Basics of using a Ramco Enterprise Series Web page

This page allows you to modify the details of the selected layout. Tell me more.

The “Edit Financial Statement Layout” page appears.

The system displays the following:

Layout No

The number identifying the layout.

Layout Description

A textual description of the layout (Alphanumeric, 100). Mandatory.

 

Zoom facility available

Effective Date

The date from which the layout will be ineffective (Date Format). The date entered here must be the same or later than the system date.

The system displays the following:

Layout Classification

Indicates the category under which the layout is classified. It could be “Balance Sheet”, “Income Statement” or “Cash Flow Statement”.

Book Type

Indicates the type of the finance book in which the layout is available. It could be “Posting finance book”, “Posting tax book”, “Main finance book”, “ Main tax book”, or “Consolidation finance book”.

Finance Book

The code identifying the finance book in which the layout is available.

Chart of Accounts ID

The code identifying the chart of accounts under which the account codes that form part of this layout falls under.

Description

The description of the chart of accounts ID.

Chart of Accounts Type

The type of the chart of accounts.

Schedule No

The number identifying the schedule that you want to add to the layout (Alphanumeric, 18). The schedule number must be a valid for the type of the finance book and the finance book in which the layout has been created and must be in an “Active” status.

 

Help facility available

Assign New Group

Check the box provided alongside if you want to assign the account codes to a new group.

Group Heading

A unique heading for the group (Alphanumeric, 120).

 

Zoom facility available

Note: This field must not be left blank if “Assign New Group” has been left unchecked.

Total Description

A unique description of the new group (Alphanumeric, 40).

Include

Use the drop-down list box to select whether you want to include the schedule number in the new group under the layout.

 
  • Yes – indicates that the schedule number is to be included in the group.

 
  • No – indicates that the schedule number is not to be included in the group.

The system displays the following:

Schedule No

The number identifying the schedule.

Description

A textual description of the schedule or group heading (Alphanumeric, 40).

Sequence No

A sequential order in which the schedule numbers must be available in the new layout (Integer).

Add / Subtract

Use the drop-down list box to set whether you want to add or subtract the group balances. You can select from “Add” or “Subtract”.

The system generates sequence numbers for the newly added schedule numbers. The system also generates sequence numbers for new groups that have been created under the layout.

Note: You cannot delete a layout if it does not have an “Effective Date”.

    Click the “Deleted Layout” pushbutton to delete layout.

The system updates the status of the layout as “Inactive”.

The system displays the following:

Created by

The login ID of the user who created the layout.

Created Date

The date on which the layout was created.

Last Modified by

The login ID of the user who last modified the layout.

Last Modified Date

The date on which the layout was last modified.

Modifying layout details – An overview

You can create new sub groups under the selected layout. You can also add a schedule to the layout that is being modified. You can enter the schedule number if you know it directly or use the help facility that has been provided to select the schedule number. You can assign the schedule number to a new sub group. You can add only one schedule number to an existing layout or sub group at a time. A unique ID is generated for the new group. While adding a new schedule to an existing layout care must be taken to have unique account codes across the schedule and the layout.

You can modify details of the schedule like the description of the group to which it belongs, the sequence in which the schedule must appear in the layout and the indent set. If you want to remove a schedule number from the existing layout you can do so by removing the include flag set for the schedule.

This page also allows you to delete the selected layout. The status of the layout after deletion is updated to “Inactive”. You must enter an effective date from which the layout will not be used. The system stores the login user ID and the system date along with the modified details of the layout.

Add schedule numbers

You can add new schedule numbers to the layout that is being modified. The schedule numbers must be unique for the layout that is being modified.

Create a new sub group

You can create a new sub group under the layout that is being modified.

The system generates a unique group ID for the newly created sub group.

Select schedule numbers to be included in the new layout

You can select schedule numbers to include them as per the requirement in the layout.

Delete layout

You can delete the layout if it is not required. A deleted layout can no longer be used.

The status of the layout is updated as “Inactive”.

Add / subtract based on the identifier

You can set whether you want to add or subtract the schedules based on its “Debit / Credit” identifiers.
