Recording direct and indirect booking hours
This tab enables you to record time worked for a day and also helps you with a time indicator.
Note: You can book timesheet in clock mode only if the parameter at the Booking Type level “employee Time Sheet Update Mode - is set as either 'Clock' ,or 'Clock & Manual' in the “Set Process Parameters” activity of the current business component..
Select the “Timesheet - Clock” tab in the “Time Tracking” activity in the “Timesheet” business component.
Note: The system does not allow the user record time in ‘Time Sheet – Clock’ tab when the “Time Tracking” screen is launched with the context of the alternate authorizer.
Enter the following fields in the “Clock Your Time” group box:
Note: The system displays the running clock record associated to a task in the “Clock Your Time” group box if you have only one running clock.
Click the button to record details of time worked.
Booking Type |
Use the drop-down list box to select the booking type to which the booking code belongs for which you wish to clock hours worked. Mandatory. The system lists all the “active” booking types defined for the Quick Code Type “In-Direct Category” in the “Manage Quick Code” activity of the current business component. By default the system leaves this field blank. |

The booking code to which the activity for which you wish to clock hours worked belongs. Mandatory. Ensure the following:

Use the drop-down list box to select the type of attendance for which you wish to clock time worked. The system lists the following option, along with all the quick codes that are in “Active” status as defined for the quick code type “Attendance Type” in the “Manage Quick Code” activity of the current business component.
The system displays “Normal” by default. |
Time Class |
Use the drop-down list box to specify the classification of time to which the activity for which you wish to clock time belongs. The system lists all the quick codes that are in “Active” status as defined for the quick code type “Time Classification” in the “Manage Quick Codes” activity of the current business component. By default the system leaves this field blank. |
Comments |
Any remarks associated with the work time recording. |
Click the button to start running the clock.
Note: Ensure that the time booking duration for the day does not exceed the parameter “Maximum Time booking hours per day” as defined in the “Set Process Parameter” activity of the current business component.
The system performs the following:
Displays all the time sheet records booked for the day in the “Time Details” multiline.
Displays the “Addl. Info” group box below
Click the button to stop the clock that has been running.
Note: The system allows timesheet booking in clock mode only if the process parameter Set parameter at Booking Type level - Employee Time Sheet Update Mode” is set as “Clock” or “Clock & Manual” in the “Set Process Parameters” activity of the current business component.
Note: Ensure that the time booking duration for the day does not exceed the parameter “Maximum Time booking hours per day” as defined in the “Set Process Parameters” activity of the current business component.
The system performs the following:
Allows timesheet booking only if the status of the booking code is other than “Closed” as defined in the “Manage Booking Codes” activity of the “Time Tracking Setup” business component.
Automatically stops the indirect clock along with the direct clock if you stop a direct clock while an indirect clock is running.
Does not allow direct time entry if time-off request already exists for the specified time range.
Updates the “End Date & Time” and the “Duration” columns in the multiline against the particular record.
Displays the “Addl. Info” group box below
Click the pushbutton to clear off and refresh the data in the “Clock Your Time” and “Addl. Info” group boxes.
The system performs the following:
4 Does not allow a direct time entry if the clock is already running against an indirect time category. (Start Button).

In the drop-down list box alongside, select the value corresponding to the Activities or Time Records as selected in the “Search For”. The system lists the following options: If “Activities’ is selected as the “Search For”:
Note that for SWO records, open activities also include those tasks that are in “Completed” status if the set option for the SWO type allows timesheet booking against completed jobs also.

The system displays “Current Jobs” by default. If “Time Records’ is selected as the “Search For”:

Date from / to |
The starting date in the range of dates from which the timesheet records must be retrieved. The ending date in the range of dates until which the timesheet records must be retrieved is entered in the box provided alongside. The system retrieves all the timesheet records falling within this date range specified. Data entry in this field is mandatory if the “Search For” filter combinations has the following values:
The system defaults as follows options in this field based on the value selected in the “Search For* adjacent field. Ensure that the date entered in this field is earlier than the “To” date. Only defaults for “all records” By default the system displays the date as calculated based on the value set in the “Set Process Parameters” activity of the current business component. The system displays the system date by default in the “To” field. |

Booking Type |
Use the drop-down list box to select the booking type based on which you wish to retrieve details in the multiline. The system lists all the active booking types as defined in the “Manage Time Booking Types” activity of the current business component. By default the system leaves this field blank. |

If an Indirect category like for example “Meeting” which is user defined (Defined in the Manage Quick Codes” activity of the “Time Management Master” business component) is selected as the “Booking Type”, the system does not display the “Additional Search” drop-down list box. By default the system leaves this field blank. |

Booking Type |
Use the drop-down list box to select the booking type of the activity for which you wish to record time details. Mandatory. By default the system leaves this field blank. |
Booking Code |
The booking code of the activity for which you wish to record time details. Ensure the following:
Data entry in this field is mandatory if the selected Booking Type is “Direct” Leave this field blank if the booking Type selected in “Indirect”. |
Activity Code |
The activity code for which you wish to record time details. Data entry in this field is mandatory if sequence number is specified.. Ensure the following:
The activity code entered in this field is mapped to the Booking Type selected Help facility available |
Seq. # |
The sequence number of the task associated with AME or SWO. Ensure that this field is left blank if the booking type belongs to indirect category. The system displays the sequence number only for SWO / AME related booking type. |
The system displays the following fields in the “Time Details” multiline:

The current server date and time when the clock was stopped. |

Note: Ensure that at least one record is selected in the multiline where more than one record is present.
Select the pushbutton to start running the clock.
Note: Ensure that the time booking duration for the day does not exceed the parameter “Maximum Time booking hours per day” as defined in the “Set Process Parameters” activity of the “Time Management Master” business component.
The system performs the following:
Allows timesheet booking only if the status of the booking code is other than “Closed” as defined in the “Set Process Parameters” activity of the “Time Management Master” business component.
Allows timesheet booking only if there is an active and valid booking type – booking code combination.
Does not allow direct time entry if time-off request already exists for the specified time range.
Displays all the time sheet records booked for the day in the “Time Details” multiline.
Does not allow you to start clock for the same record in different row in the multiline.
Select the pushbutton to stop running the clock.
Note: You can stop a clock only if a running clock record exists already.

Calculation of Time Booked in a Day
Time Booked in a day = Pending approval records + Authorized time records + Pending approval time-off requests + Authorized time off requests
The system performs the following:
Automatically stops the indirect clock along with the direct clock if you stop a direct clock while an indirect clock is running.
Allows stoping the clock if for the given time record, from the Start Date and Time to End Date and Time , no time-off request exists in either “Pending”, “Approved” or “Authorized” status.
Allow 'Stop'ing the clock though exists.
Updates the multiline with all the processed records only.
Updates the “End Date & Time” and the “Duration” columns in the multiline against the particular record.
Does not allow you to stop clock for the same record in different row in the multiline.
Select the pushbutton transfer the records.
Note: Ensure that you select the records in the multiline which you wish to transfer.
The system performs the following:
Transfers the selected time records to the “Time Details” tab in the “Manual In/Out” tab page.
Defaults the time records in the “Manual” tab page.
To proceed, carry out the following:
Select the “Attendance In / Out” tab to record time and attendance details manually.
Select the “Timesheet - Manual” tab to record booking hours for work that has already been completed.
Select the “Time Off” tab to record time-off details.
