Use this page to record the attendance of a single employee.
Select the “ Enter Attendance” option from the left pane.
The “Attendance Entry – employee wise” page appears.
The system displays the following field
Date Format |
The date format applicable to the login user. More details. |
Enter the following
Processing Unit |
Select the organization unit in which you must enter the employee attendance. Tell me more. |
Scheduling Unit |
Select the organization unit that interacts with the Employee Attendance Processing Unit, to access the employee attendance. This organization unit must hold the Employment Information component. Tell me more. |
Employee Code |
The code of the employee whose attendance details must be entered. |
Assignment No. |
The number of the based upon which the employee is working on the shift |
Effective From |
The date from which the employee attendance recording starts. For example, the attendance records start on March 1, 2002. |
Effective To |
The date until which the employee attendance is recorded. For example, the attendance records end on March 31, 2002. |
Select “Presence” from the “Record” drop-down list box
Enter the following in the “Attendance Details” multiline
Date |
The date on which each start time of the employee’s attendance falls. |
From Time |
The start time of each attendance. This refers to each time the employee logs in, for a session of the shift |
Date |
The date on which each end time of the employee’s attendance falls. |

This field is not mandatory. You are to enter this date only when the employee’s shift gets over the next day. In such instances, the employee logs in on one date and logs out on a different date. |

For example, an employee works in the night shift, which starts at 11:00 pm and ends at 7:00 am. The system will record 05/03/2002 in the “Date” field and 11:00 pm as “From Time”. When the shift gets over the next day the system will record a new date in the “Date” field as 06/03/2002 and “To Time” as 7:00 am. |
To Time |
The end time of each attendance. This refers to each time the employee logs out, for a session of the shift |
Select “Save” pushbutton to save the details entered.
The system will create the attendance records of the employee for all the dates you specified in the “Date” field in the “Attendance Details” multiline.
Select “Absence” from the “Record” drop-down list box
Enter the following in the “Attendance Details” multiline
Date |
The date of the scheduled shift, for which the employee is absent. |
From Time |
The start time of the scheduled shift, on this date. |
Date |
Enter this date only of the scheduled shift spills over to the next day. |
To Time |
The end time of the scheduled shift |
Select “Save” pushbutton to save the details entered.
The system will create the attendance records of the employee for all the dates between “Effective From” and “Effective To”, except the dates you specified in the “Date” field in the “Attendance Details” multiline
Enter the Processing Unit, Scheduling Unit, Employee Code, Assignment Number, Effective From and Effective To fields
Select the “Get” pushbutton
The “Attendance Details” multiline shows the recorded attendance of the employee, for the range of dates you specified in the “Effective From“ and “Effective To “fields
You can edit all the fields in the multiline
Select “Save” pushbutton to save the details entered.
To proceed
Select “Attendance Entry – Date wise” to record the attendance.

You are not able to access a specific rota schedule, for attendance processing
The attendance is being processed, but some of the records were wrongly entered
You are not able to access a specific overtime record, for attendance processing
What happens if an employee’s leave is authorized only after his attendance for a month is processed?
Sometimes, after the employees’ attendance has been processed, the employees’ leave applied during this processed period is authorized. Leave authorization is carried out in the Leave Administration component. In such instances, you can request the system to reprocess employee attendance for the period, after taking into account the authorized leave for this period. You will not require to first unauthorize the employee attendance before reprocessing it.
In fact, you can also include the processed attendance period to a new period, and request the system to process for the entire period. For example, employee attendance has been processed for June 2002. When requesting the system to process attendance for the month of July, you can include June as well, and specify the period for processing as follows: June 1 to July 31. This saves you from having to unauthorize the attendance for June and request for processing.
You are not able to access a specific rota schedule, for attendance processing
The processing of the attendance records under this rota schedule may have been aborted, through the “Set Attendance Status” activity.
You are to reset these attendance records, before you can access them for attendance processing. To reset, you are to enter the “Set Attendance Status” activity and set the status of the attendance records under the rota schedule to “Reset”
The attendance is being processed, but some of theemployee records were wrongly entered
You are to
Abort the employee attendance processing, through the “Set Employee Attendance Status” activity
Correct the information in the employee records
Reset the employee attendance processing. Through the “Set Employee Attendance Status” activity
Reprocess the employee records
You are not able to access a specific overtime record, for attendance processing
The overtime employee attendance records appear only if the employees’ regular attendance for this period had been processed and authorized already.
