Attendance processing indicates that the system computes the attendance for a specified set of employees. The employee attendance is computed for the period that you specify. The system computes the employee attendance in conformance with the attendance policies and rules defined for the rota plan to which the employees are mapped. Tell me more
Parameters for Processing Attendance: You can request the system to process the attendance of all employees under a specific
Organization unit
Processing unit
Rota plan
You are to also specify the period for which the employee attendance must be processed.
In response, the system makes available all the rota schedules that satisfy these parameters. You are to now select one or more rota schedules. Selecting implies that you have identified these rota schedules, to request the system to process the attendance of all the employees mapped to these rota schedules.
Session ID: After you specified the parameters, the system checks whether all the prerequisite conditions required for processing are satisfied. If they are satisfied, these parameters are automatically saved. Once they are saved, the system generates a Session ID.
The session ID uniquely identifies the attendance processing that the system carries out on a set of records It is used to access this set of records for aborting or resetting.
The generation of the session ID indicates that the employee records are ready for processing of attendance.
Note: The system also checks whether this processing was authorized already, through the “Authorize Employee Attendance” activity. If it was authorized, unauthorization is required before you process it.
Viewing the Processing Status: You can view the status at each stage. The different statuses that the system can display for each phase are “Not Processed“, “Initiated“, “Processed“, “Aborted“, “Authorized“, “In-Progress“, “Unauthorized“, “Partially Processed“ or “Partially Authorized“
Reprocessing Employee Attendance: Sometimes, after the employees’ attendance has been processed, the employees’ leave applied during this processed period is authorized. Leave authorization is carried out in the Leave Administration component. In such instances, you can request the system to reprocess employee attendance for the period, after taking into account the authorized leave for this period. You will not require to first unauthorize the employee attendance before reprocessing it.
In fact, you can also include the processed attendance period to a new period, and request the system to process for the entire period. For example, employee attendance has been processed for June 2002. When requesting the system to process attendance for the month of July, you can include June as well, and specify the period for processing as follows: June 1 to July 31. This saves you from having to unauthorize the attendance for June and request for processing.
Viewing Attendance Process Status, by Employee or by Date: You can view the status of attendance processing for an individual employee. You can also view the attendance processing for a date range. This is carried out in the “View Employee Attendance Status” page. Tell me more
