Basics of using a typical web page

This page allows you to setup the change depreciation method for an asset / tag. Tell me more.

The “Setup for Change Depreciation” page appears.

Change Setup No.

A unique number identifying the change setup (Alphanumeric, 18). Mandatory.

Setup Description

The textual description pertaining to the change setup (Alphanumeric, 40).

Financial Period Upto

Use the drop-down list box to select the financial period till which the depreciation must be processed. The system lists all the open or the provisionally closed financial periods mapped to the login organization unit. The system displays the earliest open financial period by default on launch of the page.

Default Depreciation Rule No.

The number identifying the depreciation rule (Alphanumeric, 18). The system displays the depreciation rule specified here by default in the multiline.

Depreciation Book Code

Use the drop-down list box to select the code identifying the depreciation book. The system lists all the depreciation defined in the “Set Depreciation Book” activity of “Asset Depreciation Setup” business component. The system displays “Corporate” by default on launch of the page.

Process Upto Date

The date till which you want the depreciation to be processed for the assets (Date Format). The date must be less than or equal to the system date and must fall within the last period of the period specified in the “Financial Period Upto” field. The system updates the status to “Partially Processed” if this field is entered.

Note: The “Process Upto Date” can be greater than the end date of the period selected in the “Financial Period Upto” field if the “Allow depreciation before period or year end” parameter has been set to “Yes” in the “Set Function Defaults” activity of the “Asset Depreciation Setup” business component.

If the “Process Upto Date” is less than the period end date, then the processing end date must be the process upto date.

Include Suspension

Check the box to change depreciation for an asset for which the suspension period has been set.

Include Revaluation

Check the box to change depreciation for the revalued cost of an asset.

 

Example: The cost of the asset is 1,00,000 and the cost of the assets after revaluation is 1,10,000. If you check this box, the system will change depreciation for 1,10,000 (revalued cost of an asset).

Posting Cost Center

The code identifying the cost center in which the accounting entries must be posted.

Finance Book

Use the drop-down list box to select the code identifying the finance book in which the accounting entries are to be posted. The system lists all the finance book mapped to the login organization unit for selection. The finance book must have been defined in the “Create Finance Book” activity of the “Organization Set Up” business component. The system displays the first finance book by default on launch of the page.

Asset Class Code

Use the drop-down list box to select the code identifying the asset class. The system lists the asset class code defined in the “Create Asset Class” activity of the “Asset Type Definition” business component. The system displays “All” by default on launch of the page.

Depreciation Category

Use the drop-down list box to select the code identifying the depreciation category. The system lists all the depreciation category assigned for the selected asset class code. The system leaves the field blank by default on launch of the page.

Asset No.

The number identifying the asset (Alphanumeric, 18). The asset number must have been defined in the “Create Simple Asset” activity of the “Asset Capitalization” business component. This field is mandatory if the “Asset No.” is selected in the “Basis” field.

Tag No.

The number identifying the asset tag (Alphanumeric, 18).

Cost Center

The code identifying the cost center (Alphanumeric, 10). The cost center must have been defined in the “Create Cost Center/Unit” activity of the “Cost Setup” business component. This field is mandatory if “Cost Center” is selected in the “Basis” field. The system retrieves all the assets that are mapped to the cost center specified for depreciation processing.

In-Service Date From

The starting date in the range of in-service date from which the details are to be retrieved (Date Format). The system retrieves the assets with in-service date greater than the date specified here.

To

The ending date in the range of in-service dates till which the details are to be retrieved (Date Format). The system retrieves the assets with in-service date less than or equal to the date specified here.

The system displays the following fields in the “View Statistics” group box:

Asset Selected

The number of assets selected for depreciation processing.

Tags Selected

The number of asset tags selected for depreciation processing.

Records Selected

The total number of records selected for processing. The system displays the product of number of financial period selected and the number of tags here.

The system displays the following fields in the “Assignments” multiline:

Note: The system defaults the depreciation rule in all the multiline if the “Default Depreciation Rule No.” is specified.

Depreciation Category

The code identifying the depreciation category.

Asset No.

The number identifying the asset.

Tag No.

The number identifying the asset tag.

Existing Depreciation Rule

The code identifying the depreciation rule, which has been previously applied for processing.

New Depreciation Rule No.

The number identifying the new depreciation rule (Alphanumeric, 18). Mandatory.

Note: Ensure that at least one record is available in the multiline.

Note: New depreciation rule must be different from the already existing depreciation rule.

Note: The number specified in the “Default Depreciation Rule No”. field of the “Setup Information” group box is defaulted where depreciation rule is not provided in the multiline.

Note: Atleast one row in the multiline must be marked.

The asset / tag combination must not be in ”Unprocessed” or “Confirmed” ” status.

The system saves the change setup number and its respective details.

The system updates the status of the setup number to “Active”.

Setting up changing depreciation method – An overview

You can specify the setup information like the number identifying the setup, the textual description pertaining to the set number, the code identifying the cost center in which the depreciation entries are to be posted. You can also setup the depreciation for full period or partial period. This page also allows you to include or exclude the suspension or the revaluation while setting up the depreciation method for an asset.

You can retrieve the assets by carrying out the search using the code identifying the asset, the code identifying the asset class, the depreciation category, the code identifying the asset and the asset tag, the code identifying the cost center and the in-service date of the asset. The system displays the number of assets and tags selected for changing deprecation setup. You can set new depreciation rule for the asset.

The system saves the setup number and its respective details. The system updates the status of the setup number to “Active”.
