Ensure that you are in the “Select Competency for Editing” page.
Enter the complete code of the required competency in the “Competency Code” field.
Select the “ Edit Competency” hyperlink beside.
The system displays the “ Edit Competency” page that you can use to make the necessary changes.
Use the search facility to fetch the required competency record in the multiline.
Select the hyperlink on the short description of the required competency.
The system displays the “Edit Competency” page.
The system displays the following details at the top of the page.
Competency Definition Unit |
The description of the competency definition unit selected in the previous page. |
Competency Code |
The code of the competency selected in the previous page. |
Status |
The completion status of the selected competency record. “Completed” indicates that the competency definition has been completed. “Pending” indicates that the competency is still being defined. |
Language |
The language you selected in the previous page is displayed. From the “Language” drop-down list box, you can select any other language, to retrieve the record in the selected language. |
Select the required language from the “Language” drop-down list box.
The system displays the details in the selected language.
You can edit the following details of the competency.
Inactive |
Indicate if you want the details of the competency to be active and available for use in other activities or otherwise. By default, the system displays the status previously specified. Note that a blank check box indicates that the details are active. If the status is inactive, the check box displays checked. |
Select the “Inactive” check box.
When you save the record, the system will maintain the details in the inactive status. This means the record will not be available for use in other activities.
If the competency record is already inactive, the check box will appear checked.
Uncheck the check box. Note that a blank check box indicates that the record is active.
Competency Short Description |
A brief description of the competency. The short description can be an abbreviation of the competency description, a short form of it or the full description itself. For example, if the description is “Behavioral Traits”, you can specify the short description in an abbreviated form as “BT” or enter a short form for the description as “Beh. Trts” or “Behvl Traits” etc. |
Competency Long Description |
A more elaborate description of the competency. For example, if the competency being defined is “Behavioral Traits” for which you have already specified the short description as “Behvl Traits”, you can specify the long description as “Behavioral Traits with respect to Quality Management” or “Behavioral Traits with respect to employee motivation” etc., to make the description more clear. |
Competency, Minimum Desired Level |
The minimum desired level(MDL) of a competency indicates the minimum extent to which the competency must be present in an employee. For example, if the MDL for the competency “Communication Skills” is 3 or 4, it indicates the minimum extent to which the competency must be present in the employee. In this example, the maximum value of the competency is set as 5, in the system parameters. |
Maximum Level |
The maximum value set in the process parameters for the competency. The system displays the predefined value. |
Trainable |
Indicate if the nature of the competency is trainable or otherwise. Checked indicates the competency is trainable, unchecked indicates the competency element is not trainable. A competency that is expected to be inherent in employees, such as “Integrity”, which cannot be imparted through training to employees who do not possess it, is a non-trainable skill. A competency element such as “Drafting Proposals” could be an example of a trainable skill.

Select the “Trainable” check box.
Leave the “Trainable” check box blank. Note that blank check box indicates that the competency is not trainable.
Map for all employees |
Indicate if the competency should be mapped to all the employees in the organization or otherwise. For example, the competency “Operating Compressor” or “Driving Skills” cannot be mapped to all the employees while the competency “Discipline” can be mapped to all the employees. Organizational-level Competencies are marked “mapped for all employees”. |
Select the “Map for all employees” check box. Note that blank check box indicates that the competency is not mapped to all the employees.
Comments |
Any additional comments that might be significant or meaningful about the competency. |
Select the book icon beside the “Comments” field.
The system displays a dialog box containing the comments previously specified, if any.
You view, add to, edit or delete the content.
Select the “OK” pushbutton in the dialog box to save the changes and return to the previous page.
Select the “Cancel” pushbutton if you want to cancel the changes.
Save in Language |
The language you selected in the previous page is displayed. From the “Language” drop-down list box, you can select any other language, to translate the record to this language. |
Use the “Map Competency Class to Competency” multiline to edit the competency classes mapped to the competency or specify new ones if no competency classes have been mapped.

Select the “Help” icon in the “Competency Class Code” column of the multiline

Competency Class Description |
The description of the competency class. The system displays the description when you specify the competency class code and select the “Save Competency” pushbutton at the bottom left of the multiline. |
Weightage |
A number, for instance 5 or 10, to indicate the weightage given to each competency class with reference to the other competency classes within the competency. Example: There are three competency classes in a competency, and you have assigned them the following weightages: 40, 10 and 5. The system computes them in percentage as follows: 62.5%, 25%, and 12. 5%. |

Specify the weightage in the corresponding multiline column.
Select the “Compute Competency Class Weights (In %)” pushbutton below the multiline.
The system computes and displays the weightages in percentage.
Number of Competency Elements Mapped |
The number of competency elements mapped to the corresponding competency class. This value is displayed after you complete the competency element definition using the multiline in the page and save the details. |
Select the “Save Competency” pushbutton at the bottom left of the multiline to save the details specified.
Select the “Delete Competency” pushbutton to delete the competency. A competency cannot be deleted if it has been used in a transaction.
Select the required competency class from the “Competency Elements For” drop down list box.
The system list in the multiline below the competency elements mapped to the selected competency class.

Competency Element Description |
The description of the corresponding competency element. The system displays the description when you specify the code and select the “Save Competency Elements” pushbutton at the bottom left of the multiline. |
Minimum Desired Level |
The minimum extent to which an employee must be proficient in the corresponding competency element. The proficiency levels of the employee in a competency element can be rated on a numeric scale of 0-100, 0-120, 0-150 etc., based on the maximum value set in the process parameters during deployment. Enter a value, to indicate the minimum proficiency level, which the employee must possess in the competency element. The maximum desired value that could be assigned is already set in the process parameters. Depending on the maximum value, you can assign a value to indicate the minimum desired level. Example: The competency element is “Drafting Proposals”, and the maximum value is set as 200. You can specify 35 or 45, to indicate the minimum extent to which this competency element must be present in the employee. |
Weightage |
A number, for instance 5 or 10, to indicate the weightage you want to assign to each competency element with reference to the other competency elements within the competency class. Example: There are three competency elements in a competency class, and you have assigned them the following weightages: 40, 10 and 5. The system computes them in percentage as follows: 62.5%, 25%, and 12. 5%. |
Note.
The Minimum Desired Level is distinctly different from Competency Element
Weight. Notwithstanding the minimum desired level of a given competency
element that you expect an employee to possess, you can decide on the
weightage of the competency element in relation to other competency elements
under a Competency class. Example:
For the competency element Computer
Literacy, you can assign the minimum desired level for a candidate
as 50, where the
maximum desired level is set at 200,
in System Parameters. But, you may specify 60
to be the weightage assigned to this element for a Data
Entry post, while Communication Skills are assigned 30 and Behavioral
Traits are assigned 10. Besides, the weightage for a
specific competency element or class can be changed judiciously from department
to department.
