will display the records. The user can authorize the plan enrollment either in the “Select Plan to Authorize Enrollment” or in the view plan details page and authorize in the respective pages.
Perform Automated Enrollment
This activity enables you to perform automated enrollment. The user can enroll employees in various plans for a specified program and plan category in one shot. Automated Enrollment is based on coverage dates. Employees can be enrolled in a Plan through Automated enrollment only if the plan is Automated Enrollment enabled. This parameter is set in Create Benefits Plan Activity in Benefits Definitions.
Perform Eligibility Participation
This activity enables you to perform eligibility participation for a set of employees for various plans mapped to a program. This activity is used to execute the eligibility of many employees in many plans. The result of performing Eligibility Participation is that the system stores the list of employees with the eligibility flag for a particular plan as on a particular eligibility date. At the time of enrollment, the system can directly refer to this processed output to determine the eligibility of the employee.
View Eligibility Participation Details
This activity enables you to view the eligibility participation details for a program and a participation id. In order to view the eligibility participation details the following have to be specified,
A program
A plan type
A Participation Id.
