Selecting invoices for authorization
This page allows you to search and select a number identifying the invoice that you want to authorize. Tell me more
Select the “Authorize Invoice” link under the “Customer Direct Invoice” business component.
The “Select Invoice” page appears.
Enter the following fields if you are aware of the type of the invoice and the number identifying the invoice that you want to authorize:
Invoice Category |
Use the drop down list box to select the category to which the invoice that you want to authorize belongs. You can select either “Pack Slip Invoice” or “Miscellaneous Invoice”. |
Invoice # |
The number identifying the invoice that you want to authorize (Alphanumeric, 18). |
Note: You cannot authorize the invoice number that has been entered in this field by clicking the “Authorize Invoice” pushbutton available at the bottom of the page.
Select the “Authorize Pack Slip Invoice” link at the bottom of the page to authorize the selected pack slip invoice.
Select the “Authorize Miscellaneous Invoice” link at the bottom of the page to authorize the selected miscellaneous invoice.
Select the “Accounting Information” link at the bottom of the page to view the posting details of the invoice amount.
Enter the following fields in the “Search Criteria” group box to search for the numbers identifying the invoices that you want to authorize:
Bill to Customer # From |
The starting code in the range of codes identifying the customer on whom the invoice that you want to retrieve has been raised (Alphanumeric, 16). You can enter the code in full or specify it partially using the “*” character. The system retrieves all the invoice numbers that have bill to customers similar to the value entered here. |
To |
The ending code in the range of codes identifying the customer on whom the invoice that you want to retrieve has been raised (Alphanumeric, 16). You can enter the code in full or specify it partially using the “*” character. The system retrieves all the invoice numbers that have bill to customers similar to the value entered here. |
User ID |
The login ID of the user who has created the invoice that you want to retrieve (Alphanumeric, 30). The system displays the login ID of the user by default on launch of the page. |
Invoice # From |
The starting number in the range of numbers identifying the invoice that you want to retrieve (Alphanumeric, 16). You can enter the number in full or specify it partially using the “*” character. The system retrieves all the invoices that are similar to the value entered here. |
Note: The number entered in this field must be lesser than the value entered in the “To” field.
To |
The ending number in the range of numbers identifying the invoice that you want to retrieve (Alphanumeric, 16). You can enter the number in full or specify it partially using the “*” character. The system retrieves all the invoices that are similar to the value entered here. |
Shipping Point |
Use the drop-down list box to select the code identifying the organization unit from which the material must be shipped. All the organization units that have been identified as “Shipping Points” and that have been mapped to the login organization unit will be available for selection in the ascending order. By default, the system displays the current organization unit. |
Total Invoice Amount From |
The starting amount in the range of invoice amounts for which you want to retrieve the invoice (Decimal). The value entered in this field must be equal to or greater than zero. |
Note: The amount entered in this field must be equal to or lesser than the value entered in the “To” field.
To |
The ending amount in the range of invoice amounts for which you want to retrieve invoice (Decimal). The value entered in this field must be equal to or greater than zero. |
Finance Book |
Use the drop-down list box to select the code identifying the finance book in which the invoice details are to be posted. All the finance books that have been deployed in the login organization unit will be available for selection in the ascending order if postings can be made in multiple finance books. If postings can be made in a single finance book, the book that has been set as default will be displayed. |
Invoice Date From |
The starting date in the range of dates during which the invoice that you want to retrieve has been raised (Date Format). The system date is displayed by default on launch of the page. |
Note: The date entered in this field must be before the date entered in the “To” field.
To |
The ending date in the range of date during which the invoice that you want to retrieve has been raised (Date Format). The system date is displayed by default on launch of the page. |
Currency |
Use the drop-down list box to select the code identifying the currency in which the invoice has been created. All the currencies that have been mapped to the ““Customer Receivable accounts” in the “Account Rule Definition” business component will be available for selection in the ascending order. The system displays the base currency of the company by default on launch of the page if it has been mapped to a “Customer Receivable accounts”. |
Click the “Search” pushbutton to retrieve the search results.
The system displays the following in the “Search Results” multiline based on the search criteria entered:
Note: The system retrieves all the invoices that are in the “Fresh” status.
Invoice # |
The number identifying the invoice. |
Invoice Date |
The date on which the invoice has been created. |
Currency |
The currency in which the invoice has been created. |
Total Invoice Amount |
The sum total amount that has been invoiced. |
Bill to Customer # |
The code identifying the customer on whom the invoice has been raised. |
Bill to Customer Name |
The name of the bill to customer. |
Finance Book |
The code identifying the finance book in which the invoice details are to be posted. |
Shipping Point |
The code identifying the organization unit from which the items must be shipped after invoicing. |
Check the box in the “Select” column of the multiline to mark the numbers identifying the invoices that you want to authorize.
Click the “Authorize” pushbutton to authorize the selected invoices.
The status of the invoice is updated as “Authorized”.
The system stores the login ID of the user and the system date along with the modified details.
To proceed, carry out the following
Select the “Authorize Pack Slip Invoice” link at the bottom of the page to authorize the selected pack slip invoice.
Select the “Authorize Miscellaneous Invoice” link at the bottom of the page to authorize the selected miscellaneous invoice.
Select the “Accounting Information” link at the bottom of the page to view the posting details of the invoice amount.
Selecting invoices for authorization – An overview
If you are aware of the invoice number you can enter it directly. Otherwise, you can carry out a search by using the login ID of the user who has created the invoice, the code identifying the organization unit from which the parts must be shipped, the code identifying the finance book in which the invoice details have to be posted and the currency in which the invoice was created. You can also search by specifying a range of codes identifying the customer on whom the invoice has been raised. You can also specify a range for the invoice details like the numbers identifying the invoice numbers, the dates on which the invoices have been created and the total amount of the invoice. The system retrieves all the invoices that are in the “Fresh” status based on the search criteria entered.
This page also allows you to authorize multiple invoices at a time. The status of the invoice is updated as “Authorized”. An authorized invoice cannot be modified any longer. The system stores the login ID of the user and the system date along with the authorization details.
