Process Employee Attendance - A summary of the activity
Through this activity, you can process the employee attendance of all the employees mapped to a specified payset or payroll for a selected process period.
Attendance can be defined as the frequency with which a person is present at the workplace. It is measured by a period unit, which refers to a fixed period of time. This can be hour, day, etc. Hence, attendance is measured by the number of period units attended by an employee for a specified process period.
Attendance of an employee is one of the determining factors in the computation of his salary as many of the pay element values are based on attendance.
Through this activity, you can process the attendance details of the employees if
Formula Based: Date wise attendance units attended for the specified process period.
Attendance recording system (ARS): If the attendance is recorded through ARS system, then the ARS data should be mapped with the HRMS 4.0 database. This indicates that the ARS data will be available in HRMS. 4.0 database. You can define the rule while defining an attendance type in “Attendance Type Definition” page based on which the ARS data is processed at the time of payroll processing. The system computes the number of attendance units attended by an employee on the basis of time data transferred from ARS to HRMS 4.0 database. The system will generate
Attendance units for a process period
Date wise employee attendance units for a process period
Employee-booth wise attendance units of the specified process period.
Processing attendance details involves specifying a payroll attendance unit, Employment unit, a payroll and a process period. You should also specify the attendance type for which processing is to be performed. After you specify the parameters, they should be saved. If the attendance details are to be processed for a payset, then the payset must be specified.
As the parameters are saved, the system ensures that all the pre-requisite conditions required for processing the specified attendance are met and generates a “Session Id.”
Session Id identifies an employee attendance processing. For example, employee attendance of a Regular Payroll and overtime payroll are being processed simultaneously. If you decide overtime payroll to be aborted, then the system id of the specified payroll (Overtime Payroll) should be specified. The system identifies it and the specified payroll is aborted. Session Id also indicates that the specified payroll or payset is ready for processing.
Note: you cannot process an employee payroll attendance
without a session ID.
If the mode of entry of attendance is direct entry or Formula based (date
wise attendance details are not maintained), the attendance data is computed
in “Attendance Data Entry ” page.
