Basics of using Ramco Enterprise series web page

This page allows you to search and select a supplier receipt for viewing its details. If you know the number identifying the receipt for which you want to view details, you can enter it directly. Otherwise, you can carry out a search based on the method in which the payment was received, the route and mode to which the receipt belongs and the code identifying the book in which the receipt has been posted. You can search specifying a range of receipt numbers, receipt amounts and receipt dates within which the receipt falls. You can also search based on the user who has raised the receipt. You can also specify the document and instrument status. The system retrieves the receipt details based on the search criteria entered.

The “Select Receipt” page appears.

Receipt No

The number identifying the receipt for which you want to modify the details (Alphanumeric, 18).

Receipt Route

Use the drop-down list box to select the way in which the payment has been received from the supplier. You can select from “Bank” or “Cash”. The system displays “All” by default at the launch of the page.

Receipt Mode

Use the drop-down list box to select the mode in which the payment was received from the supplier. You can select from “Check”, “Demand Draft”, “Direct Credit”, and “Cash”.

Bank / Cash Code

Use the drop-down list box to select the code identifying the bank and cash accounts. These codes must have been defined in the “Create Bank / Cash Details” activity of the “Bank Cash Definition” business component and must be in the “Active” status. The bank / cash codes created in the login organizational unit will be available for selection in the alphabetical order.

Supplier Code From

The starting code in the range of codes identifying the supplier on whom the receipt has been raised (Alphanumeric, 16). You can enter the codes in full or specify it partially using the “*” character. The system retrieves all the receipts that have been raised on suppliers whose codes are similar to the value entered here.

To

The ending code in the range of codes identifying the supplier on whom the receipt has been raised (Alphanumeric, 16). You can enter the codes in full or specify it partially using the “*” character. The system retrieves all the receipts that have been raised on suppliers whose codes are similar to the value entered here.

Currency

Use the drop-down list box to select the code identifying the currency in which the payment has been received. All the currencies that have been mapped to the “Supplier Payables Account” in the “Create Supplier Account Definition” activity of the “Account Rule Definition” business component will be available for selection in the ascending order. The base currency of the login organization unit will be displayed by default at the launch of the page if it is one of the currencies mapped.

Receipt No From

The starting number in the range of receipt numbers you want to retrieve for modifying its details (Alphanumeric, 18). You can enter the number in full or specify it partially using the “*” character. The system retrieves all the receipts that have numbers similar to the value entered here.

Note: The receipt number entered here must be the same or before the number entered in the “To” field.

To

The ending number in the range of receipt numbers you want to retrieve for modifying its details (Alphanumeric, 18). You can enter the number in full or specify it partially using the “*” character. The system retrieves all the receipts that have numbers similar to the value entered here.

Finance Book

Use the drop-down list box to select the code identifying the finance book in which the postings have been made. All the finance books that have been mapped to the login organization unit, which will be available for selection in the ascending order if postings can be made in multiple finance books. In case postings can be made only in a single finance book, the book that has been set as default will be displayed.

 Note: The system displays “All” by default if “Allow Multiple FB Posting” has been set to “Yes”.

Receipt Amount From

The starting amount in the range of amounts for which you want to retrieve receipts (Decimal).

 Note: The receipt amount entered here must be lesser than or equal to the amount entered in the “To” field.

To

The ending amount in the range of amounts up till which you want to retrieve receipts (Decimal).

User ID

The login user ID of the person who has raised the receipt (Alphanumeric, 30). The system displays the login ID of the user by default at the launch of the page.

Receipt Date From

The starting date in the range of dates within which the receipt that you want to authorize has been raised (Date Format). The system date is displayed by default at the launch of the page.

Note: The receipt date entered here must be before or the same as the date entered in the “To” field.

To

The ending date in the range of dates within which the receipt that you want to authorize has been raised (Date Format). The system date is displayed by default at the launch of the page.

Document Status

The status of the receipt. It could be “All”, “Fresh”, “Deleted”, “Authorized”, “Held”, “Reversed” and “To be Reversed”

 
  • Fresh – indicates that the receipt can be authorized.

 
  • Deleted – indicates that the receipt has been deleted. A receipt in this status cannot be used again.

 
  • Authorized – indicates that the receipt has been authorized and posted in the books of accounts.

 
  • Held – indicates that the authorized receipt has been put on hold.

 
  • Reversed – indicates that the receipt has been reversed. Changes cannot be carried out in an authorized receipt. The authorized receipt is then nullified in the reverse status.

 
  • To be reversed – indicates that the receipt is to be reversed. If an instrument which was recorded has bounced, the receipt is then set to the “To be reversed” status, where the receipt is reversed.

Instrument Status

The status of the instrument – it could be “Realized”, “Bounced” and “All”.

 
  • Realized – indicates that the instrument has been cleared.

 
  • Bounced – indicates that the instrument has been bounced due to insufficient funds.

The system displays the following in the “Search Results” multiline based on the search criteria entered:

Receipt No

The number identifying the receipt.

Receipt Date

The date on which the receipt was created.

Document Status

The status of the receipt.

Instrument Status

The status of the instrument.

Supplier Code

The code identifying the supplier.

Supplier Name

The name identifying the supplier.

Currency

The currency in which the receipt has been raised.

Receipt Amount

The amount of the receipt.

Receipt Route

The way in which the payment has been received from the supplier. It could be “Bank” or “Cash”.

Apply

Indicates whether the receipts are available for adjustments.
