The “Create Stock Conversion” page appears.

The system displays the following:

Date Format

The format in which the date fields are displayed in this page. This format is displayed from the “User Preferences” business component based on the login user ID. In case the format is not defined, the system displays the date format from the “Enterprise Modeling” business component by default.

The system displays the following in the “Stock Conversion Information” group box:

Stock Conversion #

The unique number assigned to the stock conversion document. This number is generated and displayed by the system, when the “Create Stock Conversion” pushbutton is clicked. The number is displayed with the corresponding prefix and suffix of the numbering type selected in the “Numbering Type” field. The number is incremented from the last number available for the stock conversion transaction in the “Document Numbering Class” business component.

Numbering Type

Use the drop-down list box to select the numbering pattern to be followed for the stock conversion document. Mandatory. The numbering types must have already been defined in the “Create Numbering Type” activity of the “Document Numbering Class” business component and must be in “Active” status.

Category

Use the drop-down list box to set the stock conversion category. The system lists all the quick codes of the type “Stock Conversion” defined in the “Create Quick Codes” activity and that are in “Active” status. The system leaves the field blank by default.

Status

Use the drop-down list box to set the status of the stock conversion document. Mandatory .The system provides the following options:

 
  • Draft – indicates that some more information has to be entered for the stock conversion. The system displays “Draft” by default.

 
  • Fresh – indicates that all the information pertaining to the stock conversion has been entered.

Warehouse #

Use the drop-down list box to select the number identifying the warehouse for the login organization unit and the transaction “Stock Conversion”.Mandatory .The warehouses must have already been defined in the “Create Warehouse Information” activity of the “Storage Administration” business component and must be in “Active” status.

Note: The warehouse you specify here must not be frozen for the PICC task.

User Status

Use the drop-down list box to assign a user-defined status for the stock conversion document. The system lists all the quick codes of the type “User Status” defined in the ‘Create Quick Codes” activity, and that are in “Active” status. Leave the field blank if you do not wish to specify the user status.

From Stock Status From

Use the drop-down list box to select the default stock status of parts. The system lists all the predefined and user-defined stock statuses identified in the “User Defined Stock Status”  business component.

Note: The Stock Status for which Status Attribute "Scrap" is mapped as "Yes" is not loaded, though it is mapped to the transaction "Stock Conversion"

Note: The stock status of a part can be converted from any stock status with Ownership Attribute as “Internal” to stock status “PBH” only if the part is defined as “Under PBH” for a supplier in the “Maintain Supplier PBH Mapping” activity of the “Supplier “ business component.

Note: For the Warehouse – Zone – Bin combination, the storage area should be mapped to the supplier for converting the stock status to “PBH”. For None-Controlled parts, the storage area should be mapped “Exclusively” for the supplier.

Note: At least row must be entered in the multiline.

Part #

The unique number identifying the part to be converted (Alphanumeric, 40). Mandatory. This number must have been defined in the “Create Parts Main Information” activity of the “Part Administration” business component and must be in “Active” status.

Note: The part you specify here must not be frozen for the PICC task.

The system displays the following in the “Storage Information” multiline on clicking the “Create Stock Conversion” pushbutton:

Part Description

A textual description of the part.

Quantity

The quantity of the part for which status conversion must be done. Mandatory. Ensure that the value in this field is greater than zero.

Note: Fractions can be entered, if the UOM has been set to “Allow fractions” in the “Create UOM” activity of the “Unit of Measurement Administration” business component.

The system displays the following:

Stock UOM

The unit of measurement of the stock to be converted.

From Zone #

The unique number identifying the zone in which the part to be converted is stored in the warehouse (Alphanumeric, 10). This zone number must have been defined in the “Create Warehouse Information” activity of the “Storage Administration” business component and must be in “Active” status.

Note: Ensure that this field is not left blank, if the warehouse selected is of “Normal” type. Conversely, you can leave this field blank, if the warehouse selected is of “Free” type.

From Bin #

The unique number identifying the bin in which the part to be converted is stored in the zone (Alphanumeric, 10). This bin number must have been defined for the warehouse # and zone # in the “Create Warehouse Information” activity of the “Storage Administration” business component and must be in “Active” status.

Note: Ensure that this field is not left blank, if the zone selected is of “Normal” type. Conversely, you can leave this field blank, .if the warehouse or the zone selected is of “Free” type.

From Stock Status

Use the drop-down list box to select the stock status of the part, Mandatory. The system lists all the predefined and user-defined statuses identified in the UDSS business component. If no value is selected, the status specified in the “Default Values” group box is taken.

Note: You must select a stock status in this field, if you have not set the default From Stock Status.

Permitted Stock Conversions

From Trading Partner #

The current owner of the part.

By default, this field displays the trading partner defined for the warehouse, zone, bin, part #, stock status and, customer/supplier combination, if the From Stock Status is owned by a customer/supplier. However, if multiple trading partners are defined for this combination, the system does not default this field. In this situation, it becomes mandatory for the user to specify the trading partner.

 Note: 1) The customer/supplier you specify must be valid and Active as defined in the Customer/Supplier component. 2) However, do not specify any trading partner, if From Stock Status is ‘Internal’.

Use the drop-down list box to select the stock status of the part to which it is to be converted, Mandatory. The system lists all the predefined and user-defined statuses identified in the UDSS business component.  If no value is selected, the status specified in the “Default Values” group box is taken.

The From Stock Status and the To Stock Status must not be the same.

Note: You must select a stock status in this field, if you have not set the default To Stock Status.

To Trading Partner #

The new owner of the part consequent to stock conversion.

Note: 1) Do not specify any trading partner, if To Stock Status is ‘Internal’. However, if the stock status is associated with a customer/supplier it is mandatory that you provide a value in this field. 2) If From Stock Status and To Stock Status are associated with the same supplier/customer, From Trading Partner and To Trading Partner must be the same. 3) The customer/supplier you specify must be valid and Active as defined in the Customer/Supplier component

To Zone #

The unique number identifying the zone in the warehouse to which the part must be transferred after conversion. (Alphanumeric, 10). This zone number must have been defined for the warehouse in the “Create Warehouse Information” activity of the “Storage Administration” business component and must be in “Active” status.

Note: You must specify zone #, if the warehouse selected is of “Normal” type. Conversely, you can leave this field blank, if the warehouse selected is of “Free” type. 2) The zone you specify here must not be frozen for PICC task.

To Bin #

The unique number identifying the bin in the zone of the warehouse to which the part must be transferred after conversion. (Alphanumeric, 10). This bin number must have been defined for the warehouse # and zone # in the “Create Warehouse Information” activity of the “Storage Administration” business component and must be in “Active” status.

Note:1) You must specify the bin #, if the zone selected is of “Normal” type. Conversely, you can leave this field blank, if the warehouse or the zone selected is of “Free” type. 2) From Zone # - From Bin # and To Zone # -To Bin # combination must not be the same.3) The Trading Partner # must be mapped to To Zone #/To Bin #, if “Storage allocation for External Ownership Parts” is set as ‘Manual’ in the Stock Maintenance component. Further, if the part is a None-Controlled part, the Trading Partner # must be mapped to To Zone #/To Bin # as ‘Exclusive’, if “Storage allocation for External Ownership Parts” is set as ‘Manual’. Conversely, if the part is not a None-Controlled part, the zone # and the bin # must not be ‘Exclusive’ to any other trading partner. 4) If the To trading partner is a customer/supplier, the zone # and the bin # must be set as “Only At” for the part #, To Stock Status and To trading partner combination. 5) The bin you specify here must not be frozen for PICC task.

Any comments regarding the Stock Conversion (Alphanumeric, 255).

From Trading Partner Type

The type of From Trading Partner, such as Internal, Customer, or Supplier.

To Trading Partner Type

The type of To Trading Partner, such as Internal, Customer, or Supplier.

Part Type

The type of the part which could be either Raw Material”, “Component”, “expendable”, “Tool”, “Consumable”,  “Kit”, and “Miscellaneous”.

Part Control Type

The control type of the part like whether the part is serial number controlled or lot number controlled or both serial number and lot number controlled.

Line #

The sequential number generated by the system for every line containing a part number

User Defined Detail – 1

Any other additional details pertaining to the creation of the stock conversion (Alphanumeric, 15).

Remarks

Creating stock conversion – An overview

This page allows you to convert ownership/stock status/condition/storage location of parts in stock in a warehouse. For example, a lot maybe automatically “quarantined” on expiry of the prescribed shelf life. The warehouse, zone and bin details can be entered for the status conversion. The stock conversion transaction document can be in the “Draft” status if it has to be updated with some more information. Once the information is complete, the status can be updated to “Fresh”.

 

 

What you can do in this page

Choose a numbering pattern for the Stock Conversion document

You can specify the pattern in which the Stock Conversion document must be numbered.

On clicking the “Create Stock Conversion” pushbutton, the system generates the number for the Stock Conversion document, based on the numbering type selected.

Convert stock from one status to another

You can convert the status of stockable material from one predefined status to another.

This page enables you to convert certain quantities of a part from one stock status to another and maintain the record of the conversion status.
