Using Online Help

The “Main Info.” tab page appears by default, on launch of the “Manage Flight Contract” page. This section enables you to record the main contract information including customer-specific details.

Note: You can modify details in this tab only if the Revision # of the flight contract is other than “Confirmed", "Revised", "Cancelled", "Closed” or “Approved”.

Contract Type

Use the drop-down list box to specify the type of contract.

  • Customer Specific - Select this option for particular customer-specific terms and conditions in a contract.

  • General - Select this option, for standard terms and conditions in a contract.

The system displays “Customer Specific” by default in this field.

Contract Category

Use the drop-down list box to specify the category to which the contract belongs. The system lists all the categories that are in “Active” status as defined for the Category Type “A/c Charter Contract Category” in the “Create Category Types” activity of the “Category” business component.

By default the system leaves this field blank.

The system displays the following fields:

Status

Status of the  contract, which could be “Draft”, “Fresh”, “Confirmed”, “Approved”, “Returned”, “Revised”, “Cancelled” or “Closed”.

Contract Date

The date on which the contract was entered. Mandatory. Ensure that the date entered in this field must be earlier than or equal to the current date.

Commencement Date

The date from which the terms of the contract are valid. Mandatory.

Completion Date

The date of completion as per the contract. Mandatory. Ensure that the date entered in this field is not earlier than the “Commencement Date”.

The system displays the following fields:

Effective From

The starting date from which the revised contract is effective.

Effective To

The ending date until which the revised contract is effective.

 Ensure that the date entered in this field is later than the “Effective From” date.

The system displays the following fields:

Revision Comments

Any remarks regarding the contract number and the revision number combination.

Charter Type

Use the drop-down list box to specify the type of lease.  Mandatory. The system lists all the entities that are in “Active” status as defined for the entity type “Charter Type” in the “Define Process Entities” activity of the “Common Master” business component.

By default the system leaves this field blank.

User Status

Use the drop-down list box to select the user status of the contract. The system lists all the categories that are in “Active” status as defined for the Category Type “A/c Charter User Status” in the “Create Category Types” activity of the “Category” business component.

By default the system leaves this field blank.

Cust. Service Rep.

The code identifying a representative to be contacted in terms of queries relating to the contract. Data entry in this field is mandatory if “Customer Specific” is specified as the “Contract Type”.

Ensure that the value entered in this field is valid and is in “Active” status as defined in the “HRMS” business component.

Billing Currency

Use the drop-down list box to specify the currency of the contract. The system lists the base currency along with all the permissible foreign currencies as defined for the login OU in the “View Permitted Currencies” link in the “View Company” activity of the “Organization Setup” business component.

The system displays the “Base Currency” by default in this field.

Cost Center

The code identifying the cost center that has been mapped to the company code + event + expense or consumption account combination.

Ensure that the value entered in this field is a valid cost center number and is in “Active” status as defined in the “Cost Center” business component.

Analysis / Subanalysis

The analysis / sub analysis code to which the account is mapped in the "Assign Analysis Code" activity of the "Account Based Budgeting" business component.

Ensure that the value specified in this field is valid and is in “Active” status as defined in the “Account Based Budget” business component.

Charter Category

Use the drop-down list box to specify the category to which the flight charter lease belongs. Eg. Dry lease (Lease is only for the aircraft), Wet Lease (Lease is for the aircraft along with the fuel). The system lists all the active values as defined for the entity “A/c Charter Service" for the Category Type "Charter Category" in the “Category” business Component.

By default the system leaves this field blank.

Contract Scope

Any further information about the contract. Mandatory.

Terms of Extension

Any comments pertaining to the contract extension.

Customer #

The number identifying the customer with whom the contract is entered into. Data entry in this field is mandatory if “Customer Specific” is specified as the “Contract Type”.

Ensure the following:

  • The code entered in this field is a valid customer number in “Active” status as defined in the “Customer” business component.

  • Leave this field blank if “General” is selected as the “Contract Type”.

Note that smart search is enabled in this field.

Help facility available

The system displays the following fields:

Customer Name

A unique name identifying the customer.

Customer Call Sign #

A unique reference number by which a customer is tracked. Data entry in this field is mandatory if:

  • “Customer Specific” is selected as the “Contract Type”.

  • The option “Specifying Customer Call Sign in Flight Contract” in the “Set Sales Process Parameter” activity of the “Customer” business component is set as “Mandatory”.

Ensure the following:

  • This field is left blank if Contract Type is “General”.

  • The value entered in this field is a valid Customer Call Sign # for the given Customer as defined in the “Common Master” business component.

  • The number entered in this field is a unique Customer Call Sign # that is effective for a period which is within the range of the contract effectivity.

Contact Person

The contact person of the customer with whom the contract is entered into.

Leave this field blank if the Contract Type is “General”.

Email

The e-mail ID of the contact person.

Leave this field blank if the Contract Type is “General”.

Phone #

The phone number of the contact person.

Leave this field blank if the Contract Type is “General”.

Cust. Contract # / Rev. #

The contract number for the customer with whom the contract is entered into. Data entry in this field is mandatory if:

  •  “Contract Type” is specified as “Customer Specific”.

  • For the given  Type, if the process parameter “Numbering Type For Contract” is set as “Manual” in the “Define Process Entities” activity of the “Common Masters” business component.

Leave this field blank if for the given Charter Type, the process parameter “Numbering Type For Contract” is set as “"Valid numbering type defined in Document Numbering Class business component for Contract” in the “Define Process Entities” activity of the “Common Master” business component.

Ensure the following:

  • The Contract # entered in this field does not contain any special characters except for "-" and "/".

  • The number specified in this field is a unique Contract #.

  • Leave this field blank if the Contract Type is “General”.

Cust. Contract Rev. Date

The revised customer contract date. Data entry in this field is mandatory if “Customer Specific” is set as the “Contract Type”. 

Leave this field blank if the Contract Type is “General”.

Revision Notes

A brief note describing the reason for revision of the  contract. Data entry in this field is mandatory if the “Cust. Contract Rev.” field is modified.

Leave this field blank if the Contract Type is “General”.

Revision Effective From

The starting date from which the revised contract is effective. Data entry in this field only on creation of new revisions.

Revision Comments

A textual description of the revision made to the contract. Data entry in this field only on creation of new revisions.

 Note: Ensure that at least one record is available in the multiline.
