Ensure that you have selected the required leave application, in the “Select Employee to Edit Leave Application” page.
Select the “Edit Leave Application” hyperlink, if you have selected the leave application through direct entry. If you have selected the leave application through search criteria, select the hyperlinked “Employee Name” to enter the “Edit Leave Application” page.
The “Edit Leave Application” page appears.
The system displays the following.
Date Format |
The date format applicable to the login user. |
Leave Administration Unit |
The organization unit where the leave administration component has been deployed to administer leave for all the employees mapped to the interacting employment units. |
Employee |
The employee code of the employee whose leave application details are displayed. The employee name is displayed alongside. |
Application Number |
The leave application number that uniquely identifies the leave application for the employee. The leave application was automatically generated by the system in the “Apply For Leave” page, after the employee’s leave application details were first created. |
Application Status |
The status of the leave application. It could be one of the following: “Pending for Authorization – Create”, “Pending for Authorization – Cancel” or “Authorized”. See Leave authorization cycle. |
Request Date |
The date on which the leave application was created, through the “Apply for Leave” activity. |
Requested Leave Units |
The number of units for which the employee has applied leave. The system determines this number, based on the Leave From” and “Leave To” dates already entered. The role of “Automatic weekly off” |
Balance Units in Days |
The balance units that the employee can avail for the selected leave type, after all factors are considered. This balance does not take into account the leave units applied for, which have not been authorized. This field is displayed if the leave type is maintained in “days”. |
Leave Pending for Approval in Days |
The number of leave units for which the employee has applied for leave, but which have not been authorized until date. These refer to pending leave units of the selected leave type only. |
Edit the following fields, if required
Leave Type |
From the drop-down list box, select the type of leave to be applied. For example, leave type can be casual leave, privilege leave or sick leave. |
Leave From |
The date from which the employee has applied for leave. For example, if the employee has applied for leave from 5th of August 2004, enter the leave date as 5th August 2004. |
Leave To |
The date until which the employee has applied for leave. For example, if the employee has applied for leave until 10th of August 2004, enter the leave date as 10th August 2004. |
First Day of Leave |
The date of the first day on which the employee will be physically absent from the place of work Tell me more. |
Last Day of Leave |
The date of the last day on which the employee will be physically absent from the place of work. |
Automatic Weekly Off |
Check this box, if you request the system to consider weekly offs, within the leave period of the employee. Tell me more |
Leave Reason |
From the drop-down list box, select the reason for which the leave has been applied. |
Other Reason |
Any reason other than what you selected in the "Leave Reason" field. |
Covering Employee |
The employee code of the employee who will take up the responsibilities of the employee who has applied for leave. Help available. |
Supporting Documents Provided |
Check this box, if the employee has provided documents to support the leave. Uncheck the box, if the supporting documents are not provided. Supporting documents are those documents that the employee provides, along with the reason for leave. In the “Create Leave Type” activity, each leave type is defined as either needing supporting documents or not needing them. If the need for supporting documents was specified, they must be provided at this stage, and this box checked. |
Supporting Documents |
Any details about the supporting documents. You can also view these details, if they were entered previously, by selecting the book icon. The pop up dialog box displays the existing content. |
Comments |
The comments about leave application. You can mention the details about the leave application. You can also view these details, if they were entered previously, by selecting the book icon. The pop up dialog box displays the existing content. |
Select the “Save” pushbutton to save the details entered.
The system updates the following: “Requested Leave Units”
Retrieve the required leave application, from the “Select Employee to Edit Leave Application " page.
In the “Edit Leave Application for a Group” page, select the “Delete” pushbutton.
The leave application for the employee is deleted.
Select the “View Leave Application Status” link from the “Apply for Leave” page/ "Edit Leave Application" page , or
Select the “View Leave Balances” link, or
Select the “Sickness Self Certification Form” link.
