Selecting an employee for entitlement
Select “Employee Leave Entitlement” from the left pane.
The “Select Employee for Entitlement" page appears.
The system displays the following fields.
Date Format |
The date format applicable to the login user. |
Leave Processing Unit |
The organization unit where the “Employee Leave Setup” component is deployed to process the various leave types, for all the employment units interacting with it. |
To select through Direct Entry
Use this method if you know the complete code of the employee.
Enter the code of the employee for whom the entitlement needs to be created, in the “Employee Code” field.
Select the “Create Employee Entitlement” link.
The “Create Employee Leave Entitlement” page appears.
To select through Search Criteria
Use this method, if you know just a few characters of the Employee code, Employee name, Position title, Department description, Job title, Grade set description, Grade description, Date of hire/rehire from or Date of hire/rehire to. In the search criteria group box, specify the search criteria based on which the system will fetch the records.
To specify the search criteria, you must enter one or more characters that Employee code, Employee name, Position title, Department Description, Job Title, Grade set Description, Grade Description, Date of Hire/Rehire From or Date of Hire/Rehire To, contains.
Enter the following search criteria values, in one or more of the following fields.
Employee Code |
To retrieve the employee codes containing specific characters, type in the starting character(s) of the employee codes. |
Alternatively, type in these characters in any combination with wild cards. Example: c* will search for those employee codes that start with c. Other examples are *c, c and c*. |

Employee Name |
To retrieve all employee names containing specific characters, type in the starting character/s of the employee names. |
Alternatively, type in these characters in any combination with wild cards. Example: c* will search for those employee names that start with c. Other examples are *c, c*l, and *c*. |

Position Title |
To retrieve all employees whose position titles start with specific characters, type in the starting character/s of the position title. |
Department Description |
To retrieve all employees whose department descriptions start with specific characters, type in the starting character/s of the department description. |
Job Title |
To retrieve all employees whose job titles start with specific characters, type in the starting character/s of the job titles. |
Grade Set Description |
To retrieve all employees whose grade set descriptions start with specific characters, type in the starting character/s of the grade set description. |
Grade Description |
To retrieve all employees whose grade descriptions start with specific characters, type in the starting character/s of the grade description. |
Date of Hire/Rehire From |
To retrieve all employees whose date of hire/rehire starts from a specific date, enter this date. For example, to retrieve all employees whose date of hire start from January 1 2002, enter this date. |
Date of Hire/Rehire To |
To retrieve all employees whose date of hire/rehire ends on a specific date, enter this date. |
Select the “ Search” pushbutton.
Note: If only one search criteria value is entered, the system will fetch the records that satisfy this value. If more than one search criteria value is entered, the system will fetch the records satisfying all the specified values.
If you do not enter any value in the search criteria group box and select the “Search” pushbutton, the system will fetch all the records that are applicable to the selected Leave Processing unit.

The following fields are displayed in the multiline for the records that satisfy your search criteria.
Hire/Rehire Date |
The date of hire/rehire of the newly joined employees, whose entitlement has not been done. |
Employee Code |
The unique code corresponding to the employee for whom the entitlement needs to be done. |
Employee Name |
The name of the employee for whom the entitlement needs to be done. |
Position Title |
The title of the position an employee holds in an organization. |
Department |
The name of the department to which the employee belongs. |
Job Title |
The title of the job pertaining to the employee. |
Grade Set |
The grade set to which the employee belongs. |
Grade |
The grade to which the employee belongs. |
In the multiline, select the hyperlinked “Employee Name” field for the employee whose leave units require to be entitled.
To proceed
Select the data hyperlink in the employee name column from the “Select Employee to Create Entitlement” page, or
Select the "Create Employee Entitlement" link in the "Select Employee to Create Entitlement” page.
