Benefits – Admin – Bulk Enrollment
This page enables the HR admin to enroll new employees, view existing enrollments, approve or reject any enrollments. Based on the plan category selected, the relevant options will be shown on the right pane.
Enter the following details in the “Plan Details” section
Benefits Year |
Select the benefit year from dropdown. Mandatory |
Enrollment Type |
Select the enrollment type from dropdown. Mandatory |
Plan Category |
Select the plan category from the dropdown. The dropdown has the categories “Health", "Insurance", "Flexible Spending", "Savings" and “Health Savings”. Mandatory Note: Whenever any plan category is selected, the relevant plans will be shown on the right pane. |
Plan Name |
Select the plan name from the dropdown. The dropdown displays the plan names based on the selected plan category. Mandatory |
EE Amount From & To |
The employee contribution amount from and to which the contribution limit is calculated. This is a search filter which could be used in case you are looking for employees with a specific contribution range. Optional |
ER Amount From & To |
The employer contribution amount from and to which the contribution limit is calculated. This is a search filter which could be used in case you are looking for employees with a specific contribution range. Optional |
Note: The “EE Amount From & To” and “ER Amount From & To” fields are visible only if the plan category is other than “Health”.
Coverage Level |
Select the coverage level description from dropdown. For Ex: “Employee Only”, “Employee + Children”, “Employee + Spouse” and “Employee + Spouse + Children”. Optional |

Enter the following details in the “Employee Details” section. This is an optional search criteria.
Department |
Select the department from dropdown. |
Location |
Select the location from dropdown to which the employee belongs. |
Employee Code From |
Enter the employee code from which you want to view the enrollment details in the right pane. |
To |
Enter the employee code to which you want to view the enrollment details in the right pane. |
Employee Name |
Enter the employee name. Ex: Kevin% will show all employees whose name contains ‘Kevin’ |
Click “View & Enroll Employees” to view the employee details in the right pane based on the above entered details and enroll for a plan.
Note: Please ensure that by confirming any plan, employee could only view those plans in self-service and all other plans will not be visible. However, you could enroll the employee plan wise as an administrator.
This page consists of the following tiles in the right pane if the plan category is other than “Health”:
All Employees – Displays the number of all employees enrolled for the plan.
Not Initiated – Displays number of employees not initiated for the plan.
Draft – Displays the number of employee enrollment plans that are in “Draft” status.
Pending Approval – Displays the number of employee enrollment plans that are in “Pending Approval” status.
Approved – Displays the number of employee enrollment plans that are in “Approved” status.
This page consists of the following tiles in the right pane if the enrollment type is “Current Enrollment” and plan category is “Health”:
Approved – Displays the number of employee enrollment plans that are in “Approved” status
Rejected – Displays the number of employee enrollment plans that are in “Rejected” status
Click “Add Dependent” link to add dependents to this particular plan from already available dependents in system.
Click on any tile to view the corresponding plan(s) specific to the category in the multiline. It shows the employee name, coverage level and premium rates with the effective dates. At the bottom of the page, you will see additional options if you click the “Not Initiated”, “Draft” and “Pending Approval” tiles. These options can be used when you wish to choose same coverage level or contributions amounts for a set of employees.
Reason |
Select the reason from dropdown. This is generally applicable when there is a fixed employer contribution for health Savings or savings accounts for any reason. System lists ‘Not Applicable’ unless the HR defines some specific reasons from quick codes. Note: This field is visible only if the plan category is other than “Health”. |
Coverage Level |
Select the coverage level from dropdown. Note: This field is visible only if the plan category is “Health”. |
EE & ER Amount Per Annum |
Enter the employee and employer contribution amount per Annum. Note: This field is visible only if the plan category is other than “Health”. |
Click “Calculate” to calculate the premium amount based on the coverage options.
Click “Save” to save the entered plan details. System gives a double confirmation dialogue box to check for your consent, please click ‘Ok’ to save or ‘Cancel’ to go back and edit.
Click “Confirm” to submit the entered details. In case the dependent coverage options do not match with the dependents added to the plan or if there are no dependents added for the selected coverage options, system checks and raises appropriate messages for you to be able to follow the due actions.
System gives a double confirmation dialogue box to check for your consent, please click ‘Ok’ to confirm or ‘Cancel’ to go back and edit.
Note: This button is visible only if “Draft” and “Pending Approval” tile is clicked.
Click “Reject” to reject the enrollment details. System gives a double confirmation dialogue box to check for your consent, please click ‘Ok’ to confirm or ‘Cancel’ to go back and edit.
