This page allows you to put an invoice on hold. Tell me more.
Select the “Hold / Release Invoice” link under the "Customer Prepayment Invoice" business component.
The “Hold / Release Invoice” page appears.
The system displays the following in the “Invoice Information” group box:
Invoice No. |
The number identifying the prepayment invoice. |
Invoice Category |
The category to which the prepayment invoice belongs. It could be “Order Based Prepayment” or “Direct Prepayment. |

Status |
The status of the invoice. It could be “Authorized” or “Held”. |

Invoice Date |
The date on which the prepayment invoice has been created. |
Finance Book |
The code identifying the finance book in which the prepayment invoice postings have been made. |
The system displays the following in the “Payment Information” group box:
Bill To Customer Code |
The code identifying the customer on whom the invoice has been raised. |
Bill To Customer Name |
The name identifying the customer on whom the invoice has been raised. |
Bill to Id. |
The address Id of customer to whom the invoices are to be sent. |
Order % |
Indicates the percentage of the sale order for which the payment has been made. |
Currency |
The code identifying the currency in which the prepayment invoice has been created. |
Exchange Rate |
The exchange rate of the transaction currency with respect to the base currency of the company if they are different. “1” (one) will be displayed if the transaction currency and the base currency are the same. |
Receipt Method |
Indicates the method in which the payment has been received. |
Pay Term |
The code identifying the pay term based on which the payment schedule has been generated. |
Anchor Date |
The date from which the payment schedule of the invoice is calculated. |
Price List No |
The code identifying the price list based on which the item has been invoiced. |
Total Invoice Amount |
The difference of the sum total of all the amounts and the sum total of the sale order discounts and the invoice discount. |
Comments |
Any observations regarding the payment received for the prepayment invoice. |
Zoom facility available |
The system displays the following in the “Item Information” multiline:
Line No. |
The number identifying the line in which the item, tax, charge or discount is available in the invoice. |
Sale Order No. |
The number identifying the sale order based on which the prepayment invoice is being created. |
Ordering Point |
The code identifying the organization unit in which the sale order has been created. |
Item Type |
The type of the item for which the invoice has been created. |
Item / TCD Code |
The code identifying item, tax, charge or discount that has been included in the invoice. |
Variant |
The code identifying the item, tax, charge or discount variant. |
UOM |
The code identifying the unit of measurement in which the item has been sold. |
Qty. |
The number units of the item that has been invoiced. |
Unit Price |
The price of one unit of the item. |
Order % |
The percentage of the sale order. |
Amount |
The item amount. |
Remarks |
Any observations and comments regarding the item. |
Item / TCD |
Indicates whether an “Item”, “Tax”, “Charge” or “Discount” is available in the line. |
TCD Computation |
Indicates whether the tax, charge and discount has been calculated at the document level or at the line item level. |
TCD On Line No. |
The number identifying the line in which the tax, charge and discount exist in the invoice. |
SO Currency |
The currency in which the sale order has been created. |
Ship To Customer Code |
The code identifying the customer to whom the material has been shipped. |
Ship To Customer Name |
The name identifying the customer to whom the material has been shipped. |
Ship To ID. |
The code identifying the location to which the material has been shipped. |
Item / TCD Description |
A textual description of the item, tax, charge or discount. |
Enter the following fields:
Reason Code |
Use the drop-down list box to select the code identifying the reason due to which the invoice is being put on hold or the invoice is being released from the “Held” status. All the reasons that have been defined in the “Maintain Reason Information” activity of the “Reason Definition” business component for the prepayment invoice and that are in the “Active” status will be available for selection in the ascending order. |
Remarks For Hold |
Any observations or comments regarding the necessity to put the prepayment invoice on hold (Alphanumeric, 255). Mandatory. |
Zoom facility available |
Note: You can put a prepayment invoice that is in the “Authorized” status on hold. An authorized invoice that has been fully or partly adjusted cannot be put on hold.
Click the “Hold” pushbutton to put the prepayment invoice on hold.
The system updates the status of the invoice as “Held”. The system also updates the login ID of the user and the system date in the “Last Modified By” and “Last Modified Date” fields.
Note: You can release an invoice that is in the “Held” status.
Click the “Release” pushbutton to release the prepayment invoice.
The system updates the status of the invoice as “Authorized”. The system also updates the login ID of the user and the system date in the “Last Modified By” and “Last Modified Date” fields.
The system displays the following:
Created By |
The login ID of the user who created the prepayment invoice. |
Created Date |
The date on which the prepayment invoice was created. |
Last Modified By |
The login ID of the user who last modified the prepayment invoice. |
Last Modified Date |
The date on which the prepayment invoice was last modified. |
To proceed, carry out the following
If Swiss pay modes are not applicable for the company, select the “Payment Schedule” link at the bottom of the page to view the details of the payment schedule.
If Swiss pay modes are applicable for the company, select the “Payment Information” link at the bottom of the page to view the details of the electronic payment received and the payment schedule.
Select the “Invoice Summary” link at the bottom of the page view the summary of the prepayment invoice.
Select the “Accounting Information” link at the bottom of the page to view the account posting information.
Select the “Attach Notes” link at the bottom of the page to add observations or comments regarding the prepayment invoice.
Holding / releasing invoice – An overview
You can put a prepayment invoice that is in the “Authorized” status on hold. When an invoice is put on hold it will not be picked for adjustment. You can select the reason due to which the prepayment invoice has been put on hold and also record any comments you want to with regard to the necessity for putting it on hold. The system updates the status of the prepayment invoice as “Held”. The system also stores the login ID of the user and the system date along with the details.
This page also allows you to release a prepayment invoice that is in the “Held” status. You can select the reason for releasing a prepayment invoice and also record your comments regarding the release of the invoice. The system updates the status of the prepayment invoice to the “Authorized” status. The system also stores the login ID of the user and the system date along with the release details.
