Training General Information – An Overview

 

Getting familiar with the activities

Training has become an inevitable investment for enterprises worldwide. Since training is a continuous and expensive activity, its management and administration as a process assumes vital importance. It is a meticulous system, which covers the training process comprehensively from creating the training courses to actually planning and conducting them and updating the necessary records after conducting them. Ramco Training meets precisely this requirement. This component helps us in setting up the training process, which will facilitate carrying out the Training programs smoothly from then on. This setting up process consists of defining a master list of courses, modules, programs, faculty and venue, which will be available for scheduling the Training Process. This component mainly involves creating, modifying and viewing of course, module, program, faculty and venue in training.

 Ramco Training module supports a three-tier training activity structure. The Course is an atomic unit of a Training activity. The next tier is the Module meaning Module is a group of courses and the last tier is a Program. A Program is a group of Modules.  When the Training administrator plans to conduct a Training ‘Program’, he intends to conducts all Modules and all Courses that are part of that Training Program.

Create Course: Through this activity, you can define the set of courses applicable for a specific Training General Information unit. You can define the Trainee and Faculty feedback parameters for the course and also map the course to a suitable faculty. The details, such as the objectives of the course, competencies acquired by the trainee after attending the training program and their impact level can be specified in this activity. The evaluation methods that should be used for evaluating the performance of the trainees undergoing this course can also be setup here.

Create Module: Through this activity, you can create a training module. Modules are a logical grouping of one or more courses in a particular sequence. A module could be mapped to a program or it can act as an independent module, but must have courses mapped to it. You can specify the objectives of the module in this activity.

Create Program: Through the “Create Program” activity, you can create a training program for which you can map the various applicable modules.

Create Internal Faculty: Through this activity you can create an internal faculty. Internal faculty is an employee of the organization who is assigned to handle a particular course for the training program. Employees can be identified as Faculty by way of matching competencies required to teach the course and the competencies possessed by the employee.

Create External Faculty: Through the “Create External Faculty” activity, you create an external faculty, wherein, you identify people apart from the employees of your organization as the faculty for a particular course. Details such as the faculty name, the organization profile in which the person is currently working and competencies of the person identified as a faculty is captured in this activity. You can also map the faculty to the various courses, which he/she is likely to handle.

Create Internal Venue: Through this activity, you can define an internal venue within the organization, where the training programs can be conducted.  The infrastructure available at the venue can also be captured.

Create External Venue: Through the “External Venue” activity, you can define the external venue, located outside the organization, where the training programs are to be conducted. In this activity, you can also capture the details pertaining to the external venue such as, the venue address and the concerned contact person.

Set Training Parameters: Through this activity, you can set the parameters , which could govern how the Training process could be conducted in the Organization

Map Expense Head to Account Code: Through this activity, you can map the various expenses made during the training to the respective account codes in the “Financials”. This will be used for the purpose of booking costs and revenues. The cost heads will be defined as quick codes, while the account heads will be taken from financials.

Apart from the create activities for these  entities, there are also Edit and View activities for course, module , Program, faculty and venue which will facilitate modifying and viewing the details of these entities.
