Creating stock correction document
This page provides the facility to correct the system stock based on the physical stock counted. Tell me more.
Select the “Create Stock Correction” link under the “Stock Maintenance” business component.
The “Create Stock Correction” page appears.
The system displays the following in the “Correction Information” group box:
Stock Correction # |
A unique number identifying the stock correction document. This number is automatically generated by the system based on the numbering type selected, and displayed at the time of creating the stock correction document. This unique number enables you to trace the stock correction details. |
Enter the following:
Numbering Type |
Use the drop-down list box to specify the numbering type based on which the stock correction document number must be generated. Mandatory . The system lists the numbering types defined in the “Create Numbering Type” activity under the “Document Numbering Class” business component. All the numbering types set for the transaction type “Stock Correction” are available for selection. Note: You must not select a numbering type that is mapped to a group company, if the stock correction is being created for the login company. However, if you are creating the stock correction for a warehouse exclusively mapped to a group company and, if "Separate Numbering Type for Trading Partner Transactions" between the login company and the group company is ‘1’ in the Maintain Options for Partner Transactions activity of Organization Setup, the system automatically generates the stock correction # on creation based on the numbering type set for the Stock Correction transaction in the same activity. If "Separate Numbering Type for Trading Partner Transactions" is set as ‘0’, you can select the numbering type for generating the stock correction #. |
Warehouse # |
Use the drop-down list box to select the warehouse for which the stock correction details must be entered. Mandatory. The system lists all the active warehouses defined in the “Create Warehouse Information” activity of the “Storage Administration” business component. Note: The warehouse must exclusively belong to the supplier that owns the part for which you are creating the stock correction, if stock valuation is mandatory for the supplier. |

Use the drop-down list box to assign a user-defined status to the stock correction document. The system lists all the ‘active’ user statuses as defined in the “Create Quick Codes” activity. |
Correction Date |
The date on which the stock details are corrected (Date Format). Mandatory. The correction date must be earlier than, or the same as the system date. |
Correction Category |
Use the drop-down list box to specify the category to which the stock correction document belongs. The system lists all the ‘active’ categories as defined in the “Create Quick Codes” activity. |
Costing Usage |
Use the drop-down list box to select the type of the costing usage. The system lists all the “Active” user-defined “Usage” that are mapped for the event “Stock correction in the “Cost Center Rule Definition” business component. |
Note: Ensure that the “Costing Usage” is entered for the stock correction document, if any of the part has the expense type other than “Capital”, or a part with “Issue Basis” other than “Returnable”. |

Account Usage |
Use the drop-down list box to select the type of the account to be used. The system lists all the “Active” usages as defined in the “Account Rule Definition” business component and mapped to the event “Stock Correction”. If only one account usage value is listed in the drop-down list box, the system defaults the account usage value whichever is listed. Otherwise, the system leaves the field blank by default. Ensure that a value is selected in this field, only if the current business component interacts with the “Stock Maintenance” business component. |
Apply Default Correction Value |
Check this box to set the default correction value for the stock correction document. This is valid only if a) the “Correction Type” of the document is set to “Quantity & Value” b) the consolidated correction quantity for all the parts in the stock correction document is positive c) the “valuation Method” of parts in the stock correction document is “Weighted Average” / LIFO / FIFO. |
The system displays the following in the “Parts Information” multiline:

Enter the following:
Part # |
The number identifying the part (Alphanumeric, 40). Mandatory. This number must have been defined in the “Create Parts Main Information” activity of the “Part Administration” business component and must be in “Active” status. The part number must not be repeated for the same zone, bin and stock status. |

Select the part # in the “Parts Information” multiline and then click the “Get Parts Information” pushbutton under the multiline to display part details. This will help you ascertain Corrected Quantity for the part #.
Note: For successful stock correction to happen: 1) The warehouse # must be defined in the “Create Warehouse Information” activity under “Storage Administration” business component. 2) The specified stock status must be allowed for the stock correction transaction, in the “Create User Defined Stock Status” activity under “User Defined Stock Status” business component. 3) The specified part type must be allowed for stock correction in the “Part Type Allowed for Transaction” group box of the “Set Inventory Options” activity in Logistics Common Master.

Costing Usage |
Use the drop-down list box to select the type of the costing usage. The system lists all the “Active” user-defined “Usage” that are mapped for the event “Stock Correction” in the “Cost Center Rule Definition” business component. |
Corrected Quantity |
The actual physical stock quantity available in the warehouse number for the specified part number, stock status, zone number and bin number. Ensure that this value is not negative. |
Note: The “Corrected Quantity” must be entered, if the “Correction Type” is selected as “Quantity” or “Quantity & Value”.
Note: Fractions can be entered in the “Corrected Quantity”, only if the UOM has been set to “Allow fractions” in the “Create UOM” activity of the “Unit of Measurement Administration” business component.
Note: If the set option "Allow Negative Quantity Correction for Allocated stock" is set as ‘No’, in the “Set Inventory Process Parameter” activity of the “Logistics Common Master” business component, then the “Corrected Quantity” should not be less than the ‘Sum of Allocated Quantity’ across all the documents (Issues/Build Kit/Break Kit/Part Sale Packslip/Stock Conversion and other documents) for the Warehouse-Part-Stock Status-Zone-Bin combination.

Stock Status |
Use the drop-down list box to correct the stock status of the part. The system lists all the stock statuses for the part number as defined in the “Create User Defined Stock Status” activity of the “User Defined Stock Status” business component. This table guides you to select the rights stock status. |
Zone # |
The number identifying the zone in the warehouse (Alphanumeric, 10). Ensure that the zone number is in “Active“ status and is defined in the “Create Warehouse Information” activity of the “Storage Administration” business component. |

The number identifying the bin in the zone (Alphanumeric, 10). This bin number must be in “Active” status and defined in the “Create Warehouse Information” activity of the “Storage Administration” business component. Help facility available. |
Note: Ensure that the “Bin #” is entered under the following circumstances:
1) The correction type is “Quantity” or “Quantity & Value” and the zone is “Normal”.
2) The correction type is “Value”, zone is “Normal”, valuation method is “Actual Costing” and the part is “Serial Controlled” or “Serial & Lot Controlled”.
Note: Ensure that the zone and bin are left blank, if the warehouse is of type “Free”.
Note: For serial number-controlled, lot number-controlled, or both serial number-controlled and lot number-controlled parts with stock status attribute set to “Ownership-Supplier” and “Ownership-Customer” in the “User Defined Stock Status” business component, ensure that the warehouse-zone-bin combination is mapped to the trading partner in the “Maintain External Stock Allocation” page of the “Storage Administration” business component.
Note: For none-controlled parts with stock status attribute set to “Ownership-Supplier” and “Ownership-Customer” in the “User Defined Stock Status” business component, ensure that the warehouse-zone-bin combination is mapped to the trading partner as an exclusive storage category in the “Maintain External Stock Allocation” page of the “Storage Administration” business component.
The system displays the following:
System Stock Quantity |
The quantity of the part as maintained in the system. This quantity is displayed for the particular part, stock status, zone and bin. |
Enter the following:
Reason for Correction |
Use the drop-down list box to select the cause of stock correction. The drop-down list box displays all reason codes in ‘Active’ status as defined in the Logistics Common Master component. Note: This field is mandatory; 1) if the process parameter “Reason for Correction” under Stock Correction category in the Set Inventory Process Parameters activity is set as ‘1’ and, 2) if S/L Detail Link is “Not Applicable”. |
The system displays the following:
Correction Quantity |
The quantity of the part calculated by the system, as the difference between the corrected quantity and the system quantity , which may be positive quantity or negative quantity. . |
S/L Detail Link |
Indicates whether the “Serial & Lot Correction Details” link is “Applicable” or “Not-Applicable” for the line number. If the details are entered in the “Edit Serial & Lot Details” page, the value will be displayed as “Data Entered”. For more details on the values displayed in this field, refer to the topic "Link Details". |
Value Detail Link |
Indicates whether the “Specific Receipts” link is “Applicable” or “Not-Applicable” for the line number. If the details are entered in the “Correct Specific Receipts” page, the value will be displayed as “Data Entered”. If the value details are calculated by the System itself, it will be displayed as “System Defaulted”. For more details on the values displayed in this field, refer to the topic "Link Details". |
Specific Receipts Link |
Indicates whether the “Specific Receipts” link is “Applicable” or “Not-Applicable” for the line number. If the details are entered in the “Correct Specific Receipts” page, the value will be displayed as “System Defaulted”. For more details on the values displayed in this field, refer to the topic "Link Details". |
Part Control Type |
The part control type, which could be “Serial Number controlled” or “Lot Number controlled” or “Serial & Lot controlled” or “None”. |
Valuation Method |
The method in which the costing of the part is done at an inventory location. |

Enter the following in the "Attachments" group box:
File Name |
The name of the file used as document reference for stock correction (Alphanumeric, 50). |
Select the "View File" link provided alongside , to view the reference file details.
Check the box in the “Select” column of the multiline, to mark a part line number for deletion.
Click the Delete icon in the toolbar above the multiline, to delete the part line number selected in the multiline.
Click the “Create Stock Correction” pushbutton, to update the corrected details.
Note: The system does not allow stock correction, if the part/component is a restricted part with a restriction code that has the process parameter “Allow Stock Correction” under the entity type Stock Restriction Code in the Define Process Entities activity set as 0/No during the restriction effective period. However, this process parameter does not impact system-generated stock corrections owing to PDC and PICC transactions.
The system updates the stock correction document status as “Fresh” or “Draft”.
The system validates if the Part Classification is allowed in the warehouse, based on the Part Classification mapped in the “Storage Administration” business component.
Note: If the Part Classification is set as “None” or not defined in the “Part Administration” business component, then the part is classified as Non-Repairable.
The system updates the value displayed against the “S/L Details Link”, “Value Details Link” and “Specific Receipts Link”.
The system retrieves the “Valuation Method”, based on the “Part #” specified in each line, by interacting with the “Part Administration” business component.
The system assigns the “Draft” status to the stock correction document under the following circumstances:
The “Correction Type” is set to “Quantity” or “Quantity & Value”, and the part is serial controlled or lot controlled or serial & lot controlled.
the “Apply Default Correction Value” check box is not checked, when the “Correction Type” is set to “Quantity & Value”, and the parts are of control type “None” and the valuation method is “Weighted Average” or “LIFO” or “FIFO”.
the “Correction Type” is set to “Value”, and the valuation method of the parts that are serial / lot controlled is “Actual Cost”, “LIFO”, “FIFO” or “Weighted Average”.
the “Correction Type” is set to “Value”, and the parts are of control type “None” and the valuation method is “LIFO” or “FIFO” or “Weighted Average”.
The system ensures the following on clicking the “Create Stock Correction” pushbutton :
The “Valuation Method” is not “Standard Cost” for the correction type ”Value” or “Quantity & Value”.
The “Applied Default Correction Value” is checked only if the correction type is “Quantity & Value”, costing method is “LIFO” or “FIFO” or “Weighted Average” and the correction quantity is positive.
For each part in the multiline, the “Non-Stockable” field is set as “No” in the interacting “Part Administration” business component.
The system calculates the “Correction Value” and the “Corrected Value” based on the following conditions:

Stock correction for Restricted parts
The system does not allow stock correction, if the part/component is a restricted part with a restriction code that has the process parameter “Allow Stock Correction” under the entity type Stock Restriction Code in the Define Process Entities activity set as 0/No during the restriction effective period. However, this process parameter does not impact system-generated stock corrections owing to PDC and PICC transactions. (You can place restrictions on specific transactions of parts in the “Manage Part Restrictions” activity of Aircraft by associating a restriction code that does not allow these transactions during the period between Effective From and To dates. Restrictions placed on part # via the restriction code apply to all serial #s/lot #s of the part. Restrictions can also be placed on specific serial #/lot # or on a range of serial #s/lot #s of a part. Process parameters of restriction codes are defined in the “Set Process Parameters” page of “Define Process Entities” activity of Common Master.)
To proceed, carry out the following
Select the “Edit Serial & Lot Correction Details” link at the bottom of the page, to correct the serial number and lot number details of the selected part.
Note: It is mandatory to enter the values in the “Edit Serial & Lot Details” page, if the “S/L Details Link” field is displayed as “Applicable”.
Select the “Edit Value Details” link at the bottom of the page, to correct the value details of the stock.
Note: It is mandatory to enter the values in the “Edit Value Details” page, if the “Value Details Link” field is displayed as “Applicable”.
Select the “Correct Specific Receipts” link at the bottom of the page, to correct specific stock receipts.
Note: It is mandatory to enter the values in the “Correct Specific Receipts” page, if the “Specific Receipts Link” field is displayed as “Applicable”.
Select the “Edit Stock Correction” link at the bottom of the page, to modify the stock correction document that is already created in this page.
Select the “Edit References” link at the bottom of the page, to correct the document references.
Select the “Inquire Sock Availability" link at the bottom of the page, to view the availability of the stock.
Select the “Generate Part Barcode Label” link at the bottom of the page to generate barcode label for parts that you have selected in the “Search Results” multiline.
Select the “Upload Documents” link at the bottom of the page to save documents associated with the stock correction in the central repository.
Select the “View Associated Doc. Attachments” link at the bottom of the page to access documents associated with the stock correction from the central repository.
Select the "View Allocated Quantity” link at the bottom of the page to view the details of the allocated quantity out of the available stock balance.

You can select the numbering type based on which the stock correction document number will be generated. The numbering type is unique for a combination of the login organization unit and the “Stock Correction” transaction type.
Select the appropriate numbering type for the stock correction document, from the “Numbering Type” field in the “Correction Information” group box.
On clicking the “Create Stock Correction” pushbutton, the system automatically generates the stock correction document number based on the numbering type selected.

Set the “Correction Type” field to “Quantity”, if you need to correct the quantity of the stock.
Set the “Correction Type” field to “Value”, if you need to correct the value of the stock.

Creating stock correction document – An overview
This page provides the facility to correct the system stock based on the physical stock counted. The stock correction document is created when there is a discrepancy between the system stock and actual physical stock in the warehouse and when the reason for discrepancy cannot be ascertained.
Note: This activity supports the creation of stock correction documents, of Correction Basis “General” only.
Stock correction type can be based on “Quantity”, “Value” or “Quantity & Value”. The stock correction document can be created in the “Draft” or “Fresh” status.
For quantity corrections, you can enter the corrected quantity and the system calculates the ‘correction quantity’ using the following formula:
Correction Quantity = Corrected quantity - System stock quantity
The correction quantity can be positive, negative or zero.
For value corrections, you can enter the part number, Stock Status, if the valuation method of the part is “Weighted Average” / “LIFO” / “FIFO” / “Actual Costing” and if it is a lot-controlled part. You can enter the part number, zone number, bin number, if the valuation method of the part is “Actual Costing” and if the part is serial-controlled or serial & lot-controlled.
The following table explains the various conditions based on which the system displays the value as “Applicable” or “Not Applicable” or “System Defaulted” in the “S/L Details link”, “Value Details Link” and the “Specific Receipts Link” fields. On entering the details in the respective link pages, “Applicable” will be updates as “Data Entered” If value entered in a “Data Entered” link page is deleted, the value will be changed from “Data Entered” to “Applicable” again.
