Creating stock transfer receipt
This page allows you to receive the transferred stock from a warehouse which could be in the same location or different location. Tell me more.
Select the hyperlinked Issue number in the multiline of the same page.
The “Create Stock Transfer Receipt” page appears.
The system displays the following:
Date & Time Format |
The format in which the date fields are displayed in this page. This format is displayed from the "User Preferences" business component based on the login user ID. In case the format is not defined, the system displays the date format from the “Enterprise Modeling” business component by default. |
The system displays the following in the “Stock Transfer Receipt Information” group box:
Transfer Receipt # |
A unique number identifying the stock transfer receipt. This number is automatically generated by the system based on the numbering type selected, and displayed at the time of creating the stock transfer receipt. |
Enter the following:
Numbering Type |
Use the drop-down list box to select the numbering type for the stock transfer receipt transaction. Mandatory. The system lists the numbering types that have already been defined in the “Create Numbering Type” activity of the “Document Numbering Class” business component, that are in the “Active” status. The numbering type set as default for the stock transfer receipt transaction in the “Document Numbering Class” business component, is displayed by default. |
Receipt Date |
The date on which the receipt is being created (Date Format). Mandatory. The date entered here must be in the format displayed in the “Date Format” field and must be earlier than or the same as the system date. |

|
The status of the stock transfer receipt .The system lists the options as "Draft" and "Fresh"

Receipt Category |
Use the drop-down list box to select the category to which the stock receipt belongs as defined in the “Create Quick Codes” activity of the interacting business component. |
User Status |
Use the drop-down list box to assign a user-defined status of the transfer receipt. The system lists those statuses that exist in the “Active” as created in the “Create Quick Codes” activity of the interacting business component. |
Costing Usage |
Use the drop down list box to select the costing usage. The system lists all the “Active” user defined “Usage” as defined in the “Cost Center Rule Definition” business component. The system displays “Blank” by default. |
The system displays the following in the “Trading Partner Information” group box:
Trading Partner Type |
The trading partner for the stock transfer, which could be “Supplier” or “Customer”. The system does not display any value if the part are internal-owned. |
Trading Partner # |
The unique code identifying the supplier or customer. |
Trading Partner Name |
The name of the supplier or customer. |
The system displays the following in the “Reference Document Details” group box:
Issue # |
The number identifying the issue, for which the stock transfer receipt is to be done. |
From Stocking Point |
The location where the stock is issued. |
Stock Transfer # |
The number identifying the stock transfer of the part. |
Created At |
The organization unit from where the stock transfer is made as defined in the “Stock Transfer” business component. |
The system displays the following in the “Part Information” multiline:
Line # |
The sequential number generated by the system for the parts entered in the multiline. |
Part # |
The number identifying the part for which the stock transfer receipt is being done. |
Stock UOM |
The unit of measurement of the stock must be stored, as defined in the “Part Administration” business component and must be in the “Active” status. |
Enter the following:
Qty. |
The quantity of the part (Decimal). Mandatory. Ensure that the value entered here is greater than zero. |
Note: Quantity can be in fractions only if the UOM has been set as “Allow fractions” in the “Create UOM” activity of the “Unit of Measurement Administration” business component.
The system displays the following:
Stock Status |
The user-defined stock status of the stock receipt. The stock status of the part must be allowed in the warehouse, as defined in the “Create Warehouse Information” activity of the “Storage Administration” business component. |

Additional comments pertaining to part details (Alphanumeric, 255). |
The system displays the following:
Part Type |
The type of the part. The part type must be allowed in the warehouse, as defined in the “Create Warehouse Information” activity of the “Storage Administration” business component. |
Part Description |
The textual description of the part as stored in the Part Administration component. |
Enter the following in the “Receipt Details” group box:
Gate Pass # |
A unique number identifying the gate pass (Alphanumeric, 40). The gate pass # which created during the time of Issue of the Parts from the Issue Location. |
Unloading Document # |
The number identifying the document, which is prepared at the time of unloading of the goods and captures information like Vehicle no, the weight of the truck when it is entering the premises of the receiving location etc. (Alphanumeric, 40). |
Received Date & Time |
The date and time when the stock was received in the warehouse. Mandatory. |
Packaging Condition |
The packaging condition of the part. For example, open, torn and partly opened (Alphanumeric, 25). |
Received By |
The person who received the stock (Alphanumeric, 30). |
Reference Document # |
The number identifying the document pertaining to the stock transfer receipt while transferring stock (Alphanumeric, 40). |
Enter the following in the “Other Details” group box:

Enter the following in the "Attachments" group box:
File Name |
The name of the file used for document reference that is associated with the stock transfer receipt (Alphanumeric, 50). |
Select the “View File” link provided along side ,to view the reference file details.
Click the “Create Stock Transfer Receipt” pushbutton, to create stock transfer receipt.
The system updates the status of the receipt as “Fresh” .
Note: This action is workflow-enabled. Notification messages can be sent and you can configure further processing of this document in the "Workflow Management" business component.
Note: If the received part is of type "Component", the part condition must be allowed in the stock transfer receipt warehouse, as specified in the "Edit Warehouse - Stock Status / Condition Allowed" page of the "Storage Administration" business component. For example, if warehouse ‘W001’ is defined to store parts in “New” or “Overhauled” condition, only parts in this condition can be moved to the warehouse.
Check the box in the “Select” column of the multiline, to mark the part number to modify the storage details, shipping details.
To proceed, carry out the following
Select the “Edit Storage Details” link, to modify the storage details of the stock.
Select the “Edit References” link at the bottom of the page to enter the reference document details for stock transfer receipt.
Select the "Confirm Stock Transfer Receipt" link, to confirm or cancel the stock transfer receipts.
Creating stock transfer receipt – An overview
This page allows you to receive the transferred stock from a warehouse which could be in the same location or different location. The stock transfer is required when the stock is not available in the warehouse from where issue has to be made for a demand that could be in the form of a Work Order or Material Request. In such a situation the stock is issued from the available warehouse to the required warehouse. The receipt date, numbering type, category and user status also need to be specified for the transfer receipt.
You can assign a “Draft” status to the transfer receipt, if the details have not been entered completely. Once the information is complete, the transfer receipt can be assigned the “Fresh” status.

You can select the numbering type based on which the transfer receipt number will be generated. The numbering type is unique for a combination of the login organization unit and the “Stock Transfer Receipt” transaction type.
Select the appropriate numbering type for transfer receipt, from the “Numbering Type” field in the “Stock Transfer Receipt Information” group box.
On clicking the “Create Stock Transfer Receipt” pushbutton, the system automatically generates this number based on the numbering type selected.
