This activity will be to facilitate the user to search for the pre-order quotation. quotation (i.e.) Quotation provided to the customers, prior order generation.

Note: In case of Sale Orders, this will be the final Quotation. However, in case of Service Orders, the final Quotation value can vary from this Pre-Order Quotation value, after the actual estimates are made. The final quotation shall be created in the Manage Sale Quotation, in this case.

The “Help on Pre-Order Quotation” page appears.

Quotation #

The number identifying the quotation document given to he customer.

Search On

Use the drop-down list box to select one of the following based on which you wish to retrieve the pre-order quotation.

  • Quote For - Select this option if you wish to retrieve pre- order quotation based on the “Quote For” type. The system lists the values “sale”, “exchange” and “repair”. By default the system leaves this field blank.

  • Category - Select this option if you wish to retrieve pre- order quotation based on the “Category” type. The system lists the Category codes pertaining to the Category Code Type “Pre-Order Quotation Category” defined in the Manage Category Codes activity of the Sales Setup business process. In addition, a blank value is loaded and the system defaults the same.

  • User Status - Select this option if you wish to retrieve pre- order quotation based on the “User Status” type. The system lists the User Status codes pertaining to the Category Code Type “Pre-Order Quotation User Status” defined in the Manage Category Codes activity of the Sales Setup business process. In addition, a blank value is loaded and the system defaults the same.

  • Quote Basis - Select this option if you wish to retrieve pre- order quotation based on the “Quote Basis” type. The system lists the values “Firm” and “Estimate”. By default the system leaves this field blank.

  • Created By – Select this option if you wish to retrieve pre-order quotation based on the employee who created the quotation. Enter the value in the input field adjacent to the second drop-down list box.

  • Customer Type - Select this option if you wish to retrieve pre- order quotation based on the “Customer Type”. The system lists the values “New” and “Existing”. By default the system leaves this field blank.

  • Followup Overdue? - Select this option if you wish to retrieve pre- order quotation based on the “Followup Overdue”. The system lists the values “Yes” and “No”. By default the system leaves this field blank.

The system displays the Quote For by default.

If you have selected “Quote For”, “Category”, “User Status”, “Quote Basis”, “Customer Type” or “Followup Overdue?” from the first drop-down list box, select the value for the attribute from the second drop-down list box. Enter the values in the input field adjacent to the second drop-down list box, if you have selected “Created By”.

Quotation Status

Use the drop-down list box to specify the status of quotation, the details of which you wish to retrieve in the multiline. The system retrieves all the quotations similar to the quote status selected here. The system lists the following options:

  • Fresh – Indicates creation of a new quote.

  • Draft - Indicates that all the details have not yet been completely entered.

  • Cancel - Indicates cancelling the quote internally, eg. By the CSM.

  • Confirmed - Indicates that the quotation document has been selected for quotation processing and can be used for authorization.

  • Returned - Indicates quote returned internally.

  • Approved – Indicates quote approved by the customer.

  • Re-Quote – Indicates re-quote required by the customer.

  • Pending Customer Approval – Indicates quote yet to be approved by the customer.

  • Reject – Indicates quote rejected by the customer.

By default the system leaves this field blank.

Customer #/Name

The identification number / name of the customer associated with the customer order.

Part Info

Use the drop-down list box to select one of the following based on which you wish to retrieve the pre-order quotations.

  • Part # - The part number of the part.

  • Part Description - The short name / description of the part.

  • Mfr. Part # - The manufacturer part number of the part

  • Mfr. # - The manufacturer of the part.

The system displays the Part # by default.

If you have selected “Part #”, “Part Description”, “Mfr. Part #”, “Mfr. #” from the first drop-down list box, then enter the values in the input field adjacent to the second drop-down list box.

Quote Date: From/To

The starting date and end date in the range of quotation dates, from which the quotation details must be retrieved (Date Format) in the first and second input boxes. Ensure this date is lesser than or equal to the system date. The system lists all the quotations that are raised later than and equal to this date. Leave this field blank, to retrieve all the quotations, irrespective of the starting date. The system leaves this field blank, by default.

The system displays the following in the “Search Results” multiline:

 

Quotation #

The number identifying the quote.

Quotation Date

The date on which the quotation raised to the customer.

Basis

The Quote Basis type which could be “Firm” or “Estimate”.

Quotation Status

The status of the quotation document.

Follow-Up Date

The follow up date of the quotation.

Customer #

The identification number of the customer associated with the pre-order quotation.

Customer Name

The name of the customer associated with the pre-order quotation.

Customer Type

The type of the customer which could be “New” or “Existing”.

Cust. Ref. #

The reference number provided in the Pre-Order quotation document.

Created By

The name of the user who created the Pre-Order Quotation

Category

The category to which the quotation belongs.

User Status

The user status of the quotation.
