Record Grievance - A summary of the activity
Through this activity, the grievance administrator can record grievances on behalf of an employee.
Grievances are submitted whenever the employees face any difficulties in the organization. Grievances can be categorized into different types, such as Union, Employee, Administration etc. Types of grievance can be created in Quick codes.
Whenever an employee encounters any difficulty, which has to be resolved he requests the grievance administrator to record the grievance.
Selecting the employee: You can select the employee whose grievance must be recorded, based on direct entry or search criteria. This is carried out in the “Select Employee to Record Grievance” page.
Recording the grievance: You are to first select the type of grievance, and enter the grievance on behalf of the selected employee, in the “Record Grievance” page. The grievance is in the form of free text.
Forwarding the grievance: You can now forward this grievance to one or more employees who can handle the grievance. This requires you to enter the employee code of each of these employees. You can now submit the information.
Automatic e-mail notification: After you submit the grievance information, the system will send an e-mail to each of the employees to whom the grievance has been forwarded.
Update of response: The response of each of these employees will be entered through the “Record Response Details” activity. This response will also be updated in the “Record Grievance” page, along with the date of response.
Current status of grievance: The status of the grievance, at any point of time, can be any one of the following:
“New”. This indicates that it is a new grievance.
“Submitted”. This indicates that the grievance has been submitted.
“Responded”. This indicates that the grievance has been responded
“Resolved”. This indicates that the grievance has been resolved.
Deleting the grievance: The grievance can be deleted, if the employee finds an alternative solution. The grievance can be deleted only if none of the employees to whom the grievance have been forwarded has responded to the grievance.
