Viewing stock balance in warehouse
This activity allows you to view the stock balance details of a selected warehouse. Tell me more
Select the “Inquire Warehouse Stock Balance” link under the “Stock Maintenance” business component.
The “Inquire Warehouse Stock Balance” page appears.
Enter the following in the “Search Criteria Warehouse Information” group box:
Warehouse # |
Use the drop-down list box to select the warehouse available in the login organization unit, for which you wish to view the stock balance. Mandatory. The system lists all the warehouse numbers that have already been defined in the “Storage Administration” business component, that are in the “Active” status. |
The system displays the following:
Warehouse Category |
The category to which the warehouse belongs. |
Description |
A textual description of the warehouse. |
Note: The system displays the warehouse category and description on clicking the search pushbutton.
Enter the following search criteria in the “Warehouse Information” group box:
WH - Zone # |
Use the drop-down list box to select the zone available in the selected warehouse, for which you wish to view the stock balance. The system lists all the zones that have already been defined “Storage Administration” business component, that are in the “Active” status and mapped to the selected warehouse. The system leaves the field “Blank” by default. |
Bin # |
Use the drop-down list box to select the bin available in the selected zone and warehouse, for which you wish to view the stock balance. The system lists all the bins that have already been defined in the “Storage Administration” business component, that are in the “Active” status and mapped to the selected warehouse-zone. The system leaves the field “Blank” by default. |
Enter the following in the “Trading Partner Information” group box:
Trading Partner Type |
Use the drop-down list box to select the trading partner type. The system lists the following options:

Trading Partner # |
The unique code identifying the supplier or customer (Alphanumeric, 45). You can enter the trading partner code in full or specify it partially using the “*” character. The system retrieves all the reference document numbers with the trading partner code entered here. |
Enter the following fields in the “Part Information” group box:
Part # |
The number identifying the part available in the warehouse (Alphanumeric, 40). You can enter the part number in full or specify it partially using the “*” character. The system retrieves all the part numbers that are similar to the value entered here. |
Part Description |
The textual description of the part. |
Part Group |
Use the drop-down list box to select the part group for which the balance details must be viewed. The system lists all the part groups defined in the “Part Administration” business component. |
Part Type |
Use the drop-down list box to select the type of the part available in the warehouse. The part type could be “Raw Material”, “Component”, Expendable, “Tool”, “Kit” or “Consumable”. |
Part Category |
Use the drop-down list box to select the part category. The system lists all the quick codes of the type “Part Category” defined in the “Create Quick Codes” activity in the “Part Administration” business component, that are in “Active” status. |
Stock Status |
Use the drop-down list box to select the stock status of the part. The system lists all the user-defined and system-defined stock statuses for selection. |
Lot # |
The number identifying the lot to which the part belongs (Alphanumeric, 18). This lot number must have been generated by the system. You can enter the lot number in full or specify it partially using the “*” character. The system retrieves all the parts, which have lot numbers similar to the value entered here. |
Serial # |
The number identifying the serial number of the part (Alphanumeric, 40). You can enter the serial number in full or specify it partially using the “*” character. The system retrieves all the parts, which have serial numbers similar to the value entered here. |
Manufacturer Lot # |
The number identifying the lot number issued by the manufacturer of the part (Alphanumeric, 18). You can enter the lot number in full or specify it partially using the “*” character. The system retrieves all the parts, which have manufacturer lot numbers similar to the value entered here. |
Manufacturer Serial # |
The number identifying the serial number issued by the manufacturer of the part (Alphanumeric, 40). You can enter the serial numbers in full or specify it partially using the “*” character. The system retrieves all the parts, which have manufacturer serial numbers similar to the value entered here. |
Condition |
Use the drop-down list box to select the condition of the part. The condition of the part could be “New”, “Overhauled”, “Serviceable” or “Unserviceable”. |
Specify the “Display Option” for the details retrieved by the system:
With Serial / Lot Nos |
Check this box to display the part details along with the serial numbers and lot numbers in the multiline. This box appears checked by default. |
Parts With Zero Qty. |
Check this box to display the parts with the current stock balance in the warehouse as zero. This box is set as unchecked by default. |
With Trading Partner Info. |
Check this box to display the parts along with the corresponding trading partner information. This box appears checked by default, on launch of the page. |
Click the “Search” pushbutton, to retrieve the search results.
The system displays the following in the “Stock Information” multiline based on the search criteria entered:
Part # |
The number identifying the part. |

Serial # |
The serial number generated for the part, after receipt of the part, if the part is serial number controlled. |
Total Quantity |
The total quantity of the part available in the warehouse-zone-bin in the specified stock status. |
Value |
Indicates the value of the stock present in the warehouse, for a specified part. displays the value of the stock based on the “Valuation Method” defined in the "Part Administration" business component. |
Note: The system calculates the value of the stock based on the part #-warehouse-stock status combination, if the valuation is done at the warehouse level, or based on the part #-stock status combination if the valuation is done at the location level. |

Allocated Qty |
The quantity of the part allocated out of the total stock available in the warehouse – zone – bin in the specified Stock Status. |
Available Qty. |
The total quantity available for the part in the warehouse – zone – bin, in the specified stock status, which is not allocated. Available Qty = Total Qty-Allocated Qty |
UOM |
The unit of measurement in which the part is stocked in the warehouse. |
Stock Status |
The stock status of the part. |
WH - Zone # |
The number identifying the zone in which the part is stored in the warehouse. |
Bin # |
The number identifying the bin in which the part is stored in the zone. |
Manufacturer Serial # |
The serial number of the part issued by the manufacturer. |
Condition |
The condition of the part. It could be “New”, “Overhauled”, “Serviceable” or “Unserviceable”. |
Lot # |
The lot number of the part generated after receipt of the part, if the part is lot number controlled. |
Manufacturer Lot # |
The lot number of the part issued by the manufacturer. |
Expiry Date |
The date of expiry of the part. |
Part Type |
The type of the part as defined in the “Part Administration” business component. It could be “Raw Material”, “Component”, “Expendable”, “Tool”, “Kit” or “Consumable”. |
Part Category |
The category of the part. |
Planning Type |
The method in which the part requirement is planned. This could be "Reorder Level", "Min-Max" or "None". |
Source Document Type |
The type of the reference document based on which the part was initially received in the warehouse. |
Source Document # |
The number identifying the reference document based on which the part number is created. |
Last Updated Document Type |
The type of the document that was last updated. This is the recently-updated document that forms the basis for computing the current stock balance for the part in the warehouse. |
Last Updated Document # |
The number identifying the document that was last updated. |
Trading Partner Type |
The trading partner type which could be “Supplier” or “Customer”. |
Trading Partner # |
The unique code identifying the supplier or customer. |
Trading Partner Name |
The name of the supplier or customer. |
Note: If the “Trading Partner Type” is set as “Customer” and the trading partner number is not entered in the search criteria, the system retrieves and displays only those serial/lot or serial and lot-controlled parts whose stock status attribute “Ownership-Customer” is set to “Yes” in the “User Defined Stock Status” business component. Also the system displays “Customer” as the trading partner type, customer number as the trading partner number and customer name as the trading partner name along with the part details in the multiline, from the “Customer” business component.
Note: If the “Trading Partner Type” is set as “Supplier” and the trading partner number is not entered in the search criteria, the system retrieves and displays only those serial/lot or serial and lot-controlled parts whose stock status attribute “Ownership-Supplier” is set to “Yes” in the “User Defined Stock Status” business component. Also the system displays “Supplier” as the trading partner type, supplier number as the trading partner number and supplier name as the trading partner name along with the part details in the multiline, from the “Supplier” business component.
Note: The system retrieves and displays the serial/lot or serial and lot controlled parts, and none-controlled parts from the warehouse-zone-bin to which the customer or supplier is mapped in the “Maintain External Stock Allocation” page of the “Storage Administration” business component, based on the trading partner type and the trading partner # specified in the search criteria.
Check the box in the “Select” column of the multiline, to mark a part to view the availability of alternate parts or the quantity available in the part kit.

Select the “View Part Quantity as Kit Constituent” link at the bottom of the page, to view the quantity of parts available as a part of kits.
Select the “View Allocated Quantity” link at the bottom of the page, to view the allocated quantity details of the selected part.
Select the “View Parts Information” link at the bottom of the page, to view the part details
