This page allows you to modify a MAC voucher. Tell me more.
Select the “Edit Voucher” link from the “Select MAC Voucher” page.
The “Edit MAC Voucher” page appears.
The system displays the following:
Status |
The status of the voucher. |
Voucher No |
The number identifying the voucher. |
Modify the following fields, if required:
Voucher Date |
The date on which the voucher is created (Date Format). Mandatory. The date entered here should fall within a valid accounting period, which is in “Open” status. |
Remarks |
Any comments or observations pertaining to the voucher (Alphanumeric, 255). |
Zoom facility available |
Modify the following fields in the “Voucher Details” multiline, if required:
Reference No |
The number identifying every transaction of the MAC voucher (Alphanumeric, 18). |
Item Code |
The code identifying the item pertaining to the transaction (Alphanumeric, 32). The code entered here must have been defined in the “Item Administration” business component and should have been mapped to the login organization unit. |

Item Variant |
The code identifying the variant of the item specified in the “Item Code” field (Alphanumeric, 8). The code entered here must have been defined in the “Item Administration” business component and should have been mapped to the login organization unit. |
Note: This field should not be left blank if value has been entered in the “Item Code” field.
Similarly, the “Item Code” field should not be left blank if an item variant has been specified.
Also, the “Item Code” and “Item Variant” fields should be left blank if the cost element involved in the transaction, is of the type “Allocation”.
Cost Center |
The code identifying the cost center to which the transaction is posted. (Alphanumeric, 10). Mandatory. The cost center entered here must have been defined in the “Cost Setup” or “Account Based Budget” business component and mapped to the business unit to which the login organization unit belongs. |

Note: The cost center entered here should be a detail level cost center and should be valid for the transaction date.
Cost Element |
The code identifying the cost element to which the transaction is posted (Alphanumeric, 32). Mandatory. The cost element entered here must have been defined in the “Cost Setup” business component and mapped to the business unit to which the login organization unit belongs. |

Note: The cost element entered here should have been mapped to the cost center that has been specified in the “Cost Center” business component except for cost element of type “Allocation”.
Quantity |
The quantity of the item involved in the transaction (Decimal). Mandatory. The value entered here should be greater than zero. |
Note: This field should not be left blank if a value has been entered in the “Item Code” field.
This field should not have a value ‘0’ if the cost element involved in the transaction, is of the type “Allocation”.
Amount |
The transaction amount that has to be posted to the corresponding cost center – cost element (Decimal). Mandatory. The value entered here should be in the base currency of the company and must be greater than zero. |
Note: If the login company has a parallel base currency assigned, then the system calculates the rounded off value and stores the amount in parallel base currency also.
But the amount is always displayed in the base currency only.
Also, 0 should be entered in this field, if the cost element involved in the transaction, is of the type “Allocation”.
Click the “Edit” pushbutton to modify the voucher details.
The system saves the modifications and retains the status of the voucher to “Fresh” or “Returned” depending on the status of the voucher, which was edited.
Click the “Edit and Authorize” pushbutton to modify the voucher details and authorize it.
The system saves the modifications and authorizes the voucher. The status of the voucher is updated to “Authorized”.
Click the “Delete” pushbutton to delete the voucher.
The system deletes the voucher details and updates the status of the voucher to “Deleted”.
The system displays the following:
Created By |
The login ID of the user who created the voucher. |
Created Date |
The date on which the voucher has been created. |
Last Modified By |
The login ID of the user who last modified the voucher. |
Last Modified Date |
The date on which the voucher was last modified. |
To proceed, carry out the following
Select the “Attach Notes” link from the bottom of the page to record observations pertaining to the voucher.
Modifying MAC voucher details – An overview
You can modify almost all the details of the voucher. The system saves the modifications and retains the status of the voucher to “Fresh” or “Returned” depending on the status of the voucher, which was edited. This page also allows you to authorize a voucher after making modifications to it. The system updates the status of the voucher to “Authorized”. This page also allows you to delete a voucher that is no longer required. The system updates the status of the voucher to “Deleted”. The system also saves the login ID of the currently logged in user and the system date along with the modification and deletion details.
Modify the voucher details.
Click the “Edit and Authorize” pushbutton.
The system updates the status of the voucher to “Authorized”.
Select the voucher to be deleted.
Click the “Delete” pushbutton.
The system updates the status of the voucher to “Deleted”.
