Authorizing or rejecting leave carry over
Select the “Authorize Leave Carry Over” option from the left pane.
The “Authorize Employee Leave Carry over" page appears.
The system displays the following fields.
Date Format |
The date format applicable to the login user. |
Leave Processing Unit |
The organization unit where the “Employee Leave Setup” component is deployed to process the various leave types for all the employment units interacting with it. |
To select through Search Criteria
Use this method, if you know just a few characters of the Employment Unit, Employee Code, Employee Name, Leave Type, Position Title, Department Description, Job Title, Grade Set Description, Grade Description, From Date or To Date. In the search criteria group box, specify the search criteria based on which the system will fetch the records.
To specify the search criteria, you must enter one or more characters that the Employment Unit, Employee Code, Employee Name, Leave Type, Position Title, Department Description, Job Title, Grade Set Description, Grade Description, From Date or To Date, contains.
Enter the following search criteria values, in one or more of the following fields.
Employment Unit |
To retrieve all employees belonging to a specific employment unit, select this employment unit from the drop-down list box. |
Employee Code |
To retrieve all employee codes containing a given set of characters, type in these characters, in combination with a wild card. For example, if you type in “000”, all employee codes containing “000” will be displayed. |
Employee Name |
To retrieve all employee names containing a given set of characters, type in these characters, in combination with a wild card. For example, if you type in “ken”, all employee codes containing “ken” will be displayed. |
Leave Type |
To retrieve all employees mapped to a specific leave type, choose this leave type from the drop-down list box. |
Position Title |
To retrieve all employees with a given position title, type in these characters, in combination with a wild card. |
Department Description |
To retrieve all employees belonging to a given department, type in these characters, in combination with a wild card. |
Job Title |
To retrieve all employees with a given job title, type in these characters, in combination with a wild card. |
Grade Set Description |
To retrieve all employees belonging to a given grade set, type in these characters, in combination with a wild card. |
Grade Description |
To retrieve all employees belonging to a given grade, type in these characters, in combination with a wild card. |
From Date |
To retrieve all employees whose leave carry over units for a given date range are to be viewed, enter the start of this date range. For example, you could specify the date to be January 15 2004. The system will retrieve those calendar based leave types whose start date is January 15 2004 or later, but before the “To Date”. The system will also retrieve those non-calendar based leave types where the start of the period for the employee is January 15 2004 or later, but before the “To Date”. |
To Date |
To retrieve all employees whose leave carry over units for a given date range are to be viewed, enter the end of this date range. For example, you could specify the date to be June 15 2004. The system will retrieve those calendar based leave types whose end date is June 15 2004 or earlier, but not earlier than the “From Date”. The system will also retrieve those non-calendar based leave types where the end of the period for the employee is June 15 2004 or earlier, but not earlier than the “To Date”. |
Select the “Search” pushbutton.
Note: If only one search criteria value is entered, the system will fetch the records that satisfy this value.
If more than one search criteria value is entered, the system will fetch the records satisfying all the specified values.
If you do not enter any value in the search criteria group box and select the “Search” pushbutton, the system will fetch all the records that are applicable to the selected Leave Processing unit.
The system displays the following details of all the employees that satisfy your search criteria
Employment Unit |
The organization unit where the employment information of an employee, for whom the carry over of leave needs to be authorized, is recorded. |
Employee Code |
The unique code that identifies the employee. |
Employee Name |
The name of the employee. |
Leave Type |
The type of leave selected in the search criteria. |
Units |
Indicates the unit in which the leave type is defined. For example, casual leave may be defined in hours and privilege leave may be defined in days. |
Start Date |
The start date of the period for which the employee’s carry over is applicable. The period will depend upon whether the leave type is calendar based or non-calendar based. |
End Date |
The end date of the period for which the employee’s carry over is applicable |
Carry over Units |
The number of leave units of the leave type, which the employee can carry over, for the period of the leave calendar. |
Forfeited Units |
The remaining number of leave units of the leave type which cannot be carried over to the next period of the leave calendar. |
Position Title |
The title of the position the employee holds. |
Department |
The name of the department to which the employee belongs. |
Job Title |
The title of the job the employee holds in the organization. |
Grade Set |
The description of the grade set to which the employee belongs. |
Grade |
The description of the grade to which the employee belongs. |
Enter the following in the multiline, for each employee for whom carry over must be authorized
Authorized Units |
By default, the system will display the same number of leave units as in the “Carry over Units” field.. An authorizer can override the carry over units by entering a different value, in this field. Tell me more |
Check the “Select” box contained in this employee record, in the multiline
Select the “Authorize” pushbutton
Enter the following in the multiline, for each employee for whom carry over must be rejected
Rejection Reason |
The reason for rejecting the leave carry over units for the employee. |
Check the “Select” box contained in this employee record, in the multiline
Select the “Reject” pushbutton.
