Viewing overtime claims–direct entry
Select “Viewing Overtime Claims – Direct entry” from left pane.
The “Viewing Overtime Claims – Direct Entry” page appears.
The page displays the following field.
Date Format |
The date format applicable to the login user. |
Enter / select the following fields to identify he employee.
Time Management Scheduling Unit |
From the drop-down list box, select the time management scheduling unit in which you must view overtime claims. The drop-down list box displays all time management scheduling units for which you have relevant permissions. |
Employee Code |
The employee code and name. |
The system displays the following details for the employee.
Department |
The short description of department. |
Position |
The position title. |
Grade Set |
The short description of the grade set. |
Grade |
The short description of the grade. |
Job Title |
The job title. |
To fetch specified overtime claims, enter the following fields in the search criteria group box.
Year |
Enter the year. If year is the only search criterion, the system displays the overtime claims of the current month of the specified year. |
Month |
Select the month from the drop-down list. By default, the system displays the current month. |
From Date |
Enter the start date of a date range. Ensure that the date you enter is within the “Month” you had selected. By default, the system displays the date of the Monday of the current week. A week comprises of Monday thru Sunday. On a system date of 29th April during a week starting 28th April and ending 4th May, the system displays 28th April 2003 in the “From Date” field. If “From Date“ is left blank, the time sheet details from the 1st of the month until the “To Date“ are displayed. |
To Date |
Enter the end date of a date range. By default, the system displays the date of the current week’s Sunday. If system date is 29th April, Monday to Sunday week is 28th April to 4th May. Hence To Date should be defaulted to 04th May 2003. If the “To Date” is left blank, the system displays all the time sheet details from the “From Date” until the system date or the last day of the month, whichever is later. |
Entry Date |
Instead of entering the “From Date” and “To Date”, enter the date on which the overtime claim was last accessed. The system displays the overtime claims recorded on this day irrespective of the “From Date and “To Date”. |
Status |
Select the status of the overtime claim. You can select of the following status from the drop-down list box. 4 “Draft’: for saved claims. 4 “Pending for Approval”: for claims awaiting authorizer’s decision. 4 “Approved”: for claims approved by the authorizer. 4 “Rejected”: for claims disapproved by the authorizer. If you select “Status” as the sole search criterion, the system will display all records with the selected status, for the current month only. |
Note: Specify all the fields in the search criteria group box to retrieve the precise overtime records.
Select the “ Search” pushbutton.
The multiline displays the following fields of records satisfying the search criteria.

The day of the week, such as Monday or Tuesday pertaining to the date |
Day type |
The day type, based on the employee schedule fetched from Time Management. For example working day, rest day, off day, public holiday, etc. |
Time From |
Overtime start-time. |
Time To |
Overtime end-time. |
Hours |
The overtime hours worked. |
Break Time |
Hours taken off work during the overtime period. |
Callback Duty |
A checked box indicates that a callback has occurred and vice versa. The system automatically registers a callback duty when an employee has left his / her place of work after completing the scheduled work for the day and is asked to report to work again. The minimum number of hours for callback is four. Hence even if the employee works for less than four hours during the callback duty, the system will default the actual hours worked to four hours. |
OT 1.0x |
Rate at which the entitled overtime hours is computed, when the day type is public holiday. |
OT 1.5x |
Rate at which the entitled overtime hours is computed, when the day type is working day or off day. |
OT 2.0x |
Rate at which the entitled overtime hours is computed, when the day type is rest day. |
Reasons for Overtime |
Causes warranting the overtime. |
Status |
The status of the overtime claim. |
Authorized Overtime |
The hours of overtime as concluded by the authorizer. |

Remarks made by the authorizer. |
