Any set of related activities such as, appraisal or adding a Job Requirement, which is carried out by an organization, is a business process. For carrying out a business process, you may need to supply certain items of information in the data entry fields. For instance, while specifying job requirements, you may need to supply the ethnicity preferred for the job. Ethnicity, in this instance, is a process variable.
A process variable can comprise a set of predefined values. For example, Ethnicity is a process variable and it can consist of predefined values such as, Caucasian, Asian and African. These values are quick codes.
Whenever you need to enter the ethnicity, , during the business process, these values are automatically listed. You can just choose a value instead of entering the data, thus saving time and effort. In short, quick codes make data entry easier.
More about Quick Codes: Quick codes as explained earlier, are the items that you see in the drop-down list boxes. You can select the required value from the drop-down list box.. For example, the “Save As” drop-down list box may show two items; “Draft Mode” and “Approval Mode”. These items or quick codes can be
Defined only during installation. For example, you can decide that the two items listed in the “Save As” drop-down list box can be defined only during installation. This means that when you access the “Edit Quick Code” activity, you cannot add more items for the “Save As” drop-down list box or delete the existing two items. You can merely view the two items and choose one of them.
Defined during installation. You are allowed to only add more items through the “Edit Quick Code” activity. For example, the “Currency” drop-down list box can contain three items defined during installation: “Dollar“, “Pound“ and “Rupee“. Later, you can add “Yen” and “Dirham” through the “Edit Quick Code” activity, so that these two items are added to the existing “Currency” drop-down list. Subsequently, when you select the “Currency” drop-down list box from any page, all five items appear.
Defined only through the “Edit Quick Code” activity. For example, only you can define the items that are to appear in the “Bank Account Type” drop-down list box, through the “Edit Quick Code” activity. You can define items such as “Current Account” and “SB Account”, which will appear when you select the “Bank Account Type” drop-down list box from any page.
Modify Quick Codes: Through the Edit Quick Codes activity, you can edit, delete and add quick codes. Note that this activity will not be applicable for those quick codes that can be defined only during installation.
Editing consists of modifying the descriptions of the existing quick codes. You can also decide whether the quick code must be active or inactive. If you indicate that it is active, the quick code can be used by other activities as well.
Deleting consists of marking the quick code for deletion.
Adding consists of adding a new quick code for the process variable.
Note: You can view only those business processes for which the permission has been given in the ‘Data Level Security’ component.
Saving of record in chosen language: You can also save the details into any of the available languages. These languages must have been specified during the installation of the application.
If there are four available languages, and you add a record in German, the system replicates the quick code record three times more, each of which it considers as French, English and Italian records.
When you access these records for the first time, description is still in the login language German. You can
Manually save a different description of the record in the chosen language
Modify all values in the chosen language except the code of the record. Note that these values are available in the chosen language.
