Selecting Documents for billing
Select the “Process Monthly Invoice Release” activity in the “Service Sale Billing” business component.
The “Select Documents” page appears.
Select the “Update Usage/Generate Bill” tab to update usage details / generate new bills
Select the “Process/View Generate Bill” tab to process / view the generated bill.
Select the “Manage Direct Billing” link at the bottom of the page to manage billing directly.
The “Update Usage/Generate Bill” tab page appears by default.
Enter the following in the “Search Criteria” group box:
Search On |
Use the drop down list box to select the basis on which you wish to retrieve details in the multiline. The system lists the following options:

In the editable box alongside, enter the value corresponding to the item selected. The system retrieves all the records similar to the value specified here. |

On selection of Pricing Basis as the '"Search On", this drop-down list box loads the following values:

.Click the “Search” pushbutton, to retrieve the details in the multiline.
The system displays the count of records under each of the filter tags before:
All |
Indicates the count of all Milestones / Contracts rendered from Search. |
Alert |
Indicates the count of all Milestones for which the due Date for processing the release has not yet been crossed. Note that all the current FPM/ Usage Based Billing Milestones under Parts and Aircraft Contracts in 'Active' status pending for invoice release generation are retrieved and displayed on click of this tile. |
Over-Due |
Indicates the overdue tile shows the count of all Milestones/Contracts for which the due date for processing the Release has been crossed. Note that all the overdue FPM/ Usage Based Billing Milestones under both Parts and Aircraft Contracts in 'Active' status pending for invoice release generation are retrieved on click of this tile. |
On-Demand |
Indicates the count of all Milestones/Contracts for which On-Demand Billing has been enabled in the Contract. |
Cancelled |
Indicates the count of all Milestones that were cancelled. |
The system displays the following in the multiline:
Invoice Type |
The type of the invoice generated such as Regular Billing or Prepayment Billing. |
Milestone Type |
Use the drop-down list box to select the type of milestone which could be any of the following:

Mode of Billing |
Indicates whether billing is with respect to milestone date or billing directly. |
Pricing Basis |
Use the drop-down list box to specify the basis for pricing. The system lists the following opions:

Customer # |
The unique code identifying the customer with whom the contract is entered for whom bill has to be sent |
Customer Name |
The name of the customer with whom contract is entered. |
Nature of Contract |
The contract reference from service sale contact. |
Contract # |
The number identifying the contract. |
Revision # |
The number identifying the revision number of the contract. |
Billing Period |
The duration from the starting date and end date of billing. |
Billing Milestone |
The date on which the bill must be created. Note that the system groups all the Billing Elements under a contract with one billing milestone date in to a single Milestone. |
Sheet ID |
The number identifying the document with usage information for the given billing period. |
Cancellation Remarks |
Any comments pertaining to the cancellation of the milestone. Mandatory. |
Last Billing Milestone |
Indicates the milestone for which billing is done last. |
Last Inv. # |
Indicates the last invoice number of the Contract. |
Last Inv. Type |
Indicates the last type of invoice of the Contract. |
Last Inv. Status |
Indicates the status of last invoice. |
Select the “Process Monthly Invoice Release” link at the bottom of the tab page to manage usage based billing.
Select the “Cancel Milestone” pushbutton to cancel the selected milestone.
The system performs the following:
Generates Invoice Release when the milestone date is achieved provided all the data required for generating the invoice release is available from contract.
Automatically generates one Invoice Release for all the Billing Elements with the same milestone date under that respective contract or one release for each billing element depending on the set option in contract.
Processing /Viewing Generate Bill
This section displays the details of milestones after the generation of bill.
Select the “Process/View Generate Bill” tab to record the bill details.
Enter the following in the “Search Criteria” group box:
Search |
Use the drop down list box to select the basis on which you wish to retrieve details in the multiline. The system lists the following options:

Released Status |
Use the drop-down list box to specify the status of the release. The system lists the following options:

Date From/To |
Use the drop-down list box to specify the filter with date ranges within which you wish to retrieve details in the multiline.

User Status |
Use the drop-down list box to select the user status of contract. The system lists all the 'active' user statuses as defined for the category “Contract User Status” in the “Create Category Type” activity of the “Category” business component. The system retrieves all the user statuses similar to the description entered here. |
Bill Rep. |
The person of contact based on which you wish to retrieve details in the multiline. Help facility available |
Click the “Search” pushbutton, to retrieve the details in the multiline.
Note: Based on grouping policies set in Contract, invoice releases may get set up automatically at a CO level or individual task Billing Element level. In the later case, however there might be multiple invoice releases against the same CO.
Select the “Monthly Invoice Release – Summary Report” link to extract the list of Invoice releases at a detailed Billing Element level to review rates and other details prior confirmation.
The system displays the following filter tags:
All |
Indicates the count of all generated Releases rendered from Search. |
Alert |
Indicates the count of all Releases for which the due Date for processing the Release has not yet been crossed. |
Over-Due |
Indicates the overdue tile shows the count of all Releases for which the due date for processing the Release has been crossed. |
The system displays the following fields in the “Search Results” multiline:
Customer # |
The number identifying the customer with whom the contract is entered |
Customer Name |
The name of the customer with whom the contract is entered. |
Revision # |
The number identifying the revision number of the contract |
Nature of Contract |
The contract reference from service sale contact. |
Enter the following fields:
Release # |
The number identifying the release. |
Customer PO # |
The purchase order placed by the Customer for any service in response to which the Invoicing is done. Note: This field can be modified only when the Release is in Fresh status. |
The system displays the following fields:
Aircraft Reg. # |
The registration of the aircraft. |
Part # |
The number identifying the part. |
Serial # |
The number identifying the serial. |
Sheet ID |
The number identifying the document with usage information for the given billing period. |
Invoice Type |
The type of the invoice generated for the customer order, such as Regular Billing or Prepayment Billing. |
Milestone Type |
The type of milestone which could be Regular, Provisional or On-Demand. |
Mode of Billing |
The billing respect to milestone date or billing directly. |
Billing Element |
The Billing Element for which the invoice is generated. Note that the system displays ‘Multiple’, if the Invoice release is generated for multiple Billing Elements together |
Billing Milestone |
ndicates the Billing Element for which the invoice is generated. This will be displayed as ‘Multiple’, if the Invoice release is generated for multiple billing elements together |
Release Status |
The status of the release. |
Excp Pricing Coverage |
The count of object which no rate. |
Total Usage |
The total usage in the bill. |
Tot. UB Rate |
The total usage based rate. |
Net T/C/D |
Taxes, Charges and Discounts. |
Tot. Bill Amount |
The total usage based rate + Taxes, Charges and Discounts. |
Billing Currency |
The currency of billing as per the contract. |
Billing From |
The starting date in the range of dates of billing. |
Billing To |
The ending date in the range of dates until which billing is done. |
Enter the following fields in the “Search Results” multiline:
Invoice Category |
The category to which the invoice belongs. |
Pay Term |
The code
identifying the pay term to be associated with the Help facility Available |
Bill To Customer |
The customer to whom the service must be billed. Help facility Available |
The system displays the following field in the multiline:
Station |
The code identifying the station in which the task /package was performed. |
Enter the following field:
Group By |
Use the drop-down list box to select the basis on which you wish to group multiple releases to generate an invoice. You can select from the following options:

Select the “Update Cust. PO #” pushbutton to bulk update customer PO numbers against customer orders on selection of multiple records in the “Search Results” multiline.
Click the “Generate Invoice” pushbutton to generated an invoice in the multiline against the particular record.
Click the “Confirm” pushbutton to confirm the Release.
Click the “Cancel” pushbutton to cancel the release open the corresponding Sheet ID in “Fresh” status
Select the “Manage Direct Billing” link at the bottom of the tab page to manage billing directly.
