Selecting customer order
Select the “Process Invoice” link under the “Service Sale Billing” component in the section.
The “Select Customer Order – Services” page appears.
Select the following in the “Search Criteria” group box to find the order that you wish to process.
Inv. Type/Cat. |
Use the first drop-down list box to select the type of invoice necessary for the customer order. The drop-down list box displays the following billing types: Regular and Prepayment. Use the second drop-down list box to select the category of the invoice required for the customer order. The drop-down list box displays all the Active categories defined under the category type - "Invoice Category” in the Category component. The search retrieves those orders with invoice type and category combination as that you select here. Do not select any invoice type and category to retrieve all orders regardless of the type and category. |
Inv. Rel. Readiness |
Use the drop-down list box to indicate whether the invoice release can be routed for further processing. The drop-down list box displays the following: “Ready to Bill", "Not Ready to Bill", “Ready to Setup” and “Re-Setup Cont. Reassign". By default, this field is set to “Ready to Bill". The search retrieves Those customer orders with invoice releases that are set as Ready to Bill. The field ‘RTB?’ in the multiline will be displayed as “Yes”, if you select the “Ready to Bill".
Do not select any value in the drop-down list box to retrieve all orders regardless of their invoice release readiness. |
Inv. Rel. Basis |
Use the drop-down list box to select the basis for creation of invoice release manually. The drop-down list box displays the following: Event Completion, Before Event Comp. (Before Event Completion) and Post Work Comp. (Post Work Completion). The search retrieves:
Do not select any invoice release basis to retrieve all orders regardless of the invoice release basis. Note: The Inv. Rel. Basis drop-down values can be used for search only if you choose Inv. Rel. Readiness as “Ready to setup”. |
Order Based |
Use the drop-down list box to select the source/reference of the order. The drop-down list displays the following: Contract #, Cust. Order #, Customer PO #, Quotation #, Event # and Controlling Unit. Enter the identification number of the Contract, Customer Order, Customer Purchase Order, Sale Quotation or Event # in the adjacent input field. However, you must enter the name of the organization unit associated with the customer order, if you select Controlling Unit in the drop-down list box. You can enter the identification number/name in full or specify it partially using the “*” character. The search retrieves those orders associated with the Contract #, Customer Purchase Order #, Quotation #, Event # or Controlling Unit similar to that you specify. However, if you do not specify a number in the input box, the search finds all orders available in the system. |
Sale Type |
Use the drop-down list box to select the sale type of the order. The drop-down list box displays all entities defined for the entity type “Sale Type” in the Common Master component. The search retrieves all orders of the sale type that you select in the drop-down list box. All orders regardless of the sale type are retrieved, if you do not specify any sale type. Do not select any sale type to retrieve orders of all sale types. |
Execution Status |
Use the drop-down list box to select the execution status of the customer order. The system displays the following options:
Ensure that no value is selected in this field if “Prepayment” is specified as the “Inv. Type/Cat.”. Note the following:
By default the system leaves this field blank. |
Customer Based |
Use the drop-down list box to select the customer attribute of the order. The drop-down list box displays the following: Customer # and Customer Name. Enter the customer identification number or name in the adjacent input field, if you have selected Customer # or Customer Name in the drop-down list box. You can enter the name or number in full or specify it partially using the “*” character. The system retrieves the order with the number or name that you specify. |
Cust. Service Rep. |
The customer service representative who liaises with the customer for the customer order. You can enter the name in full or specify it partially using the “*” character. The search retrieves those orders liaised by the customer service representative that you specify. However, if you do not specify any representative, the search finds orders regardless of the customer service representative. Help facility available |
Maint. Object
|
Use the drop-down list box to select an attribute of the aircraft or part associated with the order. The drop-down list displays the following: Mfr. Lot #, Mfr. Part #, Part # / Lot #, Part #, Part # / Serial #, Serial # and, Aircraft Reg. #. |
Work Center |
Use the drop-down list box to select the work center or an attribute of the work center that executes the customer order. The drop-down list box displays the following: Primary WC #, Parent WC #, and WC Category. Use the adjacent drop-down list box to select the work center or the category of the work center associated with the order. |
Invoice Basis |
Use the drop-down list box to select the invoice basis for Regular or Prepayment invoice of a customer order. The drop-down list box displays the following:
The search retrieves orders whose invoice basis is the same as that you select here. Do not select any invoice basis to retrieve all orders regardless of the basis for computing the invoice amount. |
Addl. Search

Use the first drop-down list box to select an additional attribute of the customer order. The drop-down list displays the following: Order Applicability, Order Category, Part Applicability, Shop Job Type, Rel. Gen. Mode, Billing Element, User Status and Contract Type. |
COA Exists? |
Use the drop-down list box to indicate whether the COA for the customer order exists or not. The drop-down list box displays the following: Yes or No. The search retrieves those customer orders with COA or without COA as that you select here. |
CO Currency |
Use the drop-down list box to select the payment currency of the customer order. The drop-down list box displays the base currency in addition to all other permissible currencies. The search retrieves those customer orders with the currency as that you select here. |
Date From/To
|
Use the first drop-down list box to select the date type. The drop-down list box displays the following: Completion and Milestone. Specify the start and end dates of work completion or milestone for the order in the second and third fields. The search retrieves those orders with work completion or milestone dates falling in the period between start and end dates that you specify here. |
Release Status |
Use the drop-down list box to select the invoice release status of the customer order. The drop-own list box displays the following: Fresh, Confirmed, Returned, Processed and Cancelled. The search retrieves those orders with invoice releases in the status that you specify here. Do not select any status to retrieve all customer orders except processed regardless of the status of their invoice releases. |
Age From/To
|
Use the drop-down list box to select Invoice or RTB age of the event related to the customer order. Specify the minimum and maximum age in days in the second and third input boxes. The system retrieves orders whose Invoice or RTB age is within the range of days that you specify here. Do not specify any age range to retrieve all orders regardless of the number of days elapsed since the invoice or RTB date. |
Select the “Search” pushbutton.
The “Process Invoice” multiline displays the following details of customer service orders that match the search criteria.
Select the "CO based Inv. Release - Summary Report" to extract the list of Invoice releases in detail at Task level to efficiently analyze the rates and other details prior confirmation.
P? |
Indicates whether the invoice release has been processed on the click of the Process pushbutton. If the release has already been processed, ‘Y’ will be displayed here. |
Error Log |
A message indicating the reason for the failure of processing of the invoice release associated with the customer order. This message appears only if the system is unable to process the invoice release on the click of the “Process Invoice” pushbutton. |
Inv. Rel. # |
The identification number of the invoice release associated with the customer order. |
Event Compl.? |
Whether the event after which billing process is done is completed. The system displays “Yes” or “No”. |
Customer # |
The customer associated with the customer order. |
Cust. Order # |
The identification number of the customer order. |
Sale Type |
The sale type of the customer order. |
Inv. Type |
The type of the invoice release generated for the customer order, such as Regular Billing and Prepayment Billing. |

Use the drop-down list box to select the category of the invoice release associated with the customer order. The drop-down list box displays all the Active categories defined under the category type - "Invoice Category" in the “Category” component. |

Use the drop-down list box to select the invoice basis for Regular invoice of a customer order. The drop-down list box displays the following: Quote, Actuals and Direct. |

The date of creation of the invoice release. The invoice date must be earlier than or the same as the current date. |
Pay Term # |
The pay term for the invoice release of the customer order. The pay term you specify must be Active and effective on the current date, as defined in the Pay Term component. Help facility available |
The system displays the following fields:
CO Currency |
The currency of the customer order. |
Invoiceable Amt. |
The invoice amount for the invoice release. |
Actual Amt. |
The simulated invoiceable amount as per Time & Material pricing for the invoice release. |
Rev. Recog. Amt. |
The revenue recognition amount for the customer order that is calculated based on the margin defined in contract for Usage Based pricing. |
Qtd. Amt |
The quoted amount for the customer order. |
Quote # |
The quotation associated with the customer order |
Q. Rev # |
The revision of the quotation for the customer order. |
Q. Status |
The status of the quotation associated with the customer order. |

RTB? |
Indicates the whether the invoice release is ready to be billed or not. Note: It is mandatory that RTB? must be “Yes”, if you want to process the invoice for an invoicing event. |

Indicates the whether the invoice release is ready to be billed or not. Note: It is mandatory that RTB? must be “Yes”, if you want to process the invoice for an invoicing event. |
RTB Last Run Date |
The date on which the invoice release readiness was last ascertained using the “Evaluate Invoice Readiness” pushbutton. |

The time gap in days between the RTB date and the customer service invoice authorization date for the invoice release. |

COA Exists? |
Use the drop-down list box to indicate whether the COA for the customer order exists or not. The drop-down list box displays the following: Yes or No. The search retrieves those customer orders with COA or without COA as that you select here. |
Release Status |
The release status of invoice release, such as Fresh, Confirmed, Processed, Returned and Cancelled. |
Cust. Name |
The customer associated with the customer order. |
Primary Work Center # |
The work center that executes the work for the customer order. |
WC Category |
The category of the work center that executes the work for the customer order. |
Part # |
The part serviced through the customer order. |
Mfr. Part # |
The manufacturer part # of the part serviced through the customer order. |

Total Cost |
The expenditure incurred on the execution of the customer order that is included in the invoice release. |
CO Date |
The date of the customer order. |

The revision of the customer order. |

The event associated with the customer order |

The description/short name of the customer order. |

The priority assigned to the execution of the customer order. |

User Status |
Use the drop-down list box to select the user status for the invoice release associated with the customer order. The drop-down list box displays all the Active categories defined under the category type - "Initiate Invoice User Status" in the “Category” component. |

Line # of the customer order milestone in the Billing & Warranty tab of the “Manage Order Execution” activity. |

The execution status of the customer order which could be “Closed” or “Not Closed”. |

Quick Links
Select the “Manage Invoice Release” link to
manage the invoice release for the customer order.
Select the View Quotation” to view details
of the contract attached to the customer order.
Select
the “View Invoice” link to view details of the customer invoice generated
for the customer order.
Select
the “View Accounting Info. for Rev. Recog.” link to view accounting details
for the customer order in case of Usage-Based pricing.
Select
the “CO based Inv. Release – Summary Report” to review the rates at Task
level for every Customer Order / Release.
To proceed further
Select the
“Save Release Info.” pushbutton to bulk update customer PO numbers against
customer orders on selection of multiple records in the “Process Invoice”
multiline.
Select the “Cancel”
combo button to either cancel the milestone or cancel the release.
Click
the “Cancel Milestone” pushbutton to cancel the milestone.
Note: The milestone of the customer order can be cancelled only if the release is not yet generated or the release is in ‘Fresh / Returned’ status.
Click
the “Cancel Release” pushbutton to cancel the release.
Note: On Cancellation of releases in 'Fresh/Returned' status, selected release will be cancelled and new milestone will be inserted.
To ascertain the invoice readiness of the customer order
Select the “Evaluate Invoice Readiness” pushbutton
The system updates the Total Value (Base Curr.).
You can evaluate invoice releases that are “Not Ready to Bill” (RTB? =“No”) to know their current status. For example, you may have defined some of the price items since you last recorded the invoice release. If the release is Not Ready to Bill even after evaluation, the system displays the reasons for the invoice not being ready for billing, in the RTB Analysis column in the multiline.
For releases, which become “Ready to Bill”, the ‘RTB?’ column in the multiline displays “Yes”.
Evaluation must be redone to make the release as Ready to Bill after you have specified the required details.
Note: Evaluate Invoice Readiness can be performed for a release only if the ‘RTB?’ is “No”.
To process invoice
Select the “Process Invoice” pushbutton.
The system processes invoice releases for which the “RTB?” is “Yes”. The release status for the invoice release is set to “Processed” on successful processing of the invoice release, if "Auto Cust. Invoice Status?" in the contract related to the customer order is set as “Required”.
To re-generate invoice release post contract reassignment
Select the “Re-setup Invoice” pushbutton to generate the revised invoice release for the customer order, on the basis of the reassigned contract.
To create direct invoice for a customer order without any execution document reference
Select the customer service order that you wish to process for direct invoicing.
