This activity allows you to update the invoice details for the customer order. Tell me more.
Select the hyperlinked customer order number in the multiline of the “Select Customer Order” page.
The “Initiate Invoice Processing” page appears.
The system displays the following:
Date Format |
The format in which the date field is displayed. This format is displayed from the "User Preferences" business component based on the login user Id. In case the format is not defined, the system displays the date format from the "Enterprise Modeling" business component by default. |
The system displays the following fields in the “Customer Order Details” group box:
Customer Order # |
The number identifying the customer order. Select the data hyperlink to see complete information on the customer order. |
Release # |
The release number of the customer order document. |
Amendment # |
The amendment number of the customer order. |
Release Status |
The release status of the customer order document. |
Order Description |
The textual description of the customer order. |
Invoice Status |
The status of the invoice, which could be either “Pending Invoice” or “Partially Invoiced”. |
Customer # |
The number identifying the customer. Select the data hyperlink to see complete customer information. |
Aircraft Reg # |
The registration number of the aircraft. |
Invoice Processing Level |
The processing stage of the invoice. |
Quotation Level |
The level at which the quotation is prepared, which could be “Order Level”, “Order-line Level” or “Task Level”. |
Invoice Basis |
The basis for computation of the invoice, which could be “Quote” or “Actuals”. |
Enter the following field:
User Status |
Use the drop-down list box to select the user status of the customer order. The system lists all the quick codes that are of type “User Status” as defined in the “Create Quick Codes” activity of the “Customer Order” business component. The system leaves the field blank by default. |
The system displays the following fields:
Order Currency |
The currency in which the customer order was raised. |
Base Currency |
The base currency of the company. |
Exchange Rate |
The exchange rate of the base currency with respect to the transaction currency. |
Priority |
The priority of the customer order. |
Enter the following:
Order Status |
Use the drop-down list box to specify the status of the customer order. The system provides the options “Processed” and “Completed”. Ensure that this field is set to “Completed”, if the invoicing stage of the customer order is set as “Final”. If the “Order Status” of the customer order is set to “Completed”, then all the work orders referring to the customer order must be in closed status. |
Invoicing Stage |
Use the drop-down list box to specify the processing stage of the invoice. The system provides the options “Interim” and “Final”. The system displays “Final” by default, if the “Order Settlement” drop-down list box is set to “Single” in the “Edit Terms and Conditions” page of the “Customer Order” business component. The system displays “Interim” by default, if the “Order Settlement” drop-down list box is set to “Multiple” in the “Edit Terms and Conditions” page of the “Customer Order” business component. |
Closed From Date |
The start date of the period in which tasks were closed in the Execution documents referring the customer order that you wish to retrieve. (Date Format). By default the system displays the closed from date of the customer order if the Release # is in “Pending Invoice” status. |
Closed To Date |
The ending date of the period in which tasks were closed in the Execution documents referring the customer order that you wish to retrieve (Date Format). By default the system displays the closed from date of the customer order if the Release # is in “Pending Invoice” status. |
Note: If the “Closed From Date” and “Closed To Date” is specified, then the system retrieves and displays all the closed and preclosed tasks for the customer order as follows:
a) If the field “Initiate Invoicing At” in the “Edit Terms & Conditions” page of ”Customer Order” business component is set as “Task Closure”, the system retrieves the tasks within the Closed From and Closted To date range mentioned.
b) If the field “Initiate Invoicing At” in the “Edit Terms & Conditions” page of ”Customer Order” business component is set as “Order Closure”, the system retrieves the tasks with actual end date in the closed execution documents falling with the Closed From and Closted To date range mentioned.
Bill to Customer # |
Use the drop-down list box, to select the entity to be invoiced on behalf of the customer. |
Bill to Address |
Use the drop-down list box, to select the address ID of the specified Bill to Customer #. |
Click the “Get Invoiceable Tasks” pushbutton to retrieve the invoice details for the customer order.
Note: The system retrieves and displays all the closed and preclosed tasks available in AME/CWO/HWO/repair Order in the multiline, for which the “Billable?” is set to “Yes” and “Invoiced?” field is set to “No” in either the Aircraft Maintenance Execution, the Component Work Reporting or Hangar Work Reporting or Repair Order business component.
To proceed carry out the following:
Click the “Order Summary: Till Date” tab in the “Initiate Invoice Processing” page to update the billing details for the customer order.
Click the “Work Content Details” tab in the “Initiate Invoice Processing” page to update the work content details.
Click the “Order Statistics & Portal Details” tab to update the customer order portal details.
Select the Initiate Invoice Processing for Parts link provided at the bottom of the page to initiate the invoice processing for parts.
Select the “Process TCD for Invoice” link provided at the bottom of the page to process the TCD details for the invoice.
Click the “Update Invoice Processing” pushbutton to update the invoice details for the customer order.
Note: You cannot modify the invoicing details in the “Work Content Details” multiline, if the invoice processing level is set to “Order Level” or if the display option is set to “Order Line Level”.
Note: You cannot modify the invoicing details against the billing head “Labor”, “Material” and “Facility”, in Billing Details multiline in the “Order Summary: Till Date” tab page, if the invoice processing level is set to “Task Level”.
The system performs the following:
Updates the invoice status of the customer order from “Pending Invoice” to “Partially Invoiced”. The system maintains the status as “Partially Invoiced” unless invoicing stage is set as “Final”.
Updates the invoice status to “Invoiced” if the invoicing stage is set as “Final”.
Updates the invoice processing status for each work unit # as follows:
if the work unit has pending material and labor invoice, then the system update status to “Pending Material Invoice”.
If the work unit has only pending labor invoice then update the status to “Pending Release”.
if the work unit has “Billable?” set as “No”, then the system updates the invoice processing status as “Not Required”.
For the customer order in status other than “Released”, the system ensures that there exists no release number if the invoicing stage is set to “Final”.
If customer order release status is set as “Returned”, then the system updates the release status to “Fresh” and generates a new release number 1.
Note: If there exists a release number for the customer order in 'Released' status, that has reference to invoice # in the interacting “Customer Service Invoice” business component, then the system create a new release# by adding 1 to the existing release number. The system throws an error message, if the customer order exists in “Released” status without any reference to invoice number in the “Customer Service Invoice” business component.
If the Invoicing Stage is “Final”, the system ensures there exists no amendments for the customer order with Status "Fresh", "Confirmed" or "Authorized".
Click the “Release For Invoice” pushbutton to release the customer order for invoice processing.
The system updates the status of the customer order to “Released”.
Note: You cannot modify the invoicing stage for any release number once the customer order is returned.
Note: You cannot modify the invoicing details in the “Work Content Details” multiline, if the invoice processing level is set to “Order Level” or if the display option is set to “Order Line Level”
Note: The system ensures that there exists no release number for the customer order in “Fresh” or “Returned” status, if the “Invoicing Stage” field is set to “Final”.
The system performs the following:
Allows work units to be released for invoice only if the invoice processing level is “Pending Release”, and if the “Part Invoice Processing Prior To Invoice Release” field is set as “Required” in the “Set Options” activity of the “Customer Order” business component.
Updates the customer order invoice status from “Pending Invoice” to “Partially Invoiced”. And, the system maintains the status in “Partially Invoiced” unless invoicing stage is set as “Final”. If invoicing stage is set as “Final”, then the system updates the customer order invoice status to “Invoiced”.
Update the invoice processing status for each work unit as follows:
If the work unit has pending release, then the system updates the processing status to “Released”.
If the work unit has only pending material invoice, then the system updates the processing status to “Released”.
If the work unit has “Billable?” set as “No” and if the “Part Invoice Prior to Invoice Release” field is set as “Not Required” in the “Set Options” activity of the “Customer Order” business component, then the system updates the invoice processing status as “Not Required”.
If the Invoicing Stage is “Final”, the system ensures there exists no amendment number for the customer order with Status "Fresh", "Confirmed" or "Authorized".
Click the “Cancel Release” pushbutton to cancel the release ID of the of the customer order.
On cancellation, the system performs the following,
The Release Status of the customer order invoice is set to “Cancelled”.
Note: You can cancel an invoice only if its Release Status is “Returned” or “Fresh”.
Updates the Status log of the customers order in the Customer Order component.
Updates the Order Status and Invoice Status of the customer order from the current status to the status after the creation of the Release # that is getting cancelled.
Click the “Compute Price” pusbutton, to compute the pricing details for the customer order invoice.
Note: The system performs price computation, only for those releases generated for the customer order that are in “Fresh” status.
If the Invoicing Stage is “Final”, the system ensures there exists no amendments for the customer order with Status "Fresh", "Confirmed" or "Authorized".
Select the “View Resource Wise Breakup” link provided at the bottom of the page to view the priced details with respect the resource.
Select the “View Invoice” link provided at the bottom of the page to view the invoice details for the customer order.
Select the “Amend Customer Order” link provided at the bottom of the page to amend the customer.
The system displays the following details in the “Record Statistics” group box:
Invoiced By |
The login ID of the user who created the invoice. |
Invoiced Date |
The date on which the login user created the invoice. |
Last Modified By |
The login ID of the user who last modified the invoice. |
Last Modified Date |
The date on which the invoice was last modified. |
Initiating invoice processing – An Overview
This activity allows you to update the invoice details for the customer order raised against aircraft maintenance execution reference, component work order, hangar work order and repair order. You can select the customer order for which the invoice details are to be updated based on the search criteria such as customer order number, amendment number, customer number, order applicability, aircraft registration number, part number, priority, order category and release status. You can also update the billing details for the customer order, work content details, and the order statistics and portal details using the tab pages.
This activity also allows you to process the invoice price details for parts and the TCD details for invoice recorded while executing a task or work order.
