Issuing certificate of maintenance
In this page, you can create, authorize or cancel a Certificate of Maintenance for the component work order.
You can issue the certificate of maintenance only
If all the tasks for which the sign–off is required are signed–off
When the component work order is in “Completed” status.
The system automatically generates a CoM number, each time a CoM is issued after the completion of work. This page also enables you to modify an already existing CoM. The system updates the CoM details with the name of the employee who created, authorized or modified the CoM, along with the date.
Select the “Issue CoM” link in the “Component Work Order Selection” page. Alternatively, select the hyperlinked component work order number in the multiline of the same page.
The “Issue Certificate of Maintenance” page appears.
The system displays the following:
Date & Time Format |
The format in which the date and time fields are displayed in this page. This format is displayed from the "User Preferences" business component based on the login user ID. In case the format is not defined, the system displays the date and time format from the "Enterprise Modeling" business component by default. |
Enter the following in the “COM Details” group box:
COM# |
The number identifying the certificate of maintenance.(Alphanumeric,410) This field must be entered when the “CoM Numbering” field in the “Set Options” activity is set to “Manual”.When the “CoM Numbering” field in the “Set Options” activity is set to “Auto”, the system automatically generates the COM number. |
Note: If a CoM number already exists for the selected component, the number is displayed in the “CoM #” field in the “Last Issued CoM Details” group box along with the Component Work Order and CWO Type on which the last CoM was issued. The system saves the details with the last generated CoM number. The system also updates the “Modified by” field with the name of the employee, “Last Modified Date” field with the current server date and changes the CoM status to “Fresh”.
Numbering Type |
Use the drop-down list box to specify the numbering type for the CoM. The numbering types are defined in the “Create Numbering Class” activity of the “Document Numbering Type” business component. The system lists all the numbering types, which are in 'Active' status and effective for the current date. The system displays the numbering type set as default for ‘component work orders’ in the “Numbering Type” business component. |
Note: Values will be populated in the “Numbering type” field only if the “CoM Numbering” field in the “Set Options” activity is set to “auto”.
The system displays the following in the “COM Details” group box, on creating the CoM:

The status of the CoM, which could be “Fresh”, “Authorized” or “Cancelled”. |

The job type of the work order for which the CoM is issued. |

Note: The Part #, Serial #, Component #, Part Description and Component Condition are relevant and hence displayed for component work orders of job type - Component only.

The part number of the component. |

The serial number of the component. |
Note: If the "Check whether assembly status is complete" option is set to "Yes" in the "Set Options" activity, the system ensures that the assembly status of the part number and serial number is "complete". |

The number that identifies the fabricated/piece part taken up for maintenance. |

The net quantity of the make/piece part as updated in the component work order to which it is associated. |
The system displays the following in the “Piece Part/Make Serial #/Lot # Details” multiline.
Note: The “Piece Part/Make Serial #/Lot # Details” multiline is relevant and hence displayed for component work orders of job type - Receipt-Inspection, Facility, Piece Part, Make, Project or Miscellaneous only.
Part # |
The number identifying the piece part/make part taken up for maintenance. |
Part Serial # |
The serial number of the specified piece part/make part. |
Lot # |
The lot number to which the piece part/make part belongs. |
Note: If the job type of the component work order is “Make”, the system ensures that the condition of all the make parts available in the “Lot #” specified, is “New”. |

The serial number issued by the manufacturer of the part. |

The lot number issued by the manufacturer of the part. |
Quantity |
The quantity of specified piece part/make part that underwent maintenance. |

Condition |
Use the drop-down list box to specify the condition of the piece part/make part. The system lists the options “Serviceable”, “Unserviceable”, “Phased Out” and “New”. You can select only “New”, if the job type of the component work order is “Make”. By default, the system displays the condition set for the part in the “Edit Component Work Order Information” page of the “Component Work Order” business component. |
Remarks |
Any additional information pertaining to the piece part/make part and its maintenance (Alphanumeric, 255). |

Enter the following details in the “Certificate Details” group box:

The certificate reference document number (Alphanumeric, 40). |
Certificate Type |
Use the drop-down list box to select the type of the certificate of maintenance issued. The system lists all the active certificate types defined for the part in the “Create Certificate Type” activity of the “Logistics Common Master” business component. By default, the system displays the primary part certification type identified for the specified customer order from the “Customer Order” business component, if the CWO has reference to a customer order. Else the system displays blank by default. |
Certified Under |
Use the drop-down list box to specify the regulatory authority under which the certificate is issued. The system lists all the active regulatory authority codes as defined in the “Common Master” business component. By default, the system displays the primary certifying agency identified for the customer order from the “Customer Order” business component, if the CWO has reference to a customer order. |
Certifying Remarks |
Any remarks pertaining to the issue of certificate of maintenance (Alphanumeric, 255). |
Enter the following fields in the “Authorization Details” group box:
Certification By |
Use the drop-down list box to specify the type of person issuing CoM. It could be one of the following: |
Internal - Select this option, if the person issuing the CoM belongs to the organization. In this case, the system checks for the validity of the specified employee number. | |
Freelancer - Select this option, if the person issuing the CoM does not belong to the organization, but authorized to issue CoM. |
Check one of the following boxes to specify the type of maintenance executed:
Newly Overhauled |
Check this box, if “Overhaul” type of maintenance work is executed on the component due to shelf life expiry. |
Return To Service |
Check this box, if the type of maintenance work executed is other than “Overhaul”. This indicates that the component is attended only for the snag reported or inspection failure and brought back to its working condition. The box appears checked by default. |
Note: Only one of the boxes must be checked.
Employee # |
The employee issuing, authorizing or cancelling the CoM for the selected component work order (Alphanumeric, 15). The system displays the employee number of the login user by default. |
Help facility available. | |
Note: If the “Validate for employee presence as per ARS” field in the “Set Option” activity is set to “Yes”, then the system will verify the presence of the employee with the Attendance Recording System. |

Name |
The name of the employee (Alphanumeric, 150). The system displays the name of the login user by default. Zoom facility available. |
License # |
The license number of the employee specified in the “Employee #” field (Alphanumeric, 15). The system displays the license number of the login user by default. |
Approval # |
The approval number of the employee as specified in the “Employee #” field (Alphanumeric, 15). This information is mandatory, if “External” is selected in the “Certification By” field. |
Note. At least one of the fields, “License #” or “Approver #” must be entered.
Date & Time |
The date and time on which the CoM is issued, modified, authorized or canceled (Date Time). Mandatory. The system displays the current server date and time by default. The value in this field should not be earlier than the actual end date and time of the corresponding component work order. |
Skill Code |
The code that identifies the primary skill of the corresponding employee (Alphanumeric, 40). Mandatory. The system displays the skill code of the logged in user by default. |
Remarks

Document Name |
The name of the document attached (Alphanumeric 150). Zoom facility available. |
Click the “View File” link displayed alongside to view the file details.
To issue the CoM
Click the “Create” pushbutton, to issue the CoM for the selected component work order.
The system updates the status of the CoM as “Fresh”.
Issuing CoM using Electronic Signature
Insert the smart card into the smart card reader and enter your Personal Identification Number (PIN) in the "User PIN” field.
Follow the instructions listed under the topic "Signing-off using Electronic Signature".
On successful issue of CoM
The system performs the following:
Updates the details with the current server date as the “Created Date” and the CoM status as “Fresh”.
Restricts the issue of CoM for component work orders having job type as “Component”, if the component condition is “Serviceable”. The system also verifies whether any other component work order exists in “Fresh”, “Scheduled” or “In Progress” status for the main component or associated child components of the selected work order.
The system checks whether the main component or associated child components of the selected work order has any overdue date-based and/or usage-based schedules in their component maintenance programs, on the date of issue of CoM.
If the job type of the CWO is “Piece Part” and if the part control type of the piece part is serial-controlled and/or lot-controlled, the system changes the condition of the piece part from "Unserviceable" to “Serviceable”.
Note: The system does not update the condition of those piece parts that are in phased-out condition.
Updates the pending return quantity for the piece parts and make parts for component work orders of job type “Piece Part” or “Make”.
To authorize the CoM
Click the “Authorize” pushbutton, to authorize the CoM for the selected component work order.
Insert your smart card and enter your Personal Identification Number. Follow the steps mentioned under the topic “Signing-off using Electronic Signature”, for authorizing the certificate of maintenance using electronic signature.
The system performs the following:
Updates the status of the CoM from “Fresh” to “Authorized”.
Updates the details with the current server date as the “Authorized Date” and the CoM status as “Authorized”.The system also updates the schedule details of the component work order.
For date-based schedule
Updates the “Last Performed Date” with the date on which the task was completed. Also, if updation basis is "Last Performed Date" with schedule type as ”Recurring” and a floating interval is given, then the system calculates the next scheduled date (floating) by adding the floating interval (converted to the "Day" time unit) to the last performed date. If the Updation basis is ”Installation Date", then the system does not compute the next schedule date.
For usage-based schedule
Updates the “Last Performed Value” for the parameters of the component mapped to the maintenance program number, with the current values for each parameter. If a floating interval is given, then the system calculates the next scheduled value (floating) by adding the floating interval to the last performed value.
Updates both “Last Performed Date” and “Last Performed Value”, if the “Schedule Type” is both date-based and usage-based.
If the source of the CWO is “EO” and if the executed task, of repetitive/recurring type, is newly added to the maintenance program, then the system updates the maintenance program with the last performed date and/or last performed value with the respective details for the component parameters mapped to the maintenance program.
If the maintenance type of the CWO is “Overhaul”, the system updates the condition of the component as “Overhaul”. Otherwise, the condition of the component is updated as “Serviceable”.
Note: If component condition is specified in the “Update Component Condition” page, then the system updates the condition with the specified condition. If the condition of the incoming component is “Phased Out”, then the system does not change the component condition.
If the job type of the CWO is “Piece Part” and if the part control type of the piece part is serial-controlled and/or lot-controlled, the system changes the condition of the piece part "Unserviceable" to “Serviceable”.
Note: The system does not update the condition of those piece parts that are in phased-out condition.
In the “Aircraft” business component, the system resets the following parameters to zero, as follows:
“Since Overhaul”, “Since Repair”, “Since Inspection” and “Since Shop Visit”, if the maintenance type is “Overhaul”.
“Since Repair”, “Since Inspection” and “Since Shop Visit”, if the maintenance type is “Repair”.
“Since Inspection” and “Since Shop Visit”, if the maintenance type is “Inspection”.
Updates the condition of a component on completion of a CWO, on the basis of CoM requirement. If the CoM is not required for a component work order, the new condition of component is updated to “Overhauled” or “Serviceable” following the completion of the CWO. Conversely, if the requirement of a CoM is set to mandatory, the new condition of the component is updated only after the issue of the CoM based in the following scenario,
The “SOS Program Applicability” in the Common Masters component is set to "Applicable", the “SOS Applicability” in the Component Maintenance component is "All Removals"/"Assessed on Removals", and the “SOS Quarantine Flag” is ”Yes”in the Stock Maintenance component and “SOS Disposition” in Component Replacement is “Suspected Failure” for the part #-serial #,
The system resets the SOS Quarantine Flag as “No” and SOS Disposition as “No Fault Found”. However, the SOS Quarantine Flag becomes “Yes” and SOS Disposition “Unserviceable” for the part #-serial #, if the “SOS Disposition” is “Confirmed Failure” when all the other above-said conditions remain unchanged.
To cancel the CoM
Click the “Cancel” pushbutton, to cancel the CoM for the selected component work order.
Note: The system cancels the CoM for the selected component work order and sets the status of the CoM as ”Cancelled”.

To proceed, carry out the following
Select “View execution details” link, to view the execution details for the component work order for which CoM is issued.
Select the “Print Certificate of Maintenance” link to print the maintenance certificate.
Select the “Report Component Condition Updation” link to report updation of component condition.
Select the “Return Core/Main Core/Excess Material” link to create returns based on component work order or technical log.

Specify the CoM issuing authority
Specify the type of maintenance work executed for which CoM is issued

You can specify the type of authority that issues the certificate of maintenance, that is, whether the authority is an employee of the organization or an external person who is authorized to issue CoM.
Set the option in the “Certification By” field of the “Authorization Details” group box to “Internal”, if the person who issues CoM belongs to the organization.
Set the option in the “Certification By” field of the “Authorization Details” group box to “Freelancer”, if the person who issues CoM does not belong to the organization, but authorized to issue CoM.
Specify the type of maintenance work executed for which CoM is issued
You can specify the type of maintenance work executed for which CoM is issued.
Check the “Newly Overhauled” box in the “Authorization Details” group box, if the maintenance work is executed on the component due to shelf life expiry.
Check the “Return To Service” box in the “Authorization Details” group box, if the maintenance work executed is other than “Overhaul”.
Selecting the component work order to issue CoM- An overview
You can select the component work order for which you need to issue the Certificate of Maintenance. If you know the component work order number, you can directly enter it. Otherwise, you can carry out a search based on filter criteria, such as component work order number, CWO type, CWO category, work center number, CWO Status, User Status and a range of actual end dates. The system displays the component work order details that match the search filter criteria.
