This tab enables you to record time worked for a day and also helps you with a time indicator.

Note: You can book timesheet in clock mode only if the parameter at the Booking Type level “employee Time Sheet Update Mode - is set as either 'Clock' ,or  'Clock & Manual' in the “Set Process Parameters” activity of the current business component..

Note: The system does not allow the user record time in ‘Time Sheet – Clock’ tab when the “Time Tracking” screen is launched with the context of the alternate authorizer.

Note: The system displays the running clock record associated to a task in the “Clock Your Time” group box if you have only one running clock.

Booking Type

Use the drop-down list box to select the booking type to which the booking code belongs for which you wish to clock hours worked. Mandatory. The system lists all the “active” booking types defined for the Quick Code Type “In-Direct Category” in the “Manage Quick Code” activity of the current business component.

By default the system leaves this field blank.

Booking Code

The booking code to which the activity for which you wish to clock hours worked belongs. Mandatory.

Ensure the following:

  • The code entered in this field is a valid booking code in “active” status as defined in the “Manage Time Booking Codes” activity of the “Time Tracking Setup” business component.

  • The booking code entered in this field is mapped to the Booking Type selected.

Activity Code

The code identifying the activity for which you wish to clock time worked. Mandatory.

Ensure the following:

  • The code entered in this field is a valid activity code in “active” status as defined in the “Map Activity” activity of the “Time Tracking Setup” business component.

  • The activity code entered in this field is mapped to the Booking Type selected

Attn. Type

Use the drop-down list box to select the type of attendance for which you wish to clock time worked.  The system lists the following option, along with all the quick codes that are in “Active” status as defined for the quick code type “Attendance Type” in the “Manage Quick Code” activity of the current business component.

  • Normal

The system displays “Normal” by default.

Time Class

Use the drop-down list box to specify the classification of time to which the activity for which you wish to clock time belongs. The system lists all the quick codes that are in “Active” status as defined for the quick code type “Time Classification” in the “Manage Quick Codes” activity of the current business component.

By default the system leaves this field blank.

Comments

Any remarks associated with the work time recording.

Note: Ensure that the time booking duration for the day does not exceed the parameter “Maximum Time booking hours per day” as defined in the “Set Process Parameter” activity of the current business component.

The system displays the following fields in the Addl. Info group box:

Booking Code Desc.

A textual description of the selected booking code. Eg. Engine Overhaul.

Activity Code Desc.

A textual description of the selected activity code. Eg. Parts Cleaning.

User Identifier Type 1

The key identifier type 1 as defined by the user in the “Manage Booking Type” activity of the “Time Management Master” business component.

 

The value corresponding to the user identifier type 1.

User Identifier Type 2

The key identifier type 2 as defined by the user in the “Manage Booking Type” activity of the “Time Management Master” business component.

 

The value corresponding to the user identifier type 2.

User Identifier Type 3

The key identifier type 3 as defined by the user in the “Manage Booking Type” activity of the “Time Management Master” business component.

 

The value corresponding to the user identifier type 3.

Note: The system displays the running clock records associated to a task in the “Time Details” multiline  if you have more than  one running clock record.

Search For

Use the drop-down list box to select the basis on which you wish to retrieve the time details in the multiline.  The system lists the following options:

  • Activities

  • Time Records

The system displays “Activities” by default.

 

In the drop-down list box alongside, select the value corresponding to the Activities or Time Records as selected in the “Search For”. The system lists the following options:

If “Activities’ is selected as the “Search For”:

  • Current Jobs – Select this option to retrieve all the open activities (mapped to booking codes which are not closed) for which at least one time booking record exists in “Fresh”, “Approved” or “Rejected” status.

Note that for SWO records, open activities also include those tasks that are in “Completed” status if the set option for the SWO type allows timesheet booking against completed jobs also.

  • Assigned Jobs – Select this option if you wish to retrieve all the open activities that are assigned to the employee if:

a)     Assigned to employees if Record Time - For Self

b)     Assigned to reportees if , Record Time –  By supervisor

  •  All Jobs

The system displays “Current Jobs” by default.

If “Time Records’ is selected as the “Search For”:

  • Running Clocks Only – Select this option if you wish to retrieve all those records for which clock is still running without record of End time. 

  • All Records – Select this option if you wish to retrieve all the eligible records which are in “Fresh” or “Rejected” status.

The system displays “Running Clocks Only” by default.

Date from / to

The starting date in the range of dates from which the timesheet records must be retrieved. The ending date in the range of dates until which the timesheet records must be retrieved is entered in the box provided alongside. The system retrieves all the timesheet records falling within this date range specified.

Data entry in this field is mandatory if the “Search For” filter combinations has the following values:

  • Activities - All Jobs

  • Time Records - All Records

The system defaults as follows options in this field based on the value selected in the “Search For* adjacent field.

Ensure that the date entered in this field is earlier than the “To” date.

Only defaults for “all records” By default the system displays the date as calculated based on the value set in the “Set Process Parameters”  activity of the current business component.

The system displays the system date by default in the “To” field.

Booking Type

Use the drop-down list box to select the booking type based on which you wish to retrieve details in the multiline. The system lists all the active booking types as defined in the “Manage Time Booking Types” activity of the current business component.

By default the system leaves this field blank.

Search by

Use the drop-down list box to select the select the basis on which you wish to search for details in the multiline. The system lists the following options:

  • Activity Code

  • Activity Desc.

  • Atten. Type

  • Booking Code

  • Code Desc.

  • Time Class

By default the system leaves this field blank.

 

 

If the following is selected in the “Search For” adjacent field

Addl. Search

Use the drop-down list box to select the basis on which you wish to make the additional search. The system lists the options as follows:

If blank is selected as the Booking Type, the system lists:

  • User identifiers defined for all the booking types as defined in the “Manage Time Booking Types” activity in the “Time Management Master” business component.

If a specific value is selected as the “Booking Type”, the system lists:

  • User identifiers as defined for the selected “Booking Type” in the “Manage Time Booking Types” in the “Time Management Master” business component.

If an Indirect category like for example “Meeting” which is user defined (Defined in the Manage Quick Codes” activity of the “Time Management Master” business component)  is selected as the “Booking Type”, the system does not display the “Additional Search” drop-down list box.

By default the system leaves this field blank.

Note: The Booking Type and Comments fields are enabled only on selecting the  button.

CS

The running clock against the task booked for which clock has been started and not stopped.

Booking Type

Use the drop-down list box to select the booking type of the activity for which you wish to record time details. Mandatory. The system lists all the “active” booking types defined for the Quick Code Type “In-Direct Category” in the “Manage Quick Code” activity of the current business component.

By default the system leaves this field blank.

Booking Code

The booking code of the activity for which you wish to record time details.

Ensure the following:

  • The code entered in this field is a valid booking code in “active” status as defined in the “Manage Booking Codes” activity of the “Time Tracking Setup” business component.

  •  The booking code entered in this field is mapped to the Booking Type selected.

Data entry in this field is mandatory if the selected Booking Type is “Direct”

Leave this field blank if the booking Type selected in “Indirect”.

Activity Code

The activity code for which you wish to record time details. Data entry in this field is mandatory if sequence number is specified..

Ensure the following:

  • The code entered in this field is a valid activity code in “active” status as defined in the “Manage Activities” activity of the “Time Tracking Setup” business component.

The activity code entered in this field is mapped to the Booking Type selected

Help facility available

Seq. #

The sequence number of the task associated with AME or SWO.

Ensure that this field is left blank if the booking type belongs to indirect category.

The system displays the sequence number only for SWO / AME related booking type.

The system displays the following fields in the “Time Details” multiline:

St. Date & Time

The date and time in which the clock was started.

End Date & Time

The current server date and time when the clock was stopped.

Duration

The Start Date & Time – The End Date & Time

Time Class.

Use the drop-down list box to specify the classification of time to which the activity for which you wish to record time details belongs. Atten. Type

Rejection Remarks

Comments given by the supervisor if the attendance record is rejected.

Code Desc.

A textual description of the selected booking code. Eg. Engine Overhaul.

Activity Desc.

A textual description of the selected activity code. Eg. Parts Cleaning.

User Identifier Type 1

The user defined key identifier.  Example: Customer #

User Identifier Value 1

The value corresponding to the key identifier defined. Example: 10054

User Identifier Type 2

The user defined key identifier.

The value corresponding to the key identifier defined. Example: Truck

User Identifier Type 3

The user defined key identifier.

User Identifier Value 3

The value corresponding to the key identifier defined. Example: Truck.

Note: Ensure that at least one record is selected in the multiline where more than one record is present.

Calculation of Time Booked in a Day

Time Booked in a day = Pending approval records + Authorized time records + Pending approval time-off requests + Authorized time off requests
