Basics of using a Ramco iEnterprise Series 5.0 Web Page

The “Select Documents” page appears.

Updating Usage/Generate Bill

The “Update Usage/Generate Bill” tab page appears by default.

Search On

Use the drop down list box to select the basis on which you wish to retrieve details in the multiline. The system lists the following options:

  • Pricing Basis

  • Contract #

  • Customer #

  • Customer Name

  • Nature of Contract

  • Invoice Type

  • Milestone Type

  • Mode of Billing

  • Sheet ID

 

In the editable box alongside, enter the value corresponding to the item selected. The system retrieves all the records similar to the value specified here.

 

On selection of Pricing Basis as the '"Search On", this drop-down list box loads the following values:

  • FP Per Month – Select this option to retrieve all the milestones pertaining to  FP per Month.

  • Usage Based – Select this option to retrieve all the milestones of a Usage based Contract.

The system displays the count of records under each of the filter tags before:

All

Indicates the count of all Milestones / Contracts rendered from Search.

Alert

Indicates the count of all Milestones for which the due Date for processing the release has not yet been crossed.

Over-Due

Indicates the overdue tile shows the count of all Milestones/Contracts for which the due date for processing the Release has been crossed.

On-Demand

Indicates the count of all Milestones/Contracts for which On-Demand Billing has been enabled in the Contract.

Cancelled

Indicates the count of all Milestones that were cancelled.

The system displays the following in the multiline:

Invoice Type

The type of the invoice generated such as Regular Billing or Prepayment Billing.

Milestone Type

Use the drop-down list box to select the type of milestone which could be any of the following:

  • Regular – Indicates billing with actual values that is milestone setup from contract on a month on month basis.

  • Provisional –  Indicates billing with estimated values that is milestone setup from contract on a month on month basis.

  • On-demand – Indicates every day millstone billing on demand only.

Mode of Billing

Indicates whether billing is with respect to milestone date or billing directly.

Pricing Basis

Use the drop-down list box to specify the basis for pricing. The system lists the following opions:

  • FP per month

Customer #

The unique code identifying the customer with whom the contract is entered for whom bill has to be sent

Customer Name

The name of the customer with whom contract is entered.

Nature of Contract

The contract reference from service sale contact.

Contract #

The number identifying the contract. 

Revision #

The number identifying the revision number of the contract. 

Billing Period

The duration from the starting date and end date of billing.

Billing Milestone

The date on which the bill must be created.

Sheet ID

The number identifying the document with usage information for the given billing period.

Cancellation Remarks

Any comments pertaining to the cancellation of the milestone. Mandatory.

Last Billing Milestone

Indicates the milestone for which billing is done last.

Last Inv. #

Indicates the last invoice number of the Contract.

Last Inv. Type

Indicates the last type of invoice of the Contract.

Last Inv. Status

Indicates the status of last invoice.

Processing /Viewing Generate Bill

This section displays the details of milestones after the generation of bill.

Search

Use the drop down list box to select the basis on which you wish to retrieve details in the multiline. The system lists the following options:

  • Contract #

  • Customer #

  • Customer Name

  • Invoice Category

  • Release ID

  • Sheet ID

 

In the editable box alongside, enter the value corresponding to the item selected. The system retrieves all the records similar to the value specified here.

Released Status

Use the drop-down list box to specify the status of the release. The system lists the following options:

  • Fresh

  • Confirmed

  • Returned

  • Cancelled

  • Returned

Date From/To

Use the drop-down list box to specify the filter with date ranges within which you wish to retrieve details in the multiline.

  • Milestone Date

  • Release Date

  • Invoice Date

User Status

Use the drop-down list box to select the user status of contract. The system lists all the 'active' user statuses as defined for the category “Contract User Status” in the “Create Category Type” activity of the “Category” business component. The system retrieves all the user statuses similar to the description entered here.

Bill Rep.

The person of contact based on which you wish to retrieve details in the multiline.

Help facility available

Note: Based on grouping policies set in Contract, invoice releases may get set up automatically at a CO level or individual task Billing Element level. In the later case, however there might be multiple invoice releases against the same CO. 

The system displays the following filter tags:

All

Indicates the count of all generated Releases rendered from Search.

Alert

Indicates the count of all Releases for which the due Date for processing the Release has not yet been crossed.

Over-Due

Indicates the overdue tile shows the count of all Releases for which the due date for processing the Release has been crossed.

The system displays the following fields in the “Search Results” multiline:

Customer #

The number identifying the customer with whom the contract is entered

Customer Name

The name of the customer with whom the contract is entered.

Revision #

The number identifying the revision number of the contract

Nature of Contract

The contract reference from service sale contact.

Aircraft Reg. #

The registration of the aircraft.

Part #

The number identifying the part.

Serial #

The number identifying the serial.

Sheet ID

The number identifying the document with usage information for the given billing period.

Invoice Type

The type of the invoice generated for the customer order, such as Regular Billing or Prepayment Billing.

Milestone Type

The type of milestone which could be Regular, Provisional or On-Demand.

Mode of Billing

The billing respect to milestone date or billing directly.

Release #

The number identifying the release.

Billing Milestone

The date on which the bill must be created.

Release Status

The status of the release.

Excp Pricing Coverage

The count of object which no rate.

Total Usage

The total usage in the bill.

Tot. UB Rate

The total usage based rate.

Net T/C/D

Taxes, Charges and Discounts.

Tot. Bill Amount

The total usage based rate + Taxes, Charges and Discounts.

Billing Currency

The currency of billing as per the contract.

Billing From

The starting date in the range of dates of billing.

Billing To

The ending date in the range of dates until which billing is done.

Invoice Category

The category to which the invoice belongs.

Pay Term

The code identifying the pay term to be associated with the orderRelease.

Bill To Customer

The customer to whom the service must be billed.

Group By

Use the drop-down list box to select the basis on which you wish to group multiple releases to generate an invoice. You can select from the following options:

  • Customer - Select this option if you wish to group invoices based on customer group releases and create a single invoice

  • Contract - Select this option if you wish to group invoices based on contract.
