Create Buyer Group – A summary of the activity
In an organization, a buyer is a representative of the purchasing unit. A buyer interacts with the suppliers and acts as a primary source for procuring materials. A buyer is identified with the employee code.
In order to have a better control over the procurement process, a set of buyers are grouped to form a buyer group. The “Create Buyer Group” activity allows you to create buyer groups. An organization can have multiple buyer groups. You can identify each buyer group with a unique code. Parts, such as raw material, spare parts, components and kits, which can be procured by buyer groups are defined and mapped to the buyer group. A buyer group can procure only those part types and categories, which are mapped to it. This helps to clearly demarcate the responsibility of purchases as well as to have a traceability of the purchases made.
Apart from mapping part types and categories, you can also map documents to a buyer group. You can map documents like purchase order, blanket purchase order, release slip, purchase request, repair order and repair order to a buyer group. A buyer group will have permissions to add, modify and view only those documents that are mapped to it. You can map part types, part categories and documents in the “Create Buyer Group” activity.
The “Create Buyer Group” activity helps you to add individual buyers to a buyer group. Buyers will automatically inherit the rights to procure materials that are mapped to buyer groups to which they are associated. You can add buyers only to a buyer group, which is in the “Active” status. All buyer groups will be in “Active” status on creation. You can change the status of the buyer group to “Inactive” in the “Edit Buyer Group” activity, in which case the buyer group will not be available for procuring materials.

You can specify the effective date period during which the login ID is valid as a buyer in the selected buyer group.
Use the “Create Buyer Group” page, to enter the effective date period for the buyer in the buyer group.
Map documents to a buyer group
You can map documents, such as purchase order, blanket purchase order, release slip, purchase request, and repair order, to a buyer group. A buyer group has access rights to add, modify and view only those document types that are mapped to it.
Use the “Edit Document Mapping” page, to map documents to the selected buyer group.
