Selecting sundry receipts for authorization
This page allows you to search and select a sundry receipt for authorization. Tell me more.
Select the “Authorize Receipt” link under the “Sundry Receipts” business component.
The “Select Receipt” page appears.
Enter the following fields if you are aware of the category and the number identifying the receipt that you want to authorize:
Receipt Category |
Use the drop-down list box to select the category of the receipt that you want to retrieve. You can select from "Regular", "HRMS" or "All" if the "HRMS" business component has been deployed in the login organization unit. The system displays “All” by default on launch of the page. |
Receipt No |
The number identifying the receipt that you want to authorize (Alphanumeric, 18). |
Select the “Authorize Receipt” link provided along side to authorize the selected receipt.
If you want to retrieve sundry receipts based on the category to
which it belongs, you must select the category to which the receipts belong.
Enter the following fields in the “Search Criteria” group box to search for the sundry receipt that you want to authorize. Data-entry in the following fields is optional:
Receipt No From |
The starting number in the range of receipt numbers that you want to retrieve (Alphanumeric, 18). You can enter the number in full or specify it partially using the “*” character. The system retrieves all the receipts that have numbers similar to the value entered here. |
Note: The number entered in this field must be before the number entered in the "To" field.
To |
The ending number in the range of receipt numbers that you want to retrieve (Alphanumeric, 18). You can enter the number in full or specify it partially using the “*” character. The system retrieves all the receipts that have numbers similar to the value entered here. |
Finance Book |
Use the drop-down list box to select the code identifying the finance book in which the posting is to be made for the receipt that you want to retrieve. All the finance books that are deployed in the login organization unit will be available for selection in the ascending order if postings can be made in multiple finance books. If postings can be made only in a finance book the book that has been set as default will be displayed. |
Receipt Amount From |
The starting amount in the range of receipt amounts that you want to retrieve (Decimal). The amount entered in this field must be greater than zero. The system retrieves all the receipts that have amounts similar to the value entered here. |
Note: The receipt amount entered here must be equal to or lesser than the value entered in the "To" field.
To |
The ending amount in the range of receipt amounts that you want to retrieve (Decimal). The amount entered in this field must be greater than zero. The system retrieves all the receipts that have amounts similar to the value entered here. |
Currency |
Use the drop-down list box to select the code identifying the currency in which the payment has been received. All the currency codes that have been mapped to the company will be available for selection in the ascending order. The system displays “All” by default on launch of the page. |
Receipt Date From |
The starting date in the range of dates within which the receipt that you want to retrieve has been created (Date Format). The system retrieves all the receipts that have been created on the dates similar to the date entered here. The system date is displayed by default on launch of the page. |
Note: The date entered in this field must be before the date entered in the "Receipt Date To" field.
Receipt Date To |
The ending date in the range of dates during which the receipt that you want to retrieve has been created (Date Format). The system retrieves all the receipts that have been created on the dates similar to the date entered here. The system date is displayed by default on launch of the page. |
User ID |
The login ID of the user who has created the receipt that you want to retrieve (Alphanumeric, 30). The ID entered in this field must be a valid one. The system displays the login ID of the user by default on launch of the page. |
Remitter |
The name of the person or organization on whom the receipt that you want to retrieve has been raised (Alphanumeric, 60). You can enter the remitter in full or specify it partially using the “*” character. The system retrieves all the receipts that have remitters similar to the value entered in this field. |
Instrument No |
The number identifying the instrument that you want to retrieve (Alphanumeric, 30). You can enter the number in full or specify it partially using the “*” character. The system retrieves all the receipts that have remitters similar to the value entered in this field. |
Receipt Route |
Use the drop-down list box to select the way in which the payment has been received for the receipt that you want to retrieve. You can select from “Bank”, “Cash”, “Credit Card” or “PTT”. The system displays “All” by default. |
Receipt Mode |
Use the drop-down list box to select the mode in which the payment was received for the receipt that you want to retrieve. You can select from “Check”, “Demand Draft”, “Pay Order”, “Direct Credit”, “Cash” and “Credit Card”. The system displays “All” by default. |
Click the “Search” pushbutton to retrieve the search results.
The system retrieves and displays the details of the receipt numbers that are in the “Fresh” status in the “Search Results” multiline based on the search criteria entered:
Receipt No |
The number identifying the sundry receipt. |
Remitter |
The name of the person or the organization from whom the payment has been received. |
Receipt Date |
The date on which the receipt was created. |
Currency |
The code identifying the currency in which the payment, for which the receipt has been created, was received. |
Receipt Amount |
The amount of the sundry receipt. |
Finance Book |
The code identifying the finance book in which the posting of the sundry receipt has been made. |
Check the box in the “Select” column of the multiline to mark the numbers identifying the receipts that you want to authorize.
Click the “Authorize Receipt” pushbutton to authorize the selected sundry receipts.
The system updates the status of the receipt as “Authorized”.
To proceed, carry out the following
Select the “Accounting Information” link at the bottom of the page to view the posting details of the account.
Select the "Attach Notes" link at the bottom of the page to attach notes.
Selecting sundry receipts for authorization – An overview
If you know the category to which sundry receipt that you want to modify belongs, you can enter it directly along with the number identifying the receipt. Otherwise, you can carry out a search by specifying a numbers identifying the receipt, amounts for which the receipt has been raised and the dates on which the receipts have been created. You can also search using the code identifying the finance book in which the sundry receipt must be posted and the code identifying the currency in which the payment for the receipt has been received. You can also search using the login ID of the user who has created the receipt and the remitter on whom the receipt has been raised. The system retrieves all the sundry receipts that are in the “Fresh” status based on the search criteria entered.
This page also allows you to authorize multiple sundry receipts. The status of the authorized sundry receipt is updated from “Fresh” to “Authorized”. The details of these authorized receipts cannot be modified any longer.
