Using Online Help

This tab enables to review the invoice / notes details.

Default Tax Key

Use the drop-down list box to specify the tax key for the invoice/note. The system lists all the Tax Keys which are applicable for Purchase Transactions.

The “Document Line Information” multiline displays the following:

Doc. Line #

The system-generated number identifying the record in the multiline.

Error Msg.

The system-error message pertaining to the document.

Order #

The identification number for the document.

Click the hyperlink to view the Order document of the order selected.

Part #

The number identifying the part invoiced in the document.

Help facility available.

Invoice Qty.

 The quantity of the part invoiced in the document.

Invoice Rate

The invoice rate per unit of the part.

Amount

The total invoice amount for the part.

Invoice Qty * Invoice Rate.

The “Document Line Information” multiline displays the following:

Proposed Qty.

The quantity of the part as suggested in the reference document (Purchase Order Exchange Order or Repair Order) on the basis of which the invoice was raised.

Proposed Rate

The rate per unit of the part as suggested in the reference document (Purchase Order Exchange Order or Repair Order) on the basis of which the invoice was raised.

Proposed Amt.

Proposed Qty * Proposed Rate.

Accounting Usage

The accounting usage for the invoice amount.

Help facility available.

Cost Center

The cost center to which the invoice amount is charged.

Help facility available.

Analysis #

The analysis # mapped to the account code to which the invoice amount is posted.

Help facility available.

Sub Analysis #

The sub analysis # of the analysis # mapped to the account code to which the invoice amount is posted.

Tax Key

The tax key for the invoice amount.

The "Document Line Information" multiline displays the following:

Tax Amount

The amount of tax charged on the invoice amount.

Invoice Element

The invoice element.

Expense Type

 Use the drop-down list box to select the expense type of the invoice/note amount. The drop-down list box displays the following: Capital and Revenue.

Exp. Classification

Use the drop-down list box to select the expense classification of the invoice amount.

Remarks

Additional information on the invoice/note.

Ref. Doc. Type

Use the drop down list box to select the reference document type.

Doc #

The unique ID of the document.

The “Document Line Information” multiline displays the following:

Proposed Amount

Proposed Qty * Proposed Rate

Transaction Amt.

The amount of Invoice.

Account #

The account to which the invoice amount must be posted.

Help facility available.

Dr / Cr

Use the drop-down list box to select the amount in the invoice / note that is to be credited or debited to the account #.

Destination Finance Book

Use the drop-down list box to specify the finance book to which expenses defined in multiple finance books will be posted. The system lists all the ‘active’ finance books that have been mapped to the login organization unit.

The system leaves the field blank, by default.

Destination Usage ID

The usage ID to which expenses defined in multiple Usage IDs will be posted.

Note: The above two fields ‘Destination Finance Book’ and ‘Destination Usage ID’ appears only if the Document Type is expense Invoice.

The “Document Line Information” multiline displays the following:

UOM

The unit of measurement for the part.

Entity

The invoicing entity.

Part Desc.

The description of the part for which the invoice has been raised.

Ordering Supplier Details

The details of the ordering supplier.

Original Supplier Details

The details of the original supplier.

User Status

Use the drop-down list box to specify the user status of the Supplier Order Based Invoice. The system lists all the user statuses defined in the “Create Quick Codes” activity of the “Finance Setup” business component along with a blank value.

EDI Remarks

The remarks pertaining to the EDI Invoice.

EDI Status

 The status of the EDI Invoice.

User Status

Use the drop-down list box to specify the user status of the Supplier Order Based Invoice that is to be retrieved. The system lists all the user statuses defined in the “Create Quick Codes” activity of the “Finance Setup” business component along with a predefined value ‘EDI Invoice Exception and a blank value.

Note: On selection of ‘EDI Invoice Exception’, invoice Exception Message is triggered to the Supplier for the Track Ids which are not processed
