Use this page to view the attendance status for (i) An individual employee, or (ii) The employees applicable for a date range.
Select “View Employee Attendance Status” link from the “Employee Attendance Processing” page.
The “View Employee Attendance Status” page appears.
The system displays the date format, processing unit and scheduling unit from the previous page.
Enter the following
Employee |
The employee code of the employee for whom you require to view attendance status |
Assignment Number

The number of the assignment pertaining to which the employee is mapped to the rota schedule |
From Date |
The start of the date range for which the employee’s attendance status must be viewed |
To Date |
The end of the date range for which the employee’s attendance status must be viewed |
The system displays the following
Last Processed Date |
The date on which attendance was most recently processed for the employee |
Last Authorization Date |
The date on which attendance processing was most recently authorized for the employee |
Indicate whether you require viewing the employee’s regular attendance status or overtime attendance status, by selecting “Overtime” or “Attendance” from the “Show” drop-down list box.
Indicate whether you want to view the employee attendance status for processed records, unprocessed records, authorized records or any combination of the three.
Select the “Get” pushbutton to view the employee records.
The system displays the following status details in the multiline
Date |
Each date within the date range you specified, for which the attendance status is displayed |
Attendance (Hours) |
The total number of attendance hours contributed by the employee, for the date range you specified |
Status |
The status of the process. The status can be one of the following: “Not Processed“, “Initiated“, “Processed“, “Aborted“, “In-Progress, “Authorized“ or “Unauthorized“. |

Enter the code that pertains to the filter you selected in the “Filter By” field. |

For example, if you selected “Department” to be the filter, enter the code of the department in this field. |
Indicate whether you require to view the employee’s regular attendance status or overtime attendance status, by selecting “Overtime” or “Attendance” from the “Show” drop-down list box.
Indicate whether you want to view the employee attendance status for processed records, unprocessed records, authorized records or any combination of the three.
Select the “Get” pushbutton to view the employee records.
The “Attendance Process Details” multiline displays the following fields

The number of the assignment for which the employee is mapped to a rota schedule. |

The name of the employee |
Attendance (Hours) |
The total number of attendance hours contributed by the employee for the date you had specified. |
Status |
The status of the process. The status can be one of the following: “Processed“, “Not Processed“, “In-Progress“, “Aborted”, “Reset“, “Unauthorized” or “Authorized”. |

Viewing the status of individual employee attendance – Overview
You can view the status of attendance processing for an individual employee, in the “View Employee Attendance Status” page. You can also view the attendance processing for a date range.
Viewing by Employee: You are to specify the employee code and the date range for which you require to view the employee’s attendance process status. Additionally, you can narrow down the list of attendance status records, to view
Only overtime or only normal attendance status of the employee.
Only processed records, unprocessed records, authorized records or any combination of the three, for the employee
Viewing by Date: You are to specify the date for which you require to view the attendance process status of employees. Additionally, you can narrow down the list of attendance status records, to view
The attendance status of only employees mapped to a specific rota schedule
The attendance status of only employees pertaining a specific department, job, grade set or grade.
The attendance status of an individual employee
For this set of records, you can choose to view
Only overtime or only normal attendance status.
Only processed records, unprocessed records, authorized records or any combination of the three.
You are not able to access a specific rota schedule, for attendance processing
The attendance is being processed, but some of the records were wrongly entered
You are not able to access a specific overtime record, for attendance processing
What happens if an employee’s leave is authorized only after his attendance for a month is processed?
Sometimes, after the employees’ attendance has been processed, the employees’ leave applied during this processed period is authorized. Leave authorization is carried out in the Leave Administration component. In such instances, you can request the system to reprocess employee attendance for the period, after taking into account the authorized leave for this period. You will not require to first unauthorize the employee attendance before reprocessing it.
In fact, you can also include the processed attendance period to a new period, and request the system to process for the entire period. For example, employee attendance has been processed for June 2002. When requesting the system to process attendance for the month of July, you can include June as well, and specify the period for processing as follows: June 1 to July 31. This saves you from having to unauthorize the attendance for June and request for processing.
You are not able to access a specific rota schedule, for attendance processing
The processing of the attendance records under this rota schedule may have been aborted, through the “Set Attendance Status” activity.
You are to reset these attendance records, before you can access them for attendance processing. To reset, you are to enter the “Set Attendance Status” activity and set the status of the attendance records under the rota schedule to “Reset”
The attendance is being processed, but some of the employee records were wrongly entered
You are to
Abort the employee attendance processing, through the “Set Employee Attendance Status” activity
Correct the information in the employee records
Reset the employee attendance processing. Through the “Set Employee Attendance Status” activity
Reprocess the employee records
You are not able to access a specific overtime record, for attendance processing
The overtime employee attendance records appear only if the employees’ regular attendance for this period had been processed and authorized already.
