4     Select “Employee Absent Report” link on the left pane.

4     The “Employee Absent Report” page appears.

4     The system displays the following field

Date Format

The date format applicable to the login user.

4     Enter the details in the following fields             

Reporting Unit

From the drop down list box, select the required reporting unit.

4     Enter any or all of the following in the “Report Criteria” group box

Employment Unit

The name of the employment unit to which the employee belongs.  This is a mandatory field.

Training Calendar Unit

From the drop-down list box, select the training calendar unit for which you require to generate the report.

Training Calendar

From the drop-down list box, select the training calendar for which you require to generate the report.

Training No. From

The training number of the training from which you require to generate the report.

Training No. To

The training number of the training until which you require to generate the report.

Course Code

The unique code of the course.

Course Description

To view employee absent report of all the course description  which contain specific characters, type in the starting character or characters of these course descriptions. Alternatively, type in these characters in any combination with wild cards.

Absent From Date

To view absent report of employees who were absent from a specific date, enter the From date.

Absent To Date

To view absent report of employees who were absent until a specific date, enter the To  date.

Employee Code

The unique code of the employee.

Employee Name

To view employee absent report of all the employees whose names contain specific characters, type in the starting character or characters of these employee names.  Alternatively, type in these characters in any combination with wild cards.

Example: Michael*, will search for those employee names that start with Michael, examples, Michael Anderson, Michael Smith and Michaels.

Department Code

The unique code that identifies the department.

Department Description

To view the employee absent report of all employees whose departments contain specific characters, enter one or more characters of the department. Alternatively, type in these characters in any combination with wild cards.

Example: *Resource, will search for the department that ends with Resource.

Grade Set Code

The unique code that identifies the grade set.

Grade Set Description

To view the employee absent report of all employees whose grade set description contain specific characters, enter one or more characters of the grade set description. Alternatively, type in these characters in any combination with wild cards.

Example: GS1*, *1, will search for employees whose grade sets contain the specified characters.

Grade Code

The unique code that identifies the grade.

Grade Long Description

To view the employee absent report of all employees whose grade description contain specific characters, enter one or more characters of the grade description. Alternatively, type in these characters in any combination with wild cards.

4     Select the following in the “Display Criteria” Group box.

Date  Display Format

 

From the drop down list box, select the required type of date format to be displayed in the report.

Employee Name Display Format

From the drop down list box, select the required type of format for the display of the employee name in the report.

For example, if you select the format as “F.M.Last”, the name “Robert Louis Stevenson”, will be displayed as “R.L.Stevenson”.

4     Select “Employee Absent Report” pushbutton  at the bottom of the page.

The system displays the report based on the report criteria and display criteria.
