Creating employee - wise entitlement
Select the data hyperlink in the “Employee Name“ field, from the “Select Employee for Entitlement” page.
The “Create Employee Leave Entitlement" page appears.
The system displays the following fields from the previous page.
Leave Processing Unit |
The organization unit where the “Employee Leave Setup” component is deployed to process the various leave types for all the employment units interacting with it. |
Date Format |
The date format applicable to the login user. |
Employee |
The employee code of the employee selected in the previous page, along with the employee name. |
Position Title |
The title of the position of the selected employee. |
Job Title |
The title of the job pertaining to the selected employee. |
Department |
The name of the department of the employee selected. |
Grade set |
The grade set of the employee selected. |
Grade |
The grade of the employee selected. |
The system displays the following in the multiline.
Leave Type |
Each type of leave to which the employee is entitled, based on the employee’s grade set and grade. |
Units |
Indicates the unit in which the leave type is defined. For example, Casual Leave may be defined in the leave unit “hours“ and Privilege Leave may be defined in the leave unit “days“. |
Start Date |
The date of joining of the employee. |
End Date |
This date will be calculated based on the periodicity of the leave type, if the leave type is non-calendar based. The date will be the calendar end date, if the leave type is calendar-based . |
Entitlement Units |
The number of entitlement units calculated on a pro rated basis. |
In the multiline, select each leave type for which you require to change the entitlement units.
Enter the following in the multiline, for the selected leave type.
Authorized Units |
The total number of leave units to be made available for the employee, for the leave type. Through this field, the authorizer can override the entitlement units already displayed in the “Entitlement Units” field. |
Select the “Save“ pushbutton, to save the details entered.

Use this page to change the existing entitlement of leave units for a specific employee.
These refer to employees who are
Mapped to the leave posting / entitlement / carry over of a specific leave type, through the Leave Definition component. In other words, (i) posting / entitlement / carry over conditions are applicable for the grade set-grade combination to which he belongs, or (ii) the employee is included in the stored procedure rule to determine the posting / entitlement / carry over of leave units for employees, or (iii) the posting / entitlement / carry over conditions are applicable for all the employees in the organization
Mapped to the leave calendar to which the leave type is mapped. This is applicable for calendar based leave types only.
Example: Employee John belongs to Grade Set 3. All the employees in the organization were mapped to the entitlement of the leave type “Casual Leave”, through the Leave Definition component. The leave type “Casual Leave” was mapped to the leave calendar CAL-1.
However, not all the employees in the organization were mapped to the leave calendar CAL-1. Grade Set 2 and Grade Set 3 alone were mapped to this leave calendar.
Employee John is eligible for casual leave, and his entitlement leave units can be processed, because the entitlement conditions of “Casual Leave” are applicable to him and he is mapped to the leave calendar.
The role of the leave calendar
All the leave entitlement units of the employee will be for the period spanning the start and end dates of the leave calendar to which the leave type is mapped.
For example, the leave type “EL” is mapped to the leave calendar CAL2004. The start and end dates for this leave calendar are January 1 2004 and December 31 2004. If the employees mapped to “EL” are entitled to 20 days, it means that these 20 days will be applicable for the period January 1 2004 until December 31 2004
