Apply for Public Transportation Claim – A summary of the activity
This activity is used to apply for public transportation claim for an employee. If the mode of transport is public, such as car, MRT, or bus, then an employee produces the bills while making the transport claim. To apply for a public transportation claim, you must first select an employee for whom the claim is being applied in the “Select Employee to Apply for Public Transportation Claim” page. Select an employee either by entering the employee code directly or using the search criteria, if you do not know the employee code. You must then enter the travel details of the employee, such as the travel date, project, transport type, time of travel, distance of travel, reason for travel, receipt number, and claim amount, in the “Apply for Public Transportation Claim” page.
Generating a Claim ID: You can generate a claim ID for a public transportation claim when you save the details of the claim. For every claim entry made in the “Apply for Public Transportation Claim” page, the system generates a unique ID for a project, travel type, and travel date combination. This claim ID is used to identify a particular claim of an employee at any point of time. The employee can also view the status of his/her claim using the claim ID.
Role of a Claim Status: The claim status helps you to know the status of authorization of a particular claim. When you enter a claim for the first time and submit it for authorization, the claim status will be “Pending for Authorization”. The claim status will be “Authorized”, if the claim has been approved, and will be “Rejected”, if not approved. If the details of the claim has been saved and not submitted for authorization, then the claim status will be “Drafted”.
