Managing pre-order quotation
Select the “Pre-Quotation” activity under the “Pre-Order Quotation” business component.
The “Manage Pre-Order Quotation” page appears.
Enter the following field:
Quotation # |
The system generated number identifying the quotation. Help facility available. |
Select the “RFQ based quote” to create the quotation based on the customer request for quotation.
Select the “ + Quote” to create a direct quotation.
The system displays the following fields:
Quotation # |
The number identifying the quote. |
Enter the following field:
Revision # |
Use the drop down list box to select the unique number identifying the revision made to the pre- order quotation. |
The system displays the following field:
Quotation Type |
The type of the quotation, which could be “Direct” or “based on Request for Quotation”. |
Enter the following field:
RFQ # |
The number identifying the request for quotation against which the Quotation is recorded (if applicable). Help facility available. |
Enter the following fields:
Quote For |
Use the drop-down list box to specify the basis for the quote. The system loads the value ‘Sale’ and defaults the same. |
Quotation Date |
The date in which the quotation was created. |
Quote Basis |
Use the drop down list box to select the Quote Basis. It can either be ‘Firm’ or ‘Estimate’ based on the Quotation basis provided. |
Valid Till Date |
The date till which the price quoted in the Quotation document is valid. |
Remarks |
Any remark or comment pertaining to the pre- order Quotation. |
The system displays the following field:
Follow Up |
The follow up date of the pre-order quotation. Click the Note that this field can be used if there’s a follow-up that needs to be made to the Customer on the Pre-Order Quotation. |
Customer Info
Select the “Customer Details” button bar to record the customer details.
Customer # |
The code identifying the customer. Mandatory. Help facility available. |
Customer Name |
The name of the customer. Mandatory. |
The system displays the following field:
Customer Type |
The type of the customer which could be Existing or New. |
Enter the following fields:
Currency |
Use the drop down list box to select the currency in which the Pre-Order Quotation document is generated. |
Contact Info
Select the “Contact Info” button bar to record contact information.
Enter the following field:
Contact Address ID |
Use the drop-down list box to select the address ID for which the contact person information must be displayed. The system lists all the address IDs associated with the customer in the “Create Customer” page. Mandatory. Ensure that at least one address is defined if the customer is new. |
The system displays the following fields:
Contact Person |
The name of the contact person. |
Phone |
The phone number of the contact person. |

The e-mail ID of the contact person. |
Fax |
The fax number of the contact person. |
Contact Address |
The address of the contact person. |
Shipment Info
Select the “Shipment Info” button bar to record shipment information.
Enter the following field:
Address ID |
Use the drop-down list box to specify the unique number that identifies the address of the customer to which the Parts are to be shipped if the Quotation is going to turn out into an Order. |
The system displays the following fields:
Address |
The address pertaining to the Shipment Address ID. |
Additional Info
Select the “Additional Info” button bar to any additional information pertaining to the customer request.
Category |
Use the drop-down list box to specify the category to which the Pre-Order Quotation belongs. The system lists all the active Category codes as defined for the category type 'Pre-Order Quotation Category in the “Manage Category Codes” activity of the “Category” business component of the “Sales Setup” business process. |
User Status |
Use the drop-down list box to specify the user status. The system lists all the active codes as defined for the category type 'Pre-Order Quotation User Status' in the 'Manage Category Codes' activity of the Sales Setup business process. |
Customer Ref. # |
The number identifying the customer reference. |
Cust. Service Rep. |
The person to contact on behalf of the customer. Help facility available |
Print Remarks |
This remarks can be made to be printed in the quotation report. |
RFQ Remarks |
Quotation remarks mentioned in the RFQ. |
Select the “Manage Address” link on the right hand side of the screen to add adhoc addresses pertaining to this transaction.
Enter the following fields:
Pricing Basis |
Use the drop down list box to select the basis of pricing which is either “Direct” or “Pricelist”. |
Part Price List # |
The number of the price list of the part. Help facility available |
Select “Primary Quote” tab to record primary quote details.
Select "Additional Quote" tab to record addition quote details.
Select the "TCD" tab to record TCD details.
Select the “Part Inquiry” link at the bottom of the page to
Select the “Edit Terms and Conditions” link at the bottom of the page to modify details of the payment terms.
Select the “Upload Documents” link at the bottom of the page to upload documents or attach files for reference.
Select the “View Associated Doc. Attachments” link at the bottom of the page to view details of the documents attached for reference.
The system displays the following fields in the “Record Statistics” group box:

The login user who created the customer request. |
Created Date |
The date on which the customer request was created. |
Last Modified By |
The employee code of the login user who last modified the customer request. |
Last Modified Date |
The date on which the customer request last modified. |
Managing Pre-Order Quotation - An Overview
Managing Pre-Order Quotation enables the generation of a Pre-Order Quotation document, which can be processed into a Sale Order, Service Order or Exchange Order.
Once a pre-quote is created the supervisor is required to confirm the quote. He may also return the quote on the grounds of say corrections to be made in the quote. Then the quotation is released to the customer for customer acceptance.
